Updated October 2026By StatWharf Editorial10 vendorsMethodology

Fleet maintenance software schedules preventive service, turns inspection defects into work orders and records the parts, labor and vendor cost of every repair on vehicles and equipment. The ten products below split into three groups. Fleetio, Whip Around, Simply Fleet and Fleet Rabbit are self-serve cloud tools with published per-vehicle or per-asset prices aimed at small and mid-sized fleets. RTA Fleet360, Chevin FleetWave and Fleet Maintenance Pro publish prices but are built around in-house shops, public sector fleets or desktop installation. AssetWorks FleetFocus, AMCS Fleet Maintenance and Collective Data are quote-based fleet management information systems for larger shop operations, government agencies and heavy equipment fleets.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Fleet maintenance software keeps vehicles and equipment in service by scheduling preventive maintenance on mileage, engine hours or time, capturing defects from driver inspections, and tracking each repair through a work order with its parts and labor cost. Larger products add parts rooms, purchasing, technician time, warranty recovery and asset replacement planning. GPS and telematics products are compared on a separate StatWharf page for fleet tracking software, and general maintenance teams can see the work order management software comparison.

The comparison below covers ten products, from self-serve cloud apps priced per vehicle to fleet management information systems for public sector and heavy equipment fleets. Information comes from each vendor’s own product, documentation or pricing page, checked on 11 October 2026. Seven vendors publish prices; AssetWorks, AMCS and Collective Data quote on request.

Vendor details and trade-offs

Fleetio

mid-marketfleetio.com ↗
Consider forFleets that want a self-serve cloud system covering service reminders, inspections, work orders, parts and outsourced maintenance, sized by plan from small fleets to advanced operations, as Fleetio's pricing page describes
Pricing notesEssential $4 per vehicle per month billed annually or $5 billed monthly; Professional $7 per vehicle per month billed annually only; Premium $10 per vehicle per month billed annually only. Fleetio states subscriptions are priced by plan, fleet size range, contract term and payment term, and the listed figures assume a 5-asset annual plan band. A 14-day free trial needs no credit card, and GSA pricing is available to eligible buyers (checked Oct 2026)
Feature to evaluateMaintenance features scale by plan, from service programs and NHTSA recalls to work orders with labor clock-in, parts markup and a maintenance provider network

Fleetio is a cloud fleet management system whose plans are organized around maintenance. The Essential plan covers vehicle inventory, service programs, service reminders, manual service entries, issue management, fault codes and mobile inspections with FMCSA-approved templates, which suits fleets that mainly need to know when service is due and what drivers have reported.

The Professional plan adds NHTSA recall tracking, a work order calendar, parts records across multiple locations and up to five active automations. Premium adds service program automations, service tasks with parts and labor, custom work order statuses, labor clock-in and clock-out, parts and labor markup, purchase orders, low-stock notifications and inventory valuation methods. Tire management, vehicle and parts warranty tracking, job tracking and motor pool sit in the higher tiers.

For fleets that send work out, Fleetio lists a maintenance provider network and a maintenance shop directory. Prices vary with fleet size band and contract term, so the published figures are a starting point for a five-asset fleet.

Potential strengths

  • Published per-vehicle prices with a free trial
  • Covers in-house work orders and outsourced maintenance in one product

Trade-offs

  • Work orders, purchase orders and inventory reporting are limited or absent on the entry plan
  • Professional and Premium plans are annual only

Whip Around

smbwhiparound.com ↗
Consider forFleets of vehicles and equipment that want digital inspections, defect management and preventive maintenance schedules in one product, as Whip Around's maintenance and pricing pages describe
Pricing notesBasic is free for one asset and one user. Standard is $5 USD per asset per month with unlimited users, custom forms, dashboards and integrations. Pro is $9 USD per asset per month and adds maintenance schedules, service history, cost and time tracking, parts and inventory, mechanic profiles, vendor management and purchase orders. Standard and Pro cover up to 250 assets. FixedUnlimited covers unlimited assets at a fixed price quoted by sales. AI Inspections Pro, Wallet, Dynamic Reporting and SSO are add-ons (checked Oct 2026)
Feature to evaluateInspection-first workflow in which defects, outstanding faults and mechanic sign-off connect directly to work orders and service history

Whip Around began with driver vehicle inspections and builds its maintenance features on top of them. When an inspection records a defect, the system can create an electronic work order for in-house or external mechanics and shows any outstanding faults on the same vehicle or machine that can be added to it. Vendors, mechanics and third-party contacts can be assigned to a defect or work order, and corrected faults require a mechanic's electronic signature.

