Best Customer Success Software (2026): Top 10 Compared

Updated October 2026By StatWharf Editorial10 vendorsMethodology

Customer success software is the daily operating system of a customer success (CS) team: an account record that joins CRM, usage, support and conversation data, a health score, playbooks that turn signals into tasks or emails, digital programmes for accounts without a named manager, and a view of upcoming renewals and expansion. The ten products below split three ways. Gainsight, ChurnZero, Planhat and Odie (formerly Totango) are broad platforms with enterprise packaging. Vitally, ClientSuccess, Velaris and SmartKarrot target mid-market SaaS teams. HubSpot's Customer Success Workspace and Akita are lighter options, the first inside an existing CRM and the second with low monthly prices. Odie, HubSpot, SmartKarrot and Akita publish price figures; the other six quote.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Customer success software gives CS managers one place to see every account, judge its health and act before a renewal is at risk. Typical platforms combine an account record built from CRM, product usage, support and conversation data with health scores, automated playbooks, success plans, digital programmes for accounts without a named manager, and renewal and expansion tracking. Most vendors on this page now also describe AI agents that summarise accounts, flag risk and take approved actions.

The ten products below were checked against each vendor’s own product, pricing and documentation pages in October 2026. Four publish price figures: Akita, HubSpot, Odie and SmartKarrot. The main differences are coverage model (high-touch versus digital), whether the CRM remains the system of record, how much the vendor leans on AI agents, and what the price is built on.

Related pages cover customer retention software, product analytics tools and voice of customer analytics platforms.

Vendor details and trade-offs

Gainsight

enterprisegainsight.com ↗
Consider forLarge B2B customer success organisations that want health scorecards, success plans, digital journeys and renewal and expansion forecasting in one platform, as the vendor's product and pricing pages document
Pricing notesQuote-based: the pricing page lists Essentials and Enterprise packages without figures; Essentials includes 10 full users and 100 customers per user, Enterprise includes 20 full users, and renewal forecasting and organisational mapping are marked for Enterprise (checked Oct 2026)
Feature to evaluateStaircase AI, now sold as Staircase AI by Gainsight, analyses emails, calls, tickets and meetings for sentiment, stakeholder disengagement and expansion signals, which the vendor pairs with Gainsight CS for action

Gainsight positions its CS product as an agentic system that scores risk, reads sentiment and spots expansion signals from every email, call, ticket and touchpoint. The account view combines health scorecards, product usage, support history, renewal timelines, stakeholder maps and AI-generated sentiment signals.

Workflow is built around playbooks and success plans, including AI-generated success plans tied to customer outcomes. Digital journeys mix automated emails, in-app guides, surveys and human touchpoints. On the revenue side, the vendor states renewal likelihood updates continuously and that scored expansion signals are pushed into the CRM.

Staircase AI, which the vendor now markets as Staircase AI by Gainsight, adds conversation analysis. It logs emails, tickets, chats and meetings without manual entry, flags single-threaded relationships and renewal risk, and briefs managers on new accounts from pre-close communications. Gainsight also sells customer education, community and product experience products, priced separately on the same pricing page.

Potential strengths

  • Package sizing by full users and customers per user is stated on the pricing page, which helps buyers estimate fit
  • A Gainsight MCP server exposes health scores, risks and renewal dates to other AI tools

Trade-offs

  • No price figures are published for either package
  • Renewal and expansion forecasting and organisational mapping are not marked as included in Essentials

ChurnZero

mid-marketchurnzero.com ↗
Consider forB2B SaaS customer success teams that want to reach users inside their own product with announcements, walkthroughs and surveys, and to automate plays from health score changes, as the vendor's feature pages document
Pricing notesQuote-based: no pricing page was found (churnzero.com/pricing returned a 404) and the site offers a demo request; no plans or figures are published (checked Oct 2026)
Feature to evaluateIn-app communication tools, including announcements, surveys, walkthroughs and Success Centers, run inside the customer's application rather than through a separate product

ChurnZero describes itself as customer growth software powered by AI agents that draft summaries and follow-ups, suggest next steps and, when approved, take actions. The vendor publishes outcome claims from its customers, such as reduced onboarding time and higher manager account coverage, which buyers should treat as vendor-reported.

