Best Email Encryption Software (2026): Top 9 Compared

Updated October 2026By StatWharf Editorial9 vendorsMethodology

Email encryption software protects the content of a message and its attachments so that only the intended recipient can read them. The nine products below fall into three groups. Virtru, Paubox and PreVeil add encryption to the Gmail or Outlook accounts a team already uses and publish per-user or per-package prices. Proofpoint, Microsoft Purview, OpenText, Echoworx and Egress sell policy-based encryption that sits at the mail gateway or in Microsoft 365, usually as part of a wider email security or data protection suite, and quote prices through sales. Proton replaces the mailbox itself with an end-to-end encrypted email service. The right group depends on whether the buyer wants an add-on, a gateway policy layer or a new mail provider.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Email encryption software keeps the content of email and attachments readable only by the intended recipient, both while a message travels and where it is stored. Buyers are usually organisations that send regulated or confidential data by email: healthcare providers sending patient information under HIPAA, defence contractors handling controlled unclassified information, banks and insurers, law firms and accountants. Secure email gateways that only filter inbound threats, and general file-sharing tools, are separate categories and are not covered here unless encryption of outbound email is a documented function.

The comparison below covers nine products. Four publish prices: Virtru, Paubox, PreVeil and Proton. Microsoft includes Message Encryption in named Microsoft 365 plans, and Proofpoint, OpenText, Echoworx and Egress quote prices through sales, often as part of a wider email security or data protection suite. Every entry was checked against the vendor’s own pricing page, product page or documentation on 12 October 2026.

Vendor details and trade-offs

Virtru

mid-marketvirtru.com ↗
Consider forSmall and mid-sized organisations on Google Workspace or Microsoft 365 that want encrypted email and files without changing mail provider, including government contractors, as Virtru's pricing page describes
Pricing notesStarter is $119 per month and Business $219 per month, each including 5 users. Compliance, for CMMC, FedRAMP, ITAR and PCI DSS needs, is $499 per month including 5 users. Paubox

smbpaubox.com ↗
Consider forHealthcare providers and other HIPAA-covered organisations that send protected health information by email from Google Workspace or Microsoft 365, as Paubox's pricing page describes
Pricing notesPrices cover the first 5 senders. Standard is $32 per month billed annually or $41.60 monthly, with senders 6 to 50 at $10.50 each annually or $13.65 monthly. Plus is $65 annually or $84.50 monthly, with senders 6 to 50 at $12.58 or $16.36. Premium is $75 annually or $97.50 monthly, with senders 6 to 50 at $13.67 or $17.77. A 14-day free trial is included (checked Oct 2026)
Feature to evaluateEncrypts all outbound email automatically and delivers it straight to the recipient's inbox, with a business associate agreement on every account

Paubox is an email security and compliance product for healthcare. It works as an addition to an existing Google Workspace or Microsoft 365 account, and Paubox states that setup takes about 15 minutes.

Standard encrypts every outbound email by default using what Paubox describes as patented blanket TLS encryption. Messages arrive in the recipient's inbox without a portal, password or plug-in. Standard also includes secure calendar invites from Outlook and Google Workspace, domain-level protection that adds new senders on the domain automatically, signable encrypted forms, and HITRUST certification. Paubox includes a business associate agreement with all accounts and offers US-based phone and email support.

Plus adds inbound protection against spam, ransomware and phishing, display-name spoofing protection called ExecProtect+, and transcription of audio attachments. Premium adds archiving with search and export, unlimited storage for inbound and outbound email, and data loss prevention rules that block messages containing sensitive data, including in attachments.