Preventive maintenance schedules can be set per asset by distance, engine hours or time in service, with notifications when service is due. Parts added to a work order are deducted from inventory, with alerts when stock needs reordering, and service history updates automatically.

The Pro plan carries the maintenance features. Add-ons include AI Inspections Pro, which analyzes inspection photos to detect defects, and Wallet for driver and asset documents. Fullbay, a heavy-duty repair shop system, lists Whip Around among its integrations.

Potential strengths

  • Free single-asset plan and published per-asset rates
  • Fixed-price unlimited plan for fleets with many assets

Trade-offs

  • Maintenance schedules, parts and purchase orders require the Pro plan
  • Standard and Pro plans stop at 250 assets

Simply Fleet

smbsimplyfleet.app ↗
Consider forSmaller fleets that need preventive maintenance scheduling, inspections and fuel and expense records at a low per-vehicle price, and in-house workshops that need work orders and inventory, as Simply Fleet's pricing page describes
Pricing notesEssential $3 per vehicle per month or $30 per vehicle per year, covering preventive maintenance scheduling, fuel, service and expense records, digital inspections, trip management and asset and user management. Advanced $5 per vehicle per month or $50 per vehicle per year adds work order management, inventory management and priority support. Telematics integration, WEX fuel card import and small tools and equipment tracking are $0.50 per vehicle or item per month each. Yearly billing gives two months free; fleets over 500 vehicles receive volume pricing. Simply Fleet states no annual contract is required (checked Oct 2026)
Feature to evaluateTwo plans with low per-vehicle rates and a separate small tools and equipment add-on for maintenance reminders on non-vehicle assets

Simply Fleet is a cloud fleet maintenance application sold in two plans. Essential is aimed at lean fleet operations that need preventive maintenance scheduling, digital inspections, fuel and expense logging and trip records. Advanced is aimed at fleets with in-house workshops and adds work order management and parts inventory.

The product covers issue management, mileage logs, reporting and vehicle and asset records. Industry pages cover construction, school bus transportation, trucking and logistics, landscaping, waste and recycling, charities and government fleets.

The three add-ons extend the core plans. The telematics integration pulls odometer readings automatically, turns fault codes into issues and imports vehicles from a telematics provider. The WEX integration imports fuel card transactions. Small tools and equipment tracking adds maintenance reminders, service logs and issue tracking for equipment that is not a road vehicle. Simply Fleet announced a pricing change effective 15 September 2026; the figures above are those shown on its pricing page on 11 October 2026.

Potential strengths

  • Low published per-vehicle price on monthly or yearly terms
  • No per-module fees beyond three optional add-ons

Trade-offs

  • Work orders and inventory require the Advanced plan
  • Telematics data needs a paid add-on

Consider forGovernment, education, transit and enterprise fleets running their own maintenance shops that want work orders, parts and cost reporting along with access to experienced fleet professionals, as RTA Fleet's product and pricing pages describe
Pricing notesPro $6, Advanced $8 and Enterprise $11 per asset per month, each with unlimited users, billed annually with a minimum of 100 assets. Motor pool, equipment, custom forms, sublet invoice capture, tire management and the RTA Inspect app are add-ons on some or all plans; SSO and a sandbox are add-ons on the upper plans (checked Oct 2026)
Feature to evaluateShop scheduler, standard repair times, automated recall campaigns and parts warranty handling in a product sold with fleet consulting and training

RTA Fleet sells RTA Fleet360, a fleet management information system built around in-house maintenance operations, alongside fleet consulting and training. The company describes its staff as former fleet managers and states that more public sector fleets use its FMIS than any other.