Its digital CS foundations page lists a 360-degree customer view, organisation-wide access to customer data without extra licences, dynamic slides for executive decks and a best-practice library of journey and playbook templates. Health scores, called ChurnScores, use metrics the customer chooses, such as license utilisation, active contacts and feature usage, and can trigger alerts and automated campaigns. Engagement AI adds relationship scores, sentiment and topic trends down to individual contacts.

Plays use conditional logic and can send emails, in-app announcements and data to integrated systems. A Renewal and Forecast Hub covers retention and growth forecasting, and NPS, CSAT and CES surveys can run in-app or by email.

Potential strengths

  • Launchpad supplies prebuilt journeys, plays and templates for onboarding, renewals and engagement
  • Health scores can trigger alerts, plays and journeys automatically

Trade-offs

  • No pricing information of any kind is published
  • Broad AI agent and in-app scope means configuration work for teams that only need a renewal tracker

Vitally

mid-marketvitally.io ↗
Consider forB2B SaaS customer success teams that want a workspace for CSMs with health scores, goals, docs and shared success plans, priced by coverage model, as the vendor's home and pricing pages document
Pricing notesQuote-based: the pricing page lists Tech-Touch, Hybrid-Touch and High-Touch plans with no figures; all include core features, unlimited automations, unlimited observer seats, single sign-on, the full integration library and unlimited docs (checked Oct 2026)
Feature to evaluateEvery plan carries the same feature set, so a team chooses by coverage model rather than unlocking features tier by tier

Vitally calls its product an AI-powered workspace for CSMs. The home page groups capabilities into AI, automation, health, dashboards, goals and surveys, and describes three jobs: unifying customer data with team workflow and project management, measuring the impact of CS through KPIs and reporting, and collaborating with customers on mutual success plans and shared tasks.

The pricing page is unusual in that the three plans are named after coverage models. Tech-Touch is aimed at one-to-many and product-led CS, Hybrid-Touch at mixed models and High-Touch at one-to-one management. Each includes the core feature set, unlimited automations, unlimited observer seats, single sign-on and unlimited docs. Evaluation includes a demo and a dedicated trial sandbox loaded with the buyer's data.

The vendor states it is used by more than 600 B2B customer success teams and reports an average go-live time of 1.9 months against an industry figure of 2.6 months.

Potential strengths

  • Single sign-on and the full integration library are included in every plan rather than held back for a top tier
  • A trial sandbox with the buyer's own customer data is offered during evaluation

Trade-offs

  • No figures are published for any plan
  • Go-live and ROI benchmarks on the pricing page are vendor-reported comparisons

Planhat

enterpriseplanhat.com ↗
Consider forB2B companies that want customer success, sales and professional services teams on one customer platform, with the option to sync with an existing CRM or replace it, as the vendor documents
Pricing notesQuote-based: the pricing page lists features included in all plans and add-ons (Upgraded AI Platform, Advanced Service, Email Marketing, Advanced Portals) behind Enquire buttons, with no figures (checked Oct 2026)
Feature to evaluateThe same platform can be deployed as a customer success platform, a CRM, a professional services automation tool or all three

Planhat describes itself as an agentic customer platform for commercial teams at B2B enterprises. It builds a model of customers that spans CRM data, time-series usage data, standard operating procedures and external telemetry, and its Pi agent runs collaborative work using that context.

For customer success, the vendor documents dynamic health scoring from analytics plus human and AI input, automatic capture of transcripts, emails and tickets, and sync with major CRMs. The pricing page lists project management, templated and advanced automations, dashboards, task management, presentations, an open API, custom fields, audit logs and metrics among features included in all plans.

The same data model can be deployed for sales and professional services. Planhat sells forward-deployed teams and an AI Deployment Program alongside the software, and states it was named Cisco CX Partner of the Year 2025. Pricing, onboarding and managed services are quoted.

