Best IT Documentation Software (2026): Top 8 Compared
IT documentation software gives technicians one place to find the facts they need to support a network: client and site records, configurations, credentials, procedures, licences, domains and the relationships between them. The eight products below fall into three groups. IT Glue, Hudu, IT Portal, N-able Passportal and ConnectWise Documentation (formerly ITBoost) are structured documentation platforms built mainly for managed service providers, with password vaults, templates and PSA or RMM integrations. Liongard and Docusnap discover systems automatically and keep configuration records current, so they document what is actually deployed rather than what a technician remembers to write down. NetBox is a network source of truth that models devices, cabling, racks, IP addresses and VLANs for network and data centre teams. Four of the eight publish list prices; Passportal, ConnectWise, Liongard and NetBox Labs quote.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.
IT documentation software gives an IT team or managed service provider one trusted record of the environments it supports: the clients and sites, the devices and their configurations, the passwords, the licences and domains, and the procedures technicians follow. Buyers are usually MSP owners and service managers who need technicians to resolve tickets without asking colleagues, and internal IT leads who need documentation that survives staff turnover and audits.
The comparison below covers eight products: five structured documentation platforms built mainly for MSPs, two products that generate documentation through automated discovery, and one network source of truth for infrastructure teams. General wikis and IT asset management tools are not included. Pricing comes from each vendor’s public pricing page, checked on 12 October 2026. Four vendors publish list prices; Passportal, ConnectWise, Liongard and NetBox Labs quote.
Vendor details and trade-offs
IT Glue, a Kaseya company, sells an IT documentation platform to managed service providers and internal IT departments. Its pricing page describes it as a SOC 2-compliant documentation platform and claims that centralised, structured documentation can cut the time staff spend looking for information by half or more.
The product organises records into organizations, which IT Glue defines as secure containers for each client's documentation, so access can be limited to a single client or a few. Each plan card lists unlimited organizations and documentation and unlimited Lite Users, and the feature list on the page covers the asset template library, a password vault with SafeShare, access and audit controls with version history, SSO, IP access control, a one-time password generator, automated account backup, domain and SSL certificate tracking, checklists, a browser extension and a mobile app. The pricing page lists workflows, the Cooper Copilot AI assistant, an AI-powered SOP generator, API access, runbooks and a Microsoft cloud editor across the plans.
The three plans differ mainly in integrations: Basic allows one integration with one-way PSA sync, Select allows two with two-way PSA sync, and Enterprise allows unlimited integrations. Paid add-ons extend the core product. One auto-documents devices, ports, connections, Microsoft users and groups and BitLocker keys, and rotates passwords. Another gives end users a secure password and document manager with a help centre. myITprocess adds QBR reporting and IT roadmaps.
Potential strengths
- Every plan card lists unlimited organizations, unlimited documentation and unlimited Lite Users
- Higher plans add two-way PSA sync and more integrations, and the add-ons cover network discovery, end-user sharing and QBRs
Trade-offs
- Published prices assume a 36-month term and a five-user minimum
- Automated network documentation and end-user sharing are separate monthly add-ons
- Product reference
- Pricing source
- Billing terms: Per user per month, based on a 36-month term; one-time onboarding fee
- Source review: checked Oct 12, 2026
- Vendor confirmation: not confirmed
Hudu is IT documentation software used, by its own count, by more than 6,000 IT teams. It sells to managed service providers and to internal IT departments in sectors such as healthcare, government, education and finance, and it publishes comparison pages that position it against IT Glue, Confluence, Passportal and SharePoint.
The pricing model is the simplest in this group. There is one plan, priced per user, and it includes centralised documentation, a password vault, asset management, expiration tracking, a browser extension, IP address management, rack management, linked relationships between records, a knowledge base, process and SOP management, screen capture, photo management, data export, a mobile app, a secure client portal, website and SSL monitoring and the Hudini AI assistant. Hudu Bridge provides access across several accounts. Security controls include enforced SSO, MFA including Duo, granular permissions, audit logs and encryption at rest and in transit.
