Best Patient Scheduling Software (2026): Top 10 Compared

Updated October 2026By StatWharf Editorial10 vendorsMethodology

Patient scheduling software lets patients book, confirm, cancel and reschedule appointments online or by text, and writes those bookings into the practice calendar or health record system. The ten products below fall into three groups. NexHealth, Phreesia, Luma, Weave and Solutionreach add self-scheduling, reminders and waitlists on top of the practice management or EHR system a practice already runs. Tebra, SimplePractice, Jane and Healthie are practice management platforms with scheduling built in. Zocdoc is a patient marketplace that also offers free scheduling tools and charges per new-patient booking.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Patient scheduling software moves appointment booking off the phone. Patients pick a time from the practice website, Google, a text link or a marketplace, the booking lands in the practice calendar or record system, and the software sends reminders, handles cancellations and offers freed slots to patients on a waitlist. Some products also answer calls with AI, capture referrals or collect insurance details at booking.

The comparison below covers ten products. Features and pricing come from each vendor’s product, pricing and support pages, checked in October 2026. Four vendors publish subscription prices: Healthie, SimplePractice, Jane and Weave, the last as a starting figure only. Zocdoc charges per new-patient booking without publishing the fee. NexHealth, Tebra, Phreesia, Luma and Solutionreach quote on request, and their profiles record what each page states.

Related pages cover AI voice agent platforms and AI call center software.

Vendor details and trade-offs

Zocdoc

specialistzocdoc.com ↗
Consider forIndependent practices that want new patients from a consumer booking marketplace and prefer paying per new-patient booking to a subscription, as Zocdoc's provider pricing pages describe
Pricing notesNo upfront fee or subscription. Zocdoc charges a one-time booking fee when a new patient books through the Zocdoc Marketplace app or website; the fee varies by provider specialty and location and is charged at booking, whether or not the patient attends. Existing-patient bookings and bookings from the practice website or Google Business Profile carry no fee. Practice Solutions tools (online scheduling, intake, reminders, video) are free. Sponsored Results are billed separately on a bid basis. No fee figure is published (checked Oct 2026)
Feature to evaluateCombines a consumer booking marketplace with free scheduling tools, so a practice pays only when a new patient books through Zocdoc

Zocdoc operates a consumer marketplace where patients find providers and book appointments in the Zocdoc app or website. For practices it offers two things: free Practice Solutions tools, which cover online scheduling, intake, reminders and video visits for the whole patient base, and the paid Marketplace listing, which reaches patients who have not yet seen the practice.

Marketplace pricing is pay-per-booking. The help centre states that a one-time fee is charged when a new patient books with a new provider through the Marketplace, at the moment of booking, and that the amount depends on specialty and location. If a patient cancels within 24 hours of booking, Zocdoc says it may waive the fee in good faith, and a practice can claim a credit within seven days when a booked "new" patient had already seen it. Providers may not pass the fee on to patients.

Sponsored Results raise visibility in Marketplace search and are billed separately. Zocdoc states the average cost per booking stays at or below the bid the provider selects.

Potential strengths

  • No subscription or monthly minimum; practices can set or pause monthly caps
  • Online scheduling, reminders and intake tools are free for the whole patient base

Trade-offs

  • The booking fee applies at booking even if the patient does not attend
  • Fee amounts are not published and vary by specialty and location

NexHealth

mid-marketnexhealth.com ↗
Consider forDental, orthodontic and outpatient medical practices that want patients to book in real time from Google, the website, text or email, with appointments written straight into an existing practice management or EHR system, as NexHealth's scheduling pages describe
Pricing notesPackages are quoted on request; no figure is published. Every package includes EHR integration through the NexHealth Synchronizer, HIPAA compliance and security features, and white-glove support. Contracts are monthly or annual with no cancellation fees: monthly customers give notice before the next billing cycle, and annual customers give 90 days' notice not to renew (checked Oct 2026)
Feature to evaluateA proprietary Synchronizer reads and writes to the practice's record system within 10 to 15 seconds for most integrations, without needing the record vendor's cooperation

NexHealth sells a patient experience platform covering online booking, reminders, recall, waitlist, digital forms, payments, insurance verification, messaging and reviews. Scheduling is the core use case: a practice sets appointment types, operating hours and provider calendars, then places a "Book Now" widget on its website, social profiles and Google Business Profile, where patients see a "Book" button in search.