All three plans include work order management, PM scheduling and due notifications, service request portals, estimate approvals, a shop scheduler, standard repair time functionality, automated recall campaigns, parts inventory with barcoding and chargeout, purchase orders, vendor management, fuel island management, accident management and dashboards. Higher plans raise the number of telematics and fuel integrations, custom user groups and custom fields, and replace the parts warranty alerts of the entry plan with automatic warranty claims. Ron360 AI provides chat, reports and a knowledge base assistant.

Industry pages cover government, higher education, K-12 education, passenger transit and food and beverage fleets. The 100-asset minimum and annual billing position the product for established shop operations rather than small fleets.

Potential strengths

  • Published per-asset rates with unlimited users

  • 100-asset minimum excludes small fleets
  • Motor pool and equipment modules are add-ons on every plan

The Enterprise plan is custom priced and adds custom integrations and API, white-label options, on-premise deployment, 24/7 phone support and an SLA. Fleet Rabbit One combines hardware and software at a custom price (checked Oct 2026)
Feature to evaluateOne published plan that includes every core feature, with on-premise deployment available on Enterprise

Fleet Rabbit is a cloud fleet maintenance and inspection platform. Its feature list covers digital inspections, DVIR and DOT inspection records, preventive maintenance, repair workflows and work orders, parts and inventory, fuel management, recall tracking, compliance and analytics. Fleet Maintenance Pro

smbmtcpro.com ↗
Consider forFleets that want to own a perpetual Windows licence or pay a low monthly fee for a cloud version, with separate editions for outsourced and in-house maintenance, as Innovative Maintenance Systems' pricing and FAQ pages describe
Pricing notesWindows desktop editions are one-time purchases: Deluxe, for companies that outsource maintenance, starts at $1,495, and Shop, for companies that perform maintenance in-house, starts at $1,995. The cloud version starts at $30 per month, with per-user subscriptions for additional logins. Desktop purchase includes six months of support, after which annual support or an upgrade subscription is optional. All products carry a 30-day money-back guarantee (checked Oct 2026)
Feature to evaluateNo cap or per-asset fee on the number of units tracked, in either the desktop or web application

Fleet Maintenance Pro is developed by Innovative Maintenance Systems, a company in Wake Forest, North Carolina, whose copyright notices date to 1994. The software tracks preventive maintenance and repairs for vehicles and rolling equipment such as forklifts, backhoes and trailers, along with fuel, tires, parts inventory and work orders. The vendor sells a separate Maintenance Pro CMMS for stationary and facilities equipment.

The Windows desktop version installs on a company network, with the customer controlling data storage and backup. Licences are counted by concurrent users, so the client can be installed on any number of workstations. The Shop edition adds work order management, inventory stock tracking, labor tracking, purchase orders and downtime analysis for fleets with their own technicians.

The cloud version runs in a browser and on dedicated iPhone and Android apps, with driver functions for daily inspections, repair requests and fuel entries. The subscription includes hosting, support and updates. The FAQ states that neither version places a cap or per-asset fee on the number of units tracked.

Potential strengths

  • Perpetual licence option avoids recurring subscription cost
  • No per-asset fee, so large equipment counts do not raise the price

Trade-offs

  • Desktop edition runs only on the local Windows network
  • GPS integration exists only in the web version at its Enterprise level

How to choose a vendor

Decide whether repairs happen in-house or at outside vendors

Fleets that send vehicles to dealers and independent shops mainly need service reminders, inspection-driven defect reports and a record of vendor invoices. Fleets that run their own shop also need technician time, parts inventory, purchase orders and shop scheduling. Several vendors split plans along this line: Simply Fleet adds work orders and inventory in its Advanced plan, Fleet Maintenance Pro sells a Deluxe edition for outsourced maintenance and a Shop edition for in-house work, and Whip Around reserves parts and purchase orders for its Pro plan.

Check which plan includes work orders and parts

A low entry price does not always include shop features. Fleetio's Essential plan at $4 per vehicle per month covers service reminders and inspections, while work orders begin on Professional and purchase orders and inventory reporting on Premium. RTA Fleet360 includes work orders in every plan but sells its motor pool and equipment modules as add-ons. Compare the plan that contains the required workflow, not the cheapest listed tier.