Hudu states that it can be cloud-hosted or self-hosted, which suits organisations whose clients or regulators require documentation to stay on their own infrastructure. Hudu Radar, priced by collectors, adds automated network discovery and monitoring, with one collector per client environment. The pricing page states that subscriptions can be cancelled at any time and that data can be exported when an account moves into limited access.
Potential strengths
- Unlimited companies, assets and storage, with unlimited free read-only portal users
- Lists more than 60 integrations, a REST API and webhooks, with SOC 2 Type II and ISO 27001 among its certifications
Trade-offs
- Automated network discovery is a separately priced add-on
- Discounts for bulk users or non-profits require a sales conversation
- Product reference
- Pricing source
- Billing terms: Monthly or annual; no long-term contract or cancellation fee
- Source review: checked Oct 12, 2026

IT Portal sells IT documentation software to managed service providers and internal IT departments, and its homepage states plainly that it is built for teams of 20 or more users. Smaller teams are invited to contact the company about their growth plans rather than sign up directly.
The reasoning given is adoption. Every team of 20 or more is assigned a dedicated onboarding specialist for a 90-day programme covering training and migration, intended to get the whole organisation using the platform rather than a few engineers. IT Portal lists enterprise security features for that size of team, including granular permissions, audit logs, SSO and SAML integration and compliance-ready reporting, and says the platform scales from 20 users to more than 250 across one or many sites.
The product is a centralised documentation platform with an AI assistant, which IT Portal demonstrates on its own public knowledge base. It can be hosted in the cloud or on premises, and one customer quoted on the homepage cites on-premises hosting and GDPR compliance in the EU as reasons for choosing it. Two add-ons are listed on the pricing page: Portal Rotate and My Portal. Pricing is published in bands that switch between per-user and flat monthly rates, so the per-user cost falls as the team grows, and longer terms carry larger discounts.
Potential strengths
- Volume bands make the per-user cost fall for larger teams
- Offers both cloud and on-premises deployment, with a 30-day money-back guarantee
Trade-offs
- The site states that the product is designed for teams of 20 or more users
- The pricing page shows two tables without clear labels, so the applicable band should be confirmed
- Product reference
- Pricing source
- Billing terms: Monthly, yearly or three-year terms

N-able Passportal is a cloud-based privileged access management product built for managed service providers. N-able states that it is used by 2,500 MSPs supporting 165,000 SMB clients, 29,000 technicians and 3 million assets. Passportal is relevant to this comparison because N-able sells it as a combined password manager and documentation manager, and the documentation features are described as a core part of the product rather than an extension.
The credential side encrypts, stores, generates and rotates passwords, applies granular access control by client, subfolder and individual password, synchronises with Active Directory and lets an MSP disable a departing technician's access with one click. N-able frames this as a zero-trust model in which no one has unrestricted access to client credentials.
The Documentation Manager adds standardised client documentation with ready-made and custom templates, unlimited documents, a free-form article editor, per-document access control, asset management and full version history, so technicians can see earlier configurations and how they changed. Documents can be sent to clients to reduce routine requests. N-able also sells Site, password management as a service for clients, and Blink, a self-service password reset tool. Pricing is by quote.
Potential strengths
- Documentation Manager includes built-in and custom templates, unlimited documentation, per-document access control and full version control
- Active Directory changes replicate between the directory and Passportal
Trade-offs
- No published pricing
- Positioned primarily as a privileged access manager, so documentation depth should be compared directly with dedicated platforms

ConnectWise sells IT documentation software under the name Documentation, formerly ITBoost. The product page presents it as a way to consolidate separate documentation tools into one system and so reduce cost and platform dependency for managed service providers.
Its features follow the standard pattern for MSP documentation. A centralised knowledge base holds client documentation with built-in best practices. Asset discovery collects asset data from cloud integrations without manual entry. Technicians can define standard operating procedures to keep work consistent across the team, and a password vault stores credentials with access controls and password reports for audit trails.