The NexHealth Synchronizer is the integration layer. The vendor states that it is built and maintained by NexHealth, connects to the record system without a vendor partnership, and syncs appointments within 10 to 15 seconds for most integrations, which is how it shows real-time availability and avoids double bookings. Its integration list includes Dentrix, Eaglesoft, Open Dental, Curve Dental, athenahealth, eClinicalWorks, Epic, NextGen, Tebra, Jane and SimplePractice among many others.

For recall, NexHealth sends patients personalised links based on their last appointment date so they can book in one click, and its waitlist notifies everyone offered a slot once that slot is taken.

Potential strengths

  • Patients book from real-time availability through Google, the website, social media, text, email or QR codes
  • One-click recall links and a waitlist that notifies patients when an offered slot is taken

Trade-offs

  • No published price
  • The integration list leans towards dental systems, so medical practices should confirm their EHR is supported

Tebra

smbtebra.com ↗
Consider forIndependent and small medical practices that want online scheduling in the same platform as their EHR, billing and patient engagement tools, as Tebra's scheduling and pricing pages describe
Pricing notesQuote-based. Tebra sells two bundles: Practice Essentials (billing, clinical EHR and telehealth) and Practice Automation (adding patient engagement and experience tools). Pricing is per prescribing provider (MD, DO, NP or PA), with unlimited non-clinical staff at no extra cost and a lower tier for providers billing 100 claims or fewer per month. Bundled and volume pricing are offered; no figure is published (checked Oct 2026)
Feature to evaluateA booking automatically creates a patient chart, and staff can send intake forms before the visit from the same system

Tebra, formed when Kareo and PatientPop combined, sells an EHR, billing and patient experience platform for independent practices. Its online scheduling lets patients book around the clock from the practice website, Google and other online profiles, or from a unique booking URL that can be added to emails and text messages.

Practices set availability and appointment lengths by visit reason and define office hours. When a patient books, the system creates a chart and staff can send intake forms electronically before the visit. Telehealth visits can be offered as a booking option where enabled. Tebra describes its scheduling software as HIPAA-compliant.

The pricing FAQ states that licences are per prescribing provider rather than per user, so a two-provider practice can give ten or more staff access for the price of two subscriptions. Practices that adopt several modules may qualify for bundled pricing, and larger groups for volume incentives.

Potential strengths

  • Front desk, billing and admin staff use the system without extra seat charges
  • Scheduling, charting, telehealth and billing share one patient record

Trade-offs

  • No published price; quotes are given during a demo
  • Patient engagement tools sit in the Practice Automation bundle, so the bundle that includes online booking should be confirmed

Phreesia

mid-marketphreesia.com ↗
Consider forMedical practices and groups that want to add self-scheduling, AI call answering, waitlist backfill and referral outreach to their existing PM or EHR system, as Phreesia's scheduling page describes
Pricing notesCustom subscription quote based on organisation size, workflows and products, with no per-message charges, according to the pricing page. The same page offers the Phreesia Intake platform at no cost for a promotional period, stating standard pricing begins May 1, 2027; an FAQ on the page gives December 31, 2026 as the end of the free period. No figure is published (checked Oct 2026)
Feature to evaluatePhreesia VoiceAI answers calls after hours, matches the patient to a provider and books the visit, and Appointment Accelerator offers cancelled slots to waiting patients

Phreesia sells intake, scheduling, payments and outreach software to independent practices, enterprise groups and health systems. Its scheduling page groups four capabilities. Online self-scheduling lets patients book at any hour. Phreesia VoiceAI answers calls after hours, on weekends and on holidays, matches the patient to the right provider and books the appointment. Appointment Accelerator, a smart waitlist, contacts eligible patients when a slot opens. Referral management digitises incoming referrals, including faxed ones, and reaches the patient to book.

Phreesia also runs MediFind, a patient search site, and links practice profiles there to its scheduling. The vendor says Phreesia integrates natively with more than 16 PM and EHR systems and does not require a practice to replace its existing scheduling system.

The pricing page states most practices go live in as little as six weeks, depending on size, workflows and EHR.