Potential strengths

  • Senders do not need to choose which messages to encrypt
  • A BAA, encrypted forms and setup help are included with every paid plan

Trade-offs

  • Built around HIPAA use cases rather than general corporate encryption policy
  • Inbound threat protection needs Plus and archiving and DLP need Premium

Proofpoint Email DLP and Encryption

enterpriseproofpoint.com ↗
Consider forEnterprises that need outbound email encrypted automatically when data loss prevention policies detect regulated data, through the Proofpoint email gateway, as Proofpoint's product page describes
Pricing notesQuote-based. Proofpoint does not publish pricing for Email DLP and Encryption and directs buyers to request a demo (checked Oct 2026)
Feature to evaluateCombines content detection, including image analysis and document fingerprinting, with policy-based encryption and no-touch key management

Proofpoint sells encryption as part of Email DLP and Encryption, which runs through the Proofpoint email gateway. The product combines detection of sensitive data with automatic responses, including encryption.

Detection uses prebuilt identifiers, custom dictionaries, data classes and content analysis to find PII, PHI, PCI data and intellectual property in messages and attachments. Proofpoint lists image and scanned-document analysis and document fingerprinting that matches full or partial copies of sensitive files. Policies can then block, quarantine, route, encrypt or alert.

Encryption can be triggered by sender, recipient, destination, message attributes or attachment type, and LDAP and Active Directory integration targets rules by group or department. Proofpoint describes no-touch key management, transparent encryption with trusted partners on compatible gateways, and recipient access through a web portal or browser. Outlook add-ins let users send and read encrypted mail, and Smart Send routes policy violations back to the sender or data owner for review.

Potential strengths

  • Encryption follows detection policies, so users do not need to decide what to protect
  • Outlook add-ins let users send and read encrypted messages in their mail client

Trade-offs

  • Sold as part of a DLP product that runs through the Proofpoint gateway
  • No public pricing

Microsoft Purview Message Encryption

enterpriselearn.microsoft.com ↗
Consider forOrganisations already licensed for Microsoft 365 or Office 365 that want to encrypt Outlook email with mail flow rules and sensitivity controls, as Microsoft's documentation describes
Pricing notesNo standalone price. Microsoft states Message Encryption is offered as part of Office 365 Enterprise E3 and E5, Microsoft 365 Enterprise E3 and E5, Microsoft 365 Business Premium, Office 365 A1, A3 and A5, and Office 365 Government G3 and G5. Exchange Plan 1 and 2, Office 365 F3 and E1, and Business Basic and Standard need an Azure Information Protection Plan 1 add-on. Each user who benefits needs a licence (checked Oct 2026)
Feature to evaluateBuilt into Exchange Online, with Encrypt-only, Do Not Forward and mail flow rules, and an Advanced tier for branding and access control

Microsoft Purview Message Encryption is an online service built on the Azure Rights Management service, part of Microsoft Purview Information Protection. It encrypts email and attachments sent from Exchange Online.

Senders can apply rights management templates, the Encrypt-only option or Do Not Forward, which stops recipients forwarding, copying or printing. Administrators can create Exchange mail flow rules that encrypt automatically, for example every message to a given recipient or containing certain words in the subject.

Microsoft states that Outlook users on desktop, Mac, mobile and the web read encrypted mail natively, even when they are in a different organisation. Recipients on Gmail or Yahoo receive a wrapper message that links to an encrypted message portal, where they sign in with a Microsoft, Gmail or Yahoo account. Users of other mail clients also read messages through the portal.

Microsoft Purview Advanced Message Encryption builds on the base service with multiple branding templates and automatic policies that detect sensitive information types, such as personal, financial or health identifiers.

Potential strengths

  • No separate vendor for organisations that already hold a qualifying licence
  • Outlook users in other Microsoft 365 organisations read protected mail natively

Trade-offs

  • Recipients outside Outlook use a web portal to read messages
  • Lower-tier Microsoft 365 plans need a paid add-on

OpenText Core Email Encryption (Zix)

mid-marketcybersecurity.opentext.com ↗
Consider forOrganisations in regulated sectors that want outbound email encrypted automatically by DLP policy, with recipients needing no extra software, as OpenText's product page describes
Pricing notesQuote-based. OpenText does not publish pricing for Core Email Encryption and directs buyers to request a demo (checked Oct 2026)
Feature to evaluateSelects the delivery method per recipient automatically, and Secure Compose lets outside parties start an encrypted message into the organisation

OpenText Core Email Encryption is the current form of the Zix encryption product. Zix was acquired by OpenText in 2021, and its marketing site now redirects to OpenText Cybersecurity, while the Zix support, Secure Cloud and Message Center portals remain in use.