The distinction is the link to the rest of the ConnectWise platform. Documentation integrates with ConnectWise PSA, ConnectWise Automate and Reports and Dashboards, formerly BrightGauge, so tracked information appears where technicians already work. ConnectWise PSA partners can switch on Documentation from inside the PSA, which starts a data sync and shortens setup. VoIP integrations show who is calling, when that contact last spoke to the MSP and which assets and knowledge base articles relate to them. For an MSP already running ConnectWise tools, that integration is the main reason to shortlist it. For an MSP on other PSA or RMM tools, the case is weaker. ConnectWise does not publish a price.
Potential strengths
- Deep integration with ConnectWise PSA, Automate and Reports and Dashboards
- VoIP integrations show technicians the caller, recent contact history and linked assets and articles
Trade-offs
- No published pricing
- Most of the stated advantages assume the buyer already uses other ConnectWise products

Liongard describes its product, LiongardIQ, as an AI-driven asset intelligence platform that automatically discovers, documents and monitors assets, configurations and identities across an IT environment. It sells to managed service providers, managed security providers and internal IT teams, and frames the result as a system of authority for the whole IT stack.
For documentation buyers, the relevance is that Liongard writes the configuration record itself. The core platform covers centralised discovery and inventory of identities, devices, services and networks, AI-enriched search and asset summaries, a visual dashboard builder, custom alerting, continuous network monitoring and 18 months of configuration change history, with more than 105 integrations included. Customer quotes on Liongard's site describe onboarding and documentation as quick and say the data stays current once set up.
Liongard also positions the same data for adjacent work: security risk prioritisation through the ThreatImpactIQ add-on, audit readiness, billing reconciliation, client reporting through Visual Insights Pro, and preparation for mergers and acquisitions. HunterX is a separate external scanning product for prospecting. Liongard is usually one part of a documentation stack rather than the whole of it, because procedures, vendor contacts and client knowledge still need a written home. Pricing is per user by quote.
Potential strengths
- Lists more than 105 integrations in the core platform
- Change history and alerting show when a configuration drifted, not only its current state
Trade-offs
- No published pricing
- Does not replace a written documentation platform for procedures and client knowledge
- Product reference
- Pricing source
- Billing terms: Monthly subscription; annual agreements discounted up to 20%
- Source review: checked Oct 12, 2026

Docusnap is a German vendor of IT documentation software. Its current cloud product, Docusnap365, runs from an EU data centre, and the self-hosted Docusnap 15 remains available for organisations that want no cloud connection. The site addresses internal IT teams more than MSPs, with use cases such as documenting a network completely, building a full IT inventory, mapping dependencies between business services and systems, and preparing emergency documentation.
The core of the product is agentless automatic discovery. A gateway scans on-premises and cloud systems on a schedule, and the results flow into a central CMDB. Every edition includes all scan modules, network diagrams, vendor warranty matching, export, the SmartDocs document generator, a task centre and an AI assistant with a monthly credit allowance. The Pro edition transfers scan results daily and keeps a three-year archive.
The Business edition extends documentation into governance. It adds IT asset management, an information security management system, audit and compliance support for ISO 27001 and NIS2, permission analysis, CVE analysis and vulnerability management, with results updated every 12 hours and an MCP interface. Enterprise adds unlimited users and data, implementation, a customer success manager and extended frameworks such as DORA. Docusnap also links documentation to director liability and duty of care, which reflects its European audience.
Potential strengths
- Cloud edition is hosted in an EU data centre and is ISO 27001 certified
- Available as cloud software or as an on-premises edition with no cloud connection
Trade-offs
- Compliance, ISMS and asset management features require the Business edition
- Rack documentation and some customisation features were marked as coming soon
- Product reference
- Pricing source
- Billing terms: Billed annually
- Source review: checked Oct 12, 2026

NetBox is a network source of truth, a structured database of network and infrastructure that teams use to document what exists and how it connects. NetBox Labs sells hosted NetBox Cloud and self-managed NetBox Enterprise, and its site also points to the NetBox open-source community for teams that prefer to run the project themselves. NetBox Labs states that NetBox is more than a documentation tool, and it belongs in this comparison for buyers whose documentation problem is the network itself.