Potential strengths

  • Touchpoints such as transcripts, emails and tickets are gathered automatically
  • Health scoring combines analytics with input from people and AI

Trade-offs

  • No price figures are published
  • Several capabilities, including advanced portals and email marketing, are add-ons rather than included

Odie (formerly Totango)

specialistheyodie.ai ↗
Consider forB2B post-sales teams that want customer data and team knowledge turned into AI-maintained account narratives for their own agents, with an optional guided CS workspace, as the vendor documents
Pricing notesCustomer Knowledge Engine starts at $500 a month, priced on knowledge maintenance and MCP usage; Customer Operating System starts at $1,500 a month, priced on portfolio size, analysis depth and a token and service-hour pool (checked Oct 2026)
Feature to evaluateThe Knowledge Engine can be bought alone and plugged into existing enterprise AI tools through the Odie MCP server, without the CS workspace

Totango announced on 10 September 2026 that it had become Odie, and the totango.com home page now carries that announcement. The company describes Odie as a Customer Knowledge Engine for B2B post-sales teams rather than a traditional CRM-style customer success platform.

The engine works in four stages. Agents interview staff to capture company and customer knowledge. Daily AI analysis reads CRM, usage, email, call, meeting and voice-of-customer data. The results become self-updating customer narratives. An MCP server then makes that context available to other agents and tools.

For teams that want a CS workspace, the Customer Operating System adds daily account evaluation, an AI-guided workspace for individual contributors and managers, predictive renewal risk models, workflow automation and campaigns, prebuilt post-sales agents and a chat copilot. The legacy totango.com pricing page still lists Totango Enterprise and Premier packages and a Catalyst Growth plan, so existing customers should ask how those map to Odie.

Potential strengths

  • Starting prices are published, and the pricing page states there are no per-seat fees or integration charges for the Knowledge Engine
  • Agents interview staff to capture institutional knowledge alongside data analysis

Trade-offs

  • The rebrand from Totango took effect in September 2026, so buyers should confirm the roadmap for legacy Totango and Catalyst plans
  • Starting prices are floors; final cost depends on portfolio size and analysis frequency

HubSpot Customer Success Workspace

smbhubspot.com ↗
Consider forCustomer success managers at companies already running HubSpot CRM who want task views, customer views and health scores in the same system, as HubSpot's knowledge base documents for Service Hub Professional and Enterprise
Pricing notesIncluded in Service Hub Professional at $90 per seat a month on an annual commitment or $100 per seat a month monthly, with a required $1,500 onboarding fee, and in Service Hub Enterprise at $150 per seat a month with a required $3,500 onboarding fee (checked Oct 2026)
Feature to evaluateThe workspace sits on the same CRM records as sales and support, so no sync to a separate CS platform is needed

HubSpot's Customer Success Workspace is part of Service Hub, HubSpot's help desk and customer success product. The knowledge base article, last updated March 2026, states that the workspace is available on Service Hub Professional and Enterprise, and that users need a Service Seat plus Super Admin or Manage Customer Success Settings permissions to use all features.

The Summary tab shows daily task progress, customer views, a health score summary, the user's schedule and reporting metrics. Recent actions list health status alerts, tasks due today, overdue tasks and tasks due tomorrow. Managers can view the workspace as another user. Health scores grade customers on criteria tailored to the business.

The workspace is not a full CS platform in the sense of journeys or renewal forecasting hubs documented by the specialist vendors. Its case rests on keeping CS work inside the CRM that sales and support already use. Professional also includes 3,000 HubSpot Credits and Enterprise 5,000, according to the pricing page.

Potential strengths

  • Per-seat prices and onboarding fees are published
  • Health score alerts flag when a customer's health status changes

Trade-offs

  • Requires Service Hub Professional or Enterprise and an assigned Service Seat for full use
  • Health score alerts expire after 14 days, and view edits revert on refresh, according to the knowledge base

ClientSuccess

mid-marketclientsuccess.com ↗
Consider forSaaS companies the vendor sizes at between $5M and $500M ARR that want health scoring, playbooks and renewal forecasting with a short implementation and no dedicated administrator, as its home and pricing pages state
Pricing notesQuote-based: Startup, Growth and Enterprise packages are listed without figures; the pricing FAQ states prices depend on the number of CSMs, modules, contract length and integrations, with annual-contract discounts (checked Oct 2026)
Feature to evaluateCustomer onboarding portals with automated project templates give customers a shared view of tasks and key data

ClientSuccess markets itself as an easy-to-use, fast-to-implement customer success platform. Its home page groups the product into insights and analytics (SuccessScore health, Pulse weekly reporting, an NPS analyser and engagement insights), customer journey management, an AI layer called SmartCS, and customer onboarding portals.

