Best Business Scheduling Software (2026): Top 9 Compared

Updated October 2026By StatWharf Editorial9 vendorsMethodology

Business scheduling software publishes a booking page where clients, prospects or customers choose an open time, then confirms the appointment, syncs it to the host's calendar and sends reminders. The nine products below split into two groups. Calendly, Cal.com, YouCanBookMe, OnceHub and TidyCal start from meeting scheduling: a link that lets an outside party book a call or video meeting with one person or a team. Acuity Scheduling, Setmore, SimplyBook.me and Zoho Bookings start from service appointments, with staff calendars, services, intake forms, payments, packages and client reminders for businesses that sell time. Pricing models also differ: most charge per user, Acuity charges per plan with a calendar limit, SimplyBook.me charges a flat plan fee with booking and provider allowances, and TidyCal sells one-time lifetime plans.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Business scheduling software lets customers book appointments and meetings online without phone calls or email back-and-forth. A business sets its availability, services and staff, shares a booking page or embeds it on its website, and the software confirms the booking, adds it to the right calendar and sends reminders to reduce no-shows. Buyers include consultants and coaches, agencies, salons and studios, tutors, trades and professional services firms, and sales and customer success teams that book calls with prospects and clients. Employee shift scheduling, patient scheduling and restaurant scheduling are separate categories and are not covered here.

The comparison below covers nine appointment and meeting booking products. Pricing comes from each vendor’s public pricing page, checked on 12 October 2026. Eight offer a free plan, Acuity Scheduling offers a free trial, and the paid models differ: per user, per plan with a calendar or provider allowance, or a one-time lifetime payment.

Feature to evaluateTeams adds round-robin scheduling, lead qualification and routing, centrally managed event types and sending meetings to Salesforce

Standard removes the event type limit, connects multiple calendars, adds automations and reminders, and connects HubSpot, Mailchimp, Stripe and PayPal. Acuity Scheduling, a Squarespace product, is client self-scheduling software for appointment-based businesses. Clients choose a service and time from a scheduling page, fill in intake forms and pay or leave a deposit, and the business receives the booking on a staff or location calendar. Every plan includes unlimited services and appointments, payments through Stripe, Square, PayPal or Venmo, email confirmations and reminders, custom intake forms, automatic time zone conversion and Google Meet, Zoom and GoToMeeting links. Starter covers one calendar.

Standard raises the limit to six calendars and adds text message reminders where available, an appointment waitlist that notifies clients when a slot opens, memberships and packages with recurring billing, and gift certificates. Premium allows up to 36 calendars and adds an AI booking assistant for clients, a signed Business Associate Agreement for HIPAA compliance, removal of the Acuity footer, separate time zones per staff member or location, and custom API and CSS access.

How to choose a vendor

Decide between meeting scheduling and service booking

Sales, recruiting and customer success teams that book calls with prospects usually need round-robin distribution, routing forms and CRM sync, which Calendly Teams, Cal.com Teams, OnceHub Route and Zoho Bookings Premium list. Service businesses such as studios, consultancies, salons, tutors and repair firms usually need services with prices, deposits, packages, intake forms and staff calendars, which Acuity Scheduling, Setmore and SimplyBook.me build around.

Count the people who host bookings

Calendly, Setmore Pro, Zoho Bookings, Cal.com, YouCanBookMe Team and OnceHub charge per user or seat, so cost rises with every host. Acuity Scheduling charges per plan with 1, 6 or 36 calendars, and SimplyBook.me includes 1, 5, 15 or 30 providers per plan, which can cost less for a larger staff. Setmore's Free plan allows up to 4 users, the largest free team allowance on this page.

Check reminders, payments and compliance before the entry plan

Text reminders, payment deposits, branding removal and HIPAA agreements often sit above the entry tier. Acuity lists text reminders from Standard and a HIPAA BAA on Premium; SimplyBook.me lists HIPAA from Standard; Cal.com lists HIPAA on Organizations; OnceHub sells a HIPAA BAA in a $5 per seat security add-on. TidyCal charges a 1% platform fee on Stripe payments below Pro. Price the plan that contains the reminders and payment features the business needs.

Frequently asked questions

What is business scheduling software?

Business scheduling software lets clients, prospects or customers book time with a business online. The host sets availability and services, shares a booking page or embeds it on a website, and the software prevents double bookings by checking connected calendars. Most products send confirmations and reminders, and many collect payments, intake forms and video meeting links. Employee shift scheduling is a separate category and is not covered on this page.

How much does business scheduling software cost?

Eight of the nine products have a free plan; Acuity Scheduling offers a 7-day trial instead. Per-user paid plans on yearly billing start at $5 for Setmore Pro, $6 for Zoho Bookings Basic, $8.10 for YouCanBookMe Individual, $10 for Calendly Standard and OnceHub Schedule, and $12 for Cal.com Teams. Acuity charges $16 to $49 per plan per month annually, SimplyBook.me €11.9 to €49.9 per plan, and TidyCal sells lifetime plans for $29 or $79.

What is the difference between meeting scheduling and appointment booking software?

Meeting scheduling tools such as Calendly, Cal.com, YouCanBookMe, OnceHub and TidyCal focus on booking calls and video meetings with a person or team, with round-robin distribution, routing and CRM sync. Appointment booking tools such as Acuity Scheduling, Setmore and SimplyBook.me focus on selling services, with staff calendars, service prices, deposits, packages, memberships and client reminders. Zoho Bookings covers both.

Which options have a free plan for a team?

Setmore's Free plan allows up to 4 users, the only free plan on this page built for more than one person. SimplyBook.me Free includes 1 provider and 50 bookings. Calendly, Zoho Bookings, Cal.com, YouCanBookMe, OnceHub and TidyCal offer free plans for a single user, which teams usually outgrow once round-robin or shared availability is needed.

Which tools are priced per plan rather than per user?

Acuity Scheduling charges per plan, with 1, 6 or 36 calendars. SimplyBook.me charges a flat fee per plan that includes 1, 5, 15 or 30 staff providers and a booking allowance. TidyCal's lifetime plans are one-time payments. The other six products charge per user, per seat or per team member, so cost rises with each host.

Which options support HIPAA compliance?

Acuity Scheduling lists a signed Business Associate Agreement on its Premium plan. SimplyBook.me lists HIPAA as an option from Standard. Cal.com lists HIPAA compliance on Organizations, and OnceHub includes HIPAA BAA agreements in its Security and Compliance add-on. Healthcare practices may also compare dedicated patient scheduling software, which StatWharf covers separately.

Can clients pay when they book?

All nine products list payment collection on at least one plan. Acuity Scheduling supports Stripe, Square, PayPal and Venmo on every plan. Setmore supports Square, Stripe, PayPal and LawPay on Free and Pro, with deposits on Pro. Cal.com and TidyCal include Stripe and PayPal on their free plans, Calendly connects Stripe and PayPal from Standard, YouCanBookMe takes Stripe payments on its free plan, and OnceHub lists Stripe from Schedule.

How was this comparison compiled?

StatWharf Editorial compared nine appointment and meeting scheduling products using each vendor's public pricing page and website, checked on 12 October 2026. Prices reflect what those pages showed on that date; SimplyBook.me displayed euro prices. Employee shift scheduling, patient scheduling and restaurant scheduling tools are outside the scope of this page.