The service scans outbound messages in real time with content filters and DLP rules covering the subject, body and attachments. When a message matches policy, it is encrypted, quarantined or blocked. OpenText provides out-of-the-box templates for common policies.

Its Best Method of Delivery engine chooses S/MIME, TLS or a secure messaging portal based on the recipient's environment, so some recipients receive encrypted mail directly in their inbox. The portal works on any device. Secure Compose lets clients and partners outside the organisation start an encrypted email into it through the portal. Graphical reporting shows encryption triggers, delivery methods and compliance activity, and setup and management run in OpenText's Secure Cloud console.

Potential strengths

  • Out-of-the-box DLP templates for faster setup
  • Recipients need no special software

Trade-offs

  • Pricing is only available through sales
  • The product page offers a demo request rather than a self-service trial

Echoworx

enterpriseechoworx.com ↗
Consider forLarge regulated organisations that need a managed encryption layer behind existing secure email gateways and DLP tools, as Echoworx's deployment documentation describes
Pricing notesQuote-based. Echoworx does not publish pricing and directs buyers to a technical demo. It states the platform is available through AWS Marketplace private offers (checked Oct 2026)
Feature to evaluateOne platform covers TLS, web portal, encrypted PDF, encrypted attachment, S/MIME and PGP, with branded and localised messages

Echoworx is a managed email encryption platform deployed entirely on AWS. It describes itself as a policy-driven layer that complements an organisation's existing gateway rather than replacing it.

A central policy engine checks each outbound message against sender identity, recipient domain, data classification and content, then chooses a delivery method: TLS, web portal, encrypted PDF, encrypted attachment, S/MIME or PGP. Certificates, keys and passwords are retrieved or generated automatically, and branded, localised elements are applied before delivery. Inbound S/MIME and PGP messages can be decrypted using keys held in the platform.

Integration is based on SMTP. Echoworx states that no MX record change or Microsoft 365 API connection is needed, because an Exchange rule routes only outbound mail to the service, and it works with upstream DLP tools. Deployment can be multi-tenant, dedicated or in specific AWS regions. Reporting feeds delivery and verification events to SIEM tools.

Potential strengths

  • Integrates over SMTP without MX record changes or a Microsoft 365 API connection
  • Multi-tenant, dedicated and regional deployment options for data residency

Trade-offs

  • Aimed at large organisations rather than small teams
  • No public pricing or self-service trial

Egress Protect

enterpriseegress.com ↗
Consider forMicrosoft 365 organisations that want encrypted email with flexible recipient sign-in and access restrictions, as an alternative to higher Microsoft licence tiers, as Egress's product page describes
Pricing notesQuote-based. Egress, a KnowBe4 company, does not publish pricing for Protect on its site (checked Oct 2026)
Feature to evaluateRecipients can open messages with Egress credentials, a shared secret, one-click access, biometrics or a Microsoft or Google ID

Egress Protect is the email encryption product of Egress, now a KnowBe4 company. It sits alongside Egress products for phishing defence, data loss prevention, secure workspaces and web forms.

Protect connects to Microsoft 365 through an Outlook add-in, an API and an integrated cloud email gateway. It can read classification labels from tools such as Microsoft Purview Information Protection to apply encryption automatically, and users can also choose to encrypt. Egress positions Protect as a way to pair encryption with Microsoft 365 E1 or E3 licences rather than E5, and notes that mail stays protected even if a Microsoft 365 account is compromised.

Content and attachments are encrypted with AES-256 at rest and in transit. Egress lists FIPS 140-2, ISO 27001 and Commercial Product Assurance accreditation. Recipients can use several sign-in methods, and machine learning assesses the recipient's domain, location and system to let trusted recipients open content without logging in. Senders can restrict editing, copying and downloading.