The pricing page lists three packages. Startup is aimed at early-stage companies and caps managed customers at 500. Growth targets SMB and mid-market teams. Enterprise adds more support. Features across packages include a Client 360 dashboard, integration library, playbooks, health scoring, automations, customer goal tracking and custom dashboards, with an assigned CSM limited to onboarding in the lower package.

Integrations named on the home page include Salesforce, HubSpot, Dynamics, Zendesk, Jira, Slack, Gmail, Intercom, Office 365, Pendo, Zapier and Teams. The FAQ claims the product is typically 30 to 50 percent less expensive than enterprise platforms such as Gainsight; this is a vendor claim. Add-ons include meeting intelligence, automation and AI, and onboarding portals.

Potential strengths

  • Every plan includes health scoring, NPS surveys, renewal forecasting, playbook automation and CRM integrations, per the pricing FAQ
  • A proof-of-concept with the buyer's own data is offered before purchase

Trade-offs

  • No self-serve trial and no published figures
  • The Startup package caps managed customers at 500

Velaris

mid-marketvelaris.io ↗
Consider forCustomer success teams that want AI agents to monitor and handle long-tail accounts and renewals while CSMs focus on larger relationships, as the vendor's home page describes
Pricing notesQuote-based: one license including 5 users and unlimited viewers, with Customer Portal and Velaris Support add-ons; no figures are shown and a custom estimate is offered (checked Oct 2026)
Feature to evaluateA single license bundles Customer 360, health scores, surveys, AI conversation and sentiment analysis, automations, email campaigns, playbooks and success plans

Velaris describes itself as an AI customer success platform whose agents run on a live model of every account held in a knowledge graph. The home page states that agents monitor risk, handle customers and automate admin so a team can manage more accounts without adding headcount, with a central space for tracking and governing those agents.

Documented agent tasks include answering questions about customers, surfacing risk and opportunity signals, analysing portfolio trends, building dashboards on demand, monitoring long-tail accounts, handling renewals, personalised outreach, automated account planning, daily briefings and meeting summaries.

The pricing page lists one license. It covers accounts, contacts and organisations, Customer 360, three custom objects and AI account summaries; health scores, surveys, dashboards and AI conversation and sentiment analysis; automations and email campaigns; and playbooks, success plans and a task manager. Add-ons are a Customer Portal for shared onboarding projects and Velaris Support for tickets, a shared inbox and an AI support agent.

Potential strengths

  • Unlimited viewers are included, so other departments can see account data without extra seats
  • Ticket management and a shared inbox are available as an add-on, which can cover support for smaller teams

Trade-offs

  • No price figures are published
  • The base license includes only 5 users

SmartKarrot

mid-marketsmartkarrot.com ↗
Consider forSaaS customer success teams that want to start with a small user count and add usage tracking across one or more products as they grow, as the vendor's pricing page documents

Feature to evaluateUsage tracking is sized by the number of SaaS products, which suits vendors running more than one product line

SmartKarrot sells a customer success platform with plans that include either user-based or outcome-based pricing, plus add-ons. The pricing page is one of the few in this category that shows a figure.

Basic, described as setting up CS operations, starts at $15,000 per year and includes 5 users, 2 third-party integrations and CRM and email and calendar connections, with email support. Growth adds a financial system integration, usage tracking for one SaaS product, 10 users and a dedicated CSM. Pro adds a ticketing system integration, three SaaS products, 25 users and SmartOps advanced AI trends. Enterprise is custom, with premium support.