Count assets, users and minimums together

Most vendors here price per vehicle or per asset, but the terms differ. RTA Fleet360 includes unlimited users with a minimum of 100 assets, Whip Around's Standard and Pro plans cap at 250 assets before its fixed-price unlimited plan, and Fleet Maintenance Pro's desktop edition is licensed per concurrent user with no per-asset fee. Trailers, generators, forklifts and small tools change the count quickly, so buyers should price the full asset list, including equipment.

Frequently asked questions

What is fleet maintenance software?

Fleet maintenance software tracks when vehicles and equipment are due for service, turns driver inspection defects into repair work, and records the parts, labor and vendor cost of each job. Products range from self-serve cloud apps such as Fleetio, Whip Around and Simply Fleet to fleet management information systems such as RTA Fleet360, AssetWorks FleetFocus and AMCS Fleet Maintenance, which run full in-house shops with technicians, parts rooms and purchasing.

How much does fleet maintenance software cost?

Seven of the ten vendors here publish prices. Per-vehicle cloud plans run from $3 per vehicle per month at Simply Fleet to $10 at Fleetio's Premium tier, with Whip Around at $5 to $9 per asset and Fleet Rabbit at $5. RTA Fleet360 charges $6 to $11 per asset with a 100-asset minimum, Chevin lists £5 per vehicle for FleetWave Core, and Fleet Maintenance Pro sells desktop licences from $1,495 one-time. AssetWorks, AMCS and Collective Data quote on request.

What is the difference between fleet maintenance software and fleet tracking software?

Fleet tracking software uses GPS and telematics devices to show where vehicles are and how they are driven. Fleet maintenance software manages service schedules, inspections, work orders, parts and repair costs. The two connect: Fleetio, Simply Fleet, AMCS and others import odometer readings and fault codes from telematics providers such as Samsara, Motive and Geotab to trigger service. StatWharf compares GPS products separately on its fleet tracking software page.

Can fleet maintenance software handle DOT inspections and DVIRs?

Most products here support digital driver vehicle inspection reports. Fleetio provides FMCSA-approved inspection templates, Whip Around builds its maintenance workflow from inspections, Fleet Rabbit includes DVIR records and DOT compliance checklists, AMCS offers pre- and post-trip inspections, and Collective Data lists daily inspections for DOT compliance. RTA Fleet360 sells its RTA Inspect app as an add-on on some plans. Buyers should confirm record retention rules against their own regulatory obligations.

Which products suit fleets with their own repair shop?

Fleets with in-house technicians need work orders, labor tracking, parts inventory and purchasing. RTA Fleet360, AssetWorks FleetFocus and AMCS Fleet Maintenance are built around shop operations. Fleetio Premium, Simply Fleet Advanced, Whip Around Pro, Chevin FleetWave Advanced and the Shop edition of Fleet Maintenance Pro add these features to lighter products. Fleets that send all work to outside vendors may only need service reminders and invoice records.

Is there free fleet maintenance software?

Whip Around offers a Basic plan free for one asset and one user, with fuel, defect and inspection features. Fleetio and Fleet Rabbit offer 14-day free trials without a credit card, Fleet Maintenance Pro offers a free trial and a 30-day money-back guarantee, and Chevin offers a free trial of FleetWave Core. None of the paid products on this page offer a free plan for a full fleet.

What should a fleet check before switching maintenance systems?

Buyers should confirm that service history, open work orders, parts and vendor records can be imported, that telematics and fuel card integrations match the providers already in use, and that the plan includes work orders and inventory if the fleet runs its own shop. Contract terms also matter: RTA Fleet360 and Fleetio's upper plans bill annually, while Simply Fleet and Fleet Rabbit allow monthly billing.

How was this comparison compiled?

StatWharf Editorial selected ten fleet maintenance products with live product pages, covering self-serve cloud tools, shop-oriented fleet management information systems and quote-based enterprise systems. Each vendor's own product, documentation or pricing page was read on 11 October 2026, and prices are recorded as published with billing units and conditions. No product was installed or tested, no vendor reviewed its entry, and the order of entries is not a ranking.