Potential strengths

  • Restricts editing, copying and downloading of protected content
  • Large file transfer bypasses mail size limits with AES-256 encryption

Trade-offs

  • Built mainly around Microsoft 365 and Outlook
  • No public pricing

PreVeil

specialistpreveil.com ↗
Consider forSmall and mid-sized defence contractors handling controlled unclassified information, and firms subject to HIPAA, FTC Safeguards Rule or IRS Publication 4557, as PreVeil's pricing page describes
Pricing notesBasic is free with 5 GB of encrypted storage. Individual is $25 per month and requires annual payment. Business is $30 per user per month, with monthly billing available. Gov Community, for CMMC, DFARS 7012 and ITAR, is quoted. PreVeil Pass, with 3 Gov Community licences, a compliance documentation package and one-to-one support, starts at $450 per month (checked Oct 2026)
Feature to evaluateA Gov Community plan that PreVeil describes as FedRAMP Moderate equivalent, FIPS 140-3 validated and hosted in AWS GovCloud

PreVeil provides end-to-end encrypted email and file sharing that integrates with Outlook, Gmail and File Explorer, with mobile access. PreVeil states there are no passwords to compromise and that data can be restored after ransomware.

Basic is free and includes 5 GB of encrypted storage. Individual raises storage to 5 TB and includes free accounts for third parties. Business adds an admin console and system logs, a Trusted Community data loss prevention feature, approval groups that protect administrator actions, priority support and a dedicated customer success team. PreVeil states Business supports named requirements under HIPAA, the FTC Safeguards Rule and IRS Publication 4557.

Gov Community is aimed at defence industry organisations. PreVeil lists CMMC Level 2, DFARS 7012 and ITAR support, FedRAMP Moderate equivalence, FIPS 140-3 validated modules, data held in AWS GovCloud, 10 TB of storage and a compliance documentation package. PreVeil Pass bundles three Gov Community licences with that package and one-to-one compliance support for small organisations.

Potential strengths

  • Free plan and published Business price
  • Works with Outlook, Gmail and File Explorer rather than replacing them

Trade-offs

  • Gov Community, the plan for CMMC and ITAR, is quote-based
  • End-to-end model requires outside parties to use PreVeil accounts, which PreVeil provides free

Proton Mail (Proton for Business)

smbproton.me ↗
Consider forSmall and mid-sized businesses that want to move email off Microsoft 365 or Google Workspace to an end-to-end encrypted provider, as Proton's business pricing page describes
Pricing notesWorkspace Standard is $12.99 per user per month, billed at $155.88 every 12 months. Workspace Premium is $19.99 per user per month, billed at $239.88 every 12 months. Monthly billing is also offered at a higher rate. Enterprise is quoted. Both plans have a 14-day free trial and a 30-day money-back guarantee (checked Oct 2026)
Feature to evaluateThe only product on this page that replaces the mailbox itself, bundling encrypted mail with storage, calendar, VPN and a password manager

Proton Mail is an end-to-end encrypted email service from Proton, sold to organisations as part of Proton for Business. Unlike the other products on this page, it replaces the existing mail provider rather than adding encryption to it, and Proton offers migration from Microsoft 365 and Google Workspace.

Proton states that data is encrypted on the sender's device and stays encrypted in transit and in storage until it reaches the intended recipient. Password-protected emails let users send encrypted messages to people outside Proton. Proton lists GDPR and HIPAA compliance support on both business plans.

Workspace Standard includes 1 TB of storage per user, 15 custom domains, secure email and calendar, appointment scheduling, cloud storage, document and spreadsheet editors, video meetings for 100 participants, a VPN and a password manager with team vaults. Workspace Premium raises storage to 3 TB and domains to 20, supports 250 meeting participants and adds Proton's Lumo AI chat, an email writing assistant and data retention policies.