The comparison table also lists embedded BI for reports and dashboards, hierarchical account structures and SmartKonversation call intelligence, which is an add-on from Growth upward. Buyers should check which tier includes embedded BI and hierarchy, as the table marks inclusion by icon. The vendor describes the product as easy to use, flexible and scalable.

Potential strengths

  • An entry price is published
  • User-based or outcome-based pricing is offered, according to the pricing page

Trade-offs

  • Product usage tracking is not included in Basic
  • SmartKonversation call intelligence is an add-on on Growth, Pro and Enterprise

How to choose a vendor

Count the accounts each manager covers

A team where each manager owns a few dozen large accounts needs success plans, stakeholder maps and renewal forecasting. A team covering hundreds of small accounts per head needs automation and digital programmes that run without a person. Vitally sells separate Tech-Touch, Hybrid-Touch and High-Touch plans on this basis, and Gainsight sizes its packages by customers per user.

Decide whether the CRM stays the system of record

HubSpot's workspace lives inside the CRM and needs Service Hub seats. Planhat states it can sync with major CRMs or be deployed as the CRM itself. Most other platforms here sync from Salesforce or HubSpot. Buyers should ask which objects sync, in which direction, and how often, before comparing health score features.

Ask what the price is built on

Gainsight packages include a set number of full users and customers per user. Odie prices its Customer Operating System on portfolio size, analysis depth and a token and service-hour pool. ClientSuccess prices on the number of CSMs and modules. SmartKarrot starts with five users and two integrations. Akita bills by month with paid add-ons per integration and per user.

Frequently asked questions

What is customer success software?

Customer success software is the working platform of a B2B customer success team. It joins CRM, product usage, support and conversation data into one account record, calculates health scores, runs playbooks and digital programmes, tracks onboarding and success plans, and shows renewal and expansion opportunities. Buyers sometimes call it a customer success platform or CSP.

How much does customer success software cost?

Four products on this page publish figures as of October 2026. Akita starts at $49 a month. HubSpot's workspace needs Service Hub Professional at $90 per seat a month on an annual commitment plus $1,500 onboarding. Odie's Customer Operating System starts at $1,500 a month, and SmartKarrot Basic at $15,000 a year. Gainsight, ChurnZero, Vitally, Planhat, ClientSuccess and Velaris quote.

What is a customer health score?

A health score is a rating for each account built from signals the team chooses, such as product usage, license utilisation, support tickets, survey responses and manager input. ChurnZero calls its scores ChurnScores, ClientSuccess calls its score SuccessScore, and HubSpot lets teams set criteria in the workspace. Score changes usually trigger alerts or playbooks.

What is digital customer success?

Digital customer success means reaching accounts through automated, one-to-many programmes rather than a named manager. Examples include in-app announcements and walkthroughs in ChurnZero, digital journeys in Gainsight, and Vitally's Tech-Touch plan. Velaris and Odie describe AI agents that monitor and act on long-tail accounts with limited oversight.

Can HubSpot or a CRM replace a customer success platform?

For some teams it can. HubSpot's Customer Success Workspace adds health scores, alerts and task views on top of Service Hub Professional or Enterprise. Planhat states it can be deployed as the CRM itself. Teams that need journeys, in-app messaging or renewal forecasting hubs usually look at a dedicated platform such as those listed here.

What happened to Totango?

Totango announced on 10 September 2026 that it had become Odie, a Customer Knowledge Engine for post-sales teams with an optional Customer Operating System workspace. The legacy totango.com pricing page still lists Totango Customer Success packages alongside a Catalyst Customer Growth plan. Existing customers should ask how their plans map to Odie.

How is customer success software different from customer retention software?

Customer success software is the account team's operating platform for B2B companies. Customer retention software is a wider label that also covers loyalty programmes, lifecycle messaging and cancellation flows for consumer and subscription brands. StatWharf compares the wider set on its customer retention software page.

How was this comparison compiled?

Each vendor's product, pricing and documentation pages were read on 7 October 2026, and pricing notes record what those pages showed on that date. The products were not used or tested, and no vendor confirmed its entry. Entries with dated source checks appear first; order does not rank quality. Vendors not listed can contact [email protected].