The data model covers physical assets, power systems and cabling, virtual assets, IP addresses and VLANs. Data centre infrastructure management features record racks and physical components, and IP address management shows every address in one place. Because the model enforces completeness and correctness, NetBox Labs presents it as a replacement for spreadsheets and a single source that anyone, or any automation tool, can query for a consistent answer. Every action is recorded in an audit log.
The hosted plans step up in scale and support. Starter is described as suited to infrastructure with hundreds of devices on a shared database cluster. Professional adds a staging environment, SSO group mapping and on-demand upgrades. Premium adds SOC 2 reports, SAML or custom SSO, high-availability deployment, private plugins and 24x7 support with response SLAs. Prices are by quote.
Potential strengths
- Covers IP address management and data centre infrastructure management in one record
- Hosted plans can run in US, Canadian, UK, EU or Asia Pacific regions
Trade-offs
- No published pricing for hosted plans
- Focused on network and infrastructure data, not client procedures, passwords or MSP workflows
- Product reference
- Pricing source
- Billing terms: Custom quote
- Source review: checked Oct 12, 2026
- Vendor confirmation: not confirmed
Frequently asked questions
What is IT documentation software?
IT documentation software is a central system where IT teams and managed service providers record what they support: clients and sites, devices and configurations, credentials, licences, domains, network layouts and standard procedures. Most products link these records together, so a technician opening a device can see its passwords, related assets and the procedure for fixing it. Some products also discover and update records automatically.
How much does IT documentation software cost?
Four of the eight products publish prices. Hudu is $27 per user per month billed annually. IT Glue is $29, $38 or $44 per user per month on a 36-month term with a five-user minimum. IT Portal starts at $20 per user per month and falls with volume. Docusnap365 starts at €199 per month. Passportal, ConnectWise Documentation, Liongard and NetBox Cloud quote.
What is the difference between IT documentation and IT asset management software?
IT asset management software tracks the lifecycle, cost, licences and ownership of hardware and software. IT documentation software records how systems are configured and supported, including passwords, procedures and relationships between assets. The two overlap on asset records, and Docusnap's Business edition covers both, but buyers usually choose them for different problems. StatWharf covers asset management on a separate page.
Is IT documentation software only for MSPs?
No. IT Glue, Hudu and IT Portal sell to both MSPs and internal IT departments. Passportal and ConnectWise Documentation are built mainly for MSPs that manage many clients. Docusnap focuses on internal IT teams, and NetBox serves network and data centre teams in any organisation.
Can IT documentation be generated automatically?
Partly. Liongard and Docusnap discover devices, identities, services and configurations and keep records current. IT Glue sells an add-on that auto-documents devices, ports and Microsoft users, Hudu sells the Radar discovery add-on, and ConnectWise lists asset discovery from cloud integrations. Procedures, vendor contacts and the reasons behind a configuration still have to be written by people.
Which IT documentation tools can be self-hosted?
Hudu states that it can be cloud-hosted or self-hosted. IT Portal offers cloud and on-premises deployment. Docusnap sells the on-premises Docusnap 15 alongside the cloud Docusnap365, and NetBox is available as a self-managed enterprise edition and as an open-source project. IT Glue, Passportal, ConnectWise Documentation and Liongard are presented as cloud products.
Should passwords be stored in the documentation platform?
Most MSP documentation platforms include a password vault so that credentials sit next to the assets they open. IT Glue, Hudu, Passportal and ConnectWise Documentation all list one. Buyers should compare access controls, audit logs, rotation and how quickly a departing technician's access can be removed, since Passportal, IT Glue and IT Portal each sell password rotation features.