Potential strengths

  • Password-protected email included on both business plans
  • Calendar, storage, VPN and password manager are bundled with the mailbox

Trade-offs

  • Requires migrating mail away from the current provider
  • Not a policy layer for existing Microsoft 365 or Gmail mailboxes

How to choose a vendor

Check what the recipient has to do

Recipient experience varies more than sender experience. Paubox states that recipients need no portal, password or plug-in, and Virtru states that recipients need no username or password. Microsoft Purview, Proofpoint, OpenText and Echoworx deliver to some recipients through a web portal and choose other methods, such as TLS or S/MIME, when the recipient's system supports them. Proton and PreVeil encrypt end to end between their own users and use password-protected messages or free third-party accounts for outsiders.

Confirm whether encryption is a module of something larger

Proofpoint sells encryption inside Email DLP and Encryption, Microsoft includes Message Encryption in named Microsoft 365 and Office 365 plans, and Egress Protect sits in a KnowBe4 portfolio alongside phishing defence and data loss prevention. Buyers who already license one of those suites should ask the vendor whether encryption is included or extra before buying a separate product. Microsoft lists Business Basic, Business Standard and Office 365 E1 among the plans that need an Azure Information Protection Plan 1 add-on.

Match the product to the compliance regime

Several vendors name specific regimes on their public pages. Paubox includes a business associate agreement with all accounts for HIPAA. Virtru's Compliance package and PreVeil's Gov Community plan name CMMC, DFARS 7012 and ITAR. Proton lists GDPR and HIPAA. A public claim is not a compliance assessment, so request the vendor's documentation, such as a signed BAA or FedRAMP status, during evaluation.

Frequently asked questions

What is email encryption software?

Email encryption software scrambles the content of a message and its attachments so that only the intended recipient can read them. Products either add encryption to an existing Gmail or Outlook account, apply it automatically at the mail gateway based on policy, or provide an encrypted mailbox. Most also control how outside recipients open protected messages, through their inbox, a web portal or certificates such as S/MIME.

How much does email encryption software cost?

Published prices on this page start with PreVeil's free Basic plan and Proton's $12.99 per user per month on yearly billing. PreVeil Business is $30 per user per month. Paubox starts at $32 per month for 5 senders on annual billing, and Virtru Starter is $119 per month including 5 users. Proofpoint, OpenText, Echoworx and Egress quote prices through sales, and Microsoft includes Message Encryption in named Microsoft 365 plans.

Does Microsoft 365 include email encryption?

Microsoft states that Purview Message Encryption is included in Office 365 Enterprise E3 and E5, Microsoft 365 Enterprise E3 and E5, Microsoft 365 Business Premium, Office 365 A1, A3 and A5, and Office 365 Government G3 and G5. Business Basic, Business Standard, Office 365 E1 and F3, and Exchange Plan 1 and 2 need an Azure Information Protection Plan 1 add-on. Advanced Message Encryption adds branding templates and further controls.

What is the difference between TLS and end-to-end email encryption?

TLS encrypts the connection between mail servers while a message travels, but the message is readable on each server it passes through. End-to-end encryption, used by Proton and PreVeil, encrypts the message on the sender's device so that only the recipient can decrypt it. Gateway products such as OpenText and Echoworx choose between TLS, portal delivery and certificate-based encryption for each recipient.

Which email encryption tools suit HIPAA-regulated organisations?

Paubox includes a business associate agreement with every account and encrypts all outbound email by default. Virtru includes a signed BAA from its Starter package. PreVeil lists HIPAA requirements on its Business plan, and Proton lists HIPAA on its business plans. Organisations should obtain and review a signed BAA before sending protected health information through any product.

Which options suit defence contractors that need CMMC?

Virtru's Compliance package, at $499 per month including 5 users on annual billing, lists CMMC, DFARS 7012 and ITAR support and a FedRAMP moderate authorisation. PreVeil's Gov Community plan lists CMMC Level 2, DFARS 7012 and ITAR, data in AWS GovCloud and FIPS 140-3 validated modules, and PreVeil Pass bundles three such licences from $450 per month.

Do recipients need special software to read encrypted email?

Usually not. Paubox delivers to the inbox with no portal or password, and Virtru states that recipients need no username or password. OpenText, Echoworx, Proofpoint and Microsoft send some recipients to a web portal. Proton uses password-protected messages for outside recipients, and PreVeil gives third parties free accounts.