Potential strengths

  • Covers phone, web and referral channels in one scheduling layer
  • States HITRUST CSF, SOC 2 Type 2 and PCI Level 1 certification

Trade-offs

  • No published price, and the page gives two dates for the end of its free offer
  • Implementation is described as taking about six weeks for most practices

Luma Health

enterpriselumahealth.io ↗
Consider forHealth systems, specialty groups and regional or rural care organisations that want rules-based patient self-scheduling, waitlist backfill and referral scheduling integrated with Epic, Oracle Health, MEDITECH or similar EHRs, as Luma's scheduling and integration pages describe
Pricing notesNo price is published on the pages checked; pricing is provided after a demo request (checked Oct 2026)
Feature to evaluateScheduling rules route each patient to the right provider and slot, and cancelled slots are offered by text to the next patient waiting for that appointment type, provider and location

Luma Health sells a patient engagement platform it now describes as operational AI for healthcare, covering access, engagement, intake and payments. The vendor states it serves more than 1,000 healthcare organisations in the United States and Canada.

Its scheduling product, listed in the service description as Patient Scheduling+, is a guided workflow for patients to self-schedule online or by text. Practice rules decide which provider, visit type and location a patient is offered. Cancellation management prompts patients to reschedule cancelled visits, and the Smart Waitlist automatically offers freed slots to patients waiting for that exact appointment type, provider and location. Luma also lists referral scheduling, call centre workflows and Google Business Profile booking.

Luma's integrations page names Epic, Oracle Health, MEDITECH, eClinicalWorks, athenahealth, NextGen, Greenway and Nextech. Its Spark AI core coordinates conversational agents that can handle scheduling requests by phone and chat.

Potential strengths

  • Bidirectional integrations with Epic, Oracle Health, MEDITECH, athenahealth, NextGen and other EHRs
  • Text and web scheduling, cancellation rebooking and smart waitlist in one module

Trade-offs

  • No published price
  • Built for health systems and multi-site groups rather than single-provider offices

Pricing notesPlans start from $199 per month. The Pro, Elite and Ultimate plans show figures only on request; Ultimate includes up to 15 desk phones. Monthly bulk-text allowances are 1,500, 3,000 and 15,000 messages across the plans. Enterprise pricing is quoted separately. Customer support and onboarding are included in every plan (checked Oct 2026)
Feature to evaluatePhone calls, texting, online scheduling and an ASAP waitlist share one system, with caller details shown when a patient rings

Weave sells a communication platform for healthcare offices, with integrations listed for dental, veterinary, medical and optometry systems. Its pricing page compares three plans, Pro, Elite and Ultimate, plus an enterprise option.

Scheduling features in the plan comparison include appointment reminders, schedule confirmations by text, online scheduling, and an ASAP list or waitlist for filling cancellations. These sit alongside VoIP phones, a phone tree, call queues and call analytics, two-way texting, missed-call texting, digital forms, payments and text-to-pay, reviews, email marketing and recall messaging. Weave Call Pop shows patient details when a call comes in, and a newer Call Intelligence feature uses AI with the stated aim of turning more calls into appointments.

Some features are specialty-specific: practice analytics and insurance verification are listed for dental only, eyewear-ready notifications for optometry and vaccine reminders for veterinary practices.

Potential strengths

  • A published starting price of $199 per month
  • Schedule confirmations by text and missed-call texting are listed in the plan comparison

Trade-offs

  • Figures for each named plan are not shown on the pricing page
  • Value depends on also adopting Weave's phone system

Feature to evaluatePatients see real-time openings, upload insurance details while booking, and appointments write back to the practice management system

Solutionreach sells patient communication software for medical, dental and optometry practices. Its online scheduling lets patients book or request appointments from the practice website, Google and email newsletters, shows real-time openings on the schedule, collects insurance information by image upload or data entry before the visit, and writes appointments back to the practice management software.

The pricing page groups features into packages. Listed features include two-way texting, appointment reminders, mobile patient check-in, payments and text-to-pay, review invitations, team chat, a mobile app, newsletters, patient surveys, digital intake, online scheduling, batch messaging, secure documents and insurance verification. • No published price
  • Patients can book or request appointments depending on configuration, so direct booking should be confirmed

SimplePractice

smbsimplepractice.com ↗
Consider forSolo and small group mental health, therapy and wellness practitioners that want online appointment requests, reminders and telehealth in the same EHR as notes and billing, as SimplePractice's pricing and support pages describe
Pricing notesSolo plans: Starter $49, Essential $79 and Plus $99 per month, billed monthly. Group practices on Plus pay $99 per month for the first practitioner and $74 per month for each additional practitioner. Groups with six or more practitioners receive custom pricing. A 30-day free trial is offered, and an introductory offer of 50% off for three months applied when checked (checked Oct 2026)
Feature to evaluateNew clients can request appointments through the client portal, complete a prescreener and leave a card to hold the slot

SimplePractice is a practice management and EHR platform whose site is aimed largely at therapists and other mental health and wellness practitioners. Scheduling sits alongside notes, billing, insurance claims, telehealth and a client portal.

