Best Email Management Software (2026): Top 8 Compared
Email management software lets a team share addresses such as support@, sales@ or billing@, assign each message to an owner, discuss it in private notes and track whether it has been answered. The eight products below divide in two ways. Front, Missive, Help Scout and Helpwise run as their own applications, with web, desktop or mobile apps that connect to Gmail, Microsoft 365 or other mailboxes. Hiver, Gmelius, Keeping and Drag work inside Gmail, so messages stay in Google Workspace and staff keep their existing inbox. Hiver also sells a standalone omnichannel product. Most vendors now add chat, SMS or WhatsApp channels and AI drafting, but each still starts from the shared email inbox.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.
Email management software, often called shared inbox software, lets a team work from common addresses such as support@, sales@, billing@ or hr@ with clear ownership of every message. Instead of forwarding threads or sharing one mailbox password, staff assign conversations, leave private notes, avoid replying twice and see what is still waiting. Buyers include customer support teams, operations and logistics teams that handle customer requests by email, finance teams running accounts@ mailboxes, and agencies and professional services firms that coordinate client email. Personal inbox and triage apps, email archiving and email tracking tools are separate categories and are not covered here.
The comparison below covers eight shared-inbox products. Four run inside Gmail and four are standalone applications. Pricing comes from each vendor’s public pricing page, checked on 12 October 2026. All eight publish per-user prices; seven print both annual and monthly figures, and Gmelius and Helpwise also offer an enterprise tier priced by quote.
Vendor details and trade-offs
Front is a customer operations platform built around a collaborative shared inbox. Front states that more than 9,300 businesses use it, and its site addresses support, operations, inbound sales, account management and customer success teams. Messages from shared addresses arrive in a common inbox where they can be assigned, discussed and tracked as tickets until resolved.
The plans scale by automation and channels. Enterprise removes rule and macro limits, adds smart rules, custom roles, a multi-language knowledge base, and includes Copilot, Smart QA and Smart CSAT.
AI is sold separately below Enterprise. The Growth plan includes the shared inbox and ticketing, with clear ownership and full history for each request, a help center, rule-based automations, pre-built analytics, basic integrations such as Slack, and 24/7 support. Missive is a team email and chat application. Its pricing page lists connections to Gmail and Google Workspace, Outlook and IMAP accounts, plus WhatsApp, Messenger, Instagram and SMS through Twilio, Quo or Dialpad. Team inboxes and personal inboxes sit in one interface, and each conversation can carry an internal thread so colleagues discuss a message without forwarding it.

Conversations can become tasks with due dates and a calendar view. Contacts and calendars sync with Gmail and Office 365.

Help Scout is a customer support platform built on shared inboxes. Its site addresses teams leaving a plain Gmail inbox, and it combines shared inboxes, a Docs knowledge base, live chat and AI in one product. Help Scout states that its Compass AI agent resolves 73% of the requests it receives on average; that figure is the vendor's own claim.

Standard allows up to 25 users and includes two inboxes, live chat and SMS, WhatsApp, Instagram and Messenger, multiple knowledge bases, one basic SLA policy, basic workflows, unlimited tags and saved replies, and an AI inbox assistant. Plus allows up to 50 users and five inboxes and adds advanced workflows, two advanced SLA policies, a secure customer portal, unlimited AI drafts, round-robin routing and Salesforce, Jira and HubSpot integrations. Frequently asked questions
What is email management software?
Email management software helps a team handle shared addresses such as support@, sales@ or accounts@ without forwarding messages or sharing one password. Incoming email lands in a shared inbox where each message can be assigned to an owner, discussed in private notes, tagged and tracked until it is answered. Most products add templates, automation rules, SLAs and reporting, and many now include chat channels and AI drafting.
How much does email management software cost?
Products on this page charge per user per month. On annual billing, entry team plans range from $12 for Drag Starter, $12 for Helpwise Standard and $14 for Missive and Keeping, to $25 for Front, Hiver, Help Scout Standard and Gmelius Growth. Upper tiers run from $24 to $105 per user per month. Monthly billing costs more, and Help Scout offers a free plan for up to 5 users.
What is the difference between a shared inbox and a help desk?
A shared inbox keeps the email experience: messages look and behave like normal email, and customers do not see ticket numbers. A help desk treats each request as a ticket with status, priority and SLA fields. The products here sit between the two. Keeping, Drag and Gmelius stay closest to email, while Front, Hiver and Help Scout add ticketing, customer portals and SLAs as plans rise.
Which email management tools work inside Gmail?
Hiver in Gmail, Gmelius, Keeping and Drag run inside Gmail, so the team keeps using Google Workspace and messages stay there. Front, Missive, Help Scout and Helpwise are separate applications that connect to mailboxes. Hiver also sells a standalone edition called Hiver Omni at the same plan prices.
Which tools support Microsoft 365 or Outlook mailboxes?
Missive's pricing page lists Outlook and IMAP accounts alongside Gmail, and Helpwise lists a Microsoft 365 team inbox. Gmail-based tools such as Gmelius, Keeping and Drag are built for Google Workspace. Teams on Microsoft 365 should confirm mailbox support with the vendor during the trial before committing.
Is there a free email management tool for small teams?
Help Scout is the only product on this page with a permanent free plan, which covers up to 5 users, 1 inbox and 1 Docs site. Other vendors offer time-limited trials: Missive 30 days, Front and Keeping 14 days, and Hiver, Gmelius, Helpwise and Drag 7 days.
Which options suit HIPAA-regulated teams?
Keeping sells a dedicated HIPAA plan at $49 per user per month annually that includes an executed business associate agreement. Help Scout lists HIPAA compliance on its Pro plan, and Hiver lists HIPAA on its Elite plan. Teams handling protected health information should obtain and review a signed agreement before sending patient data through any of these products.