Online appointment requests are tied to the practitioner's availability schedule. The support documentation explains that a practice can set how far in advance clients may request appointments, whether new clients may request appointments, whether they complete a prescreener, whether they state self-pay or insurance, and whether a credit card is required to hold the appointment. Every request must be accepted or declined by the practice. Short-notice slots can be shown with a prompt to call instead.

The plan comparison lists online appointment requests on Starter, Essential and Plus, while the widget that embeds requests on an external website is Plus only. Group appointments, group telehealth and a premium support phone line are Plus features. Add-ons include AI note tools and e-prescribing.

Potential strengths

  • Published monthly prices for solo and group practices
  • Online appointment requests are included on all three plans

Trade-offs

  • Requests must be accepted or declined by the practice rather than booking directly
  • The embeddable request widget for an external website is limited to the Plus plan

How to choose a vendor

Decide whether scheduling sits on top of the EHR or replaces it

An add-on scheduler keeps the existing record system as the calendar of record and reads and writes appointments through an integration. NexHealth, Phreesia, Luma, Weave and Solutionreach work this way, and the integration list for the practice's own system decides whether they fit. Tebra, SimplePractice, Jane and Healthie hold the calendar themselves, so choosing one usually means moving charting and billing as well.

Separate booking requests from confirmed bookings

Some tools book a slot directly from real-time availability, while others collect a request that staff must approve. SimplePractice's online appointment requests, for example, must be accepted or declined by the practice. A practice that wants patients to book after hours without staff involvement should confirm that the product writes a confirmed appointment, not a request.

Price the billing unit, not the headline

Prices on this page use five units: per practitioner per month (SimplePractice, Jane, Healthie), per location or package per month (Weave), per prescribing provider (Tebra), per new-patient booking (Zocdoc) and custom subscription quotes (NexHealth, Phreesia, Luma, Solutionreach). A practice should count providers, locations and expected new-patient bookings before comparing quotes.

Frequently asked questions

What is patient scheduling software?

Patient scheduling software lets patients book, confirm, cancel and reschedule appointments online, by text or by phone, and keeps those changes in the practice calendar or health record system. Most products also send reminders, run a waitlist that fills cancelled slots, and collect intake details or insurance information before the visit.

How much does patient scheduling software cost?

Published prices on this page start at $19.99 per month for Healthie Core, $49 per month for SimplePractice Starter and USD $59 per month for Jane Balance, and Weave plans start from $199 per month. Zocdoc charges per new-patient booking instead of a subscription. NexHealth, Tebra, Phreesia, Luma and Solutionreach quote on request.

Do these tools integrate with an existing EHR?

The add-on schedulers do. NexHealth lists integrations with Dentrix, Open Dental, athenahealth, eClinicalWorks, Epic and many others; Luma names Epic, Oracle Health, MEDITECH and others; and Phreesia states native integration with more than 16 PM and EHR systems. Tebra, SimplePractice, Jane and Healthie hold the calendar inside their own EHR.

Is patient scheduling software HIPAA compliant?

Several vendors describe their products as HIPAA-compliant or list HIPAA security features, including NexHealth, Tebra and Solutionreach, and Phreesia states HITRUST CSF and SOC 2 Type 2 certification. StatWharf records these as vendor statements and has not audited them. A practice should obtain a business associate agreement and the vendor's security documentation before sharing patient data.

What is the difference between an appointment request and a direct booking?

A direct booking reserves a slot from real-time availability and writes it to the calendar immediately. An appointment request asks staff to approve the time first. SimplePractice's online appointment requests must be accepted or declined by the practice, and Solutionreach supports either booking or requesting depending on configuration.

How do these products reduce no-shows?

The main tools are reminders with text confirmation, easy rescheduling links and waitlists that backfill cancelled slots. Phreesia's Appointment Accelerator, Luma's Smart Waitlist, NexHealth's waitlist, Weave's ASAP list and Jane's automated waitlist on Thrive all offer freed slots to waiting patients. Results vary by practice, and vendor-reported figures are not independent measurements.

Can patients book after hours by phone?

Phreesia VoiceAI answers calls after hours, matches the patient to a provider and books the appointment, and Luma lists conversational agents for phone and chat scheduling. Weave lists Call Intelligence, an AI feature aimed at turning more calls into appointments. The other products focus on web and text booking.

How was this comparison compiled?
