Best Field Service Management Software for HVAC (2026): Top 8 Compared

Updated October 2026By StatWharf Editorial8 vendorsMethodology

HVAC contractors need more from field service software than scheduling and invoicing. Maintenance agreements bring technicians back each season, flat-rate pricebooks keep field quotes consistent, and equipment history tells a technician which unit is on site before the truck arrives. The eight products below each publish an HVAC industry page or HVAC-specific features. Service Fusion, P3, Successware, Workiz and FieldPulse sell mainly to residential and light-commercial service shops. ServiceTrade, BuildOps and Commusoft describe themselves as built for commercial and mechanical HVAC contractors. Two of the eight publish prices.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Field service management software for HVAC handles the work that separates heating and cooling contractors from other trades: seasonal maintenance agreements, flat-rate repair pricing, equipment records for every installed unit, and replacement proposals. Commercial HVAC work adds preventive maintenance contracts across many sites, service level agreements and refrigerant records.

This page is written for owners, service managers and office leads at HVAC companies. Vendors were selected separately from the general field service management software comparison, which covers ServiceTitan, FieldEdge, Housecall Pro and broader enterprise suites. Every vendor here has an HVAC industry page or HVAC-specific documentation. Information comes from each vendor’s own pages, checked on 11 October 2026. Entries were compared on published documentation, not hands-on testing; the order is not a ranking.

Vendor details and trade-offs

Service Fusion

smbservicefusion.com ↗
Consider forHVAC and refrigeration service companies that expect to add technicians and office staff and want the software fee to stay flat as headcount grows
Pricing notesStarter $245/month, or $208/month billed annually; Plus $382/month, or $325/month billed annually; Pro $627/month, or $533/month billed annually. All plans include unlimited users; annual plans are charged as one payment at sign-up. GPS fleet tracking and ServiceCall.ai are add-ons (checked Oct 2026)
Feature to evaluateEvery plan includes unlimited users, so the subscription does not rise as technicians and dispatchers are added

Service Fusion is a field service management platform that lists HVAC and refrigeration first among its industries and publishes a dedicated HVAC service software page. The page covers drag-and-drop scheduling and dispatch, estimates built from pre-populated product and service line items, one-click conversion of estimates to jobs, a technician mobile app, customer job history and a customer web booking portal. Service Fusion's product menu also lists a flat-rate integration, homeowner financing and GPS fleet tracking.

The pricing model is the main difference from most products in this category. Service Fusion sells three plans, each with unlimited users. Starter costs $245 per month, or $208 per month when paid annually, and covers customer management, estimates and jobs, scheduling and dispatch, integrated payments, QuickBooks integration, invoicing and reporting. Plus costs $382 per month, or $325 annually, and adds job photo uploads, inventory management, job costing and integrated voice and text. Pro costs $627 per month, or $533 annually, and adds an open API, custom documents, eSign, a customer web portal and progressive and recurring invoicing. Annual plans are charged as a single payment at sign-up. The pricing page states that all plans come with no contract requirement, personalized onboarding and unlimited support by email, phone or chat.

The HVAC page states that Service Fusion is a QuickBooks Solution Provider, with bi-directional sync of customers, products and services and automatic sync of deposits, invoices and payments. Technicians can take card payments in the field with a Stripe reader. The page reports more than 6,500 customers.

A shop that sells many maintenance memberships should check how agreements, visit scheduling and recurring billing work on the plan it intends to buy, because recurring invoicing is included only in Pro.

Potential strengths

  • Prices for all three plans are published, monthly and annual
  • Unlimited users on every plan, with no contract requirement
  • Two-way QuickBooks sync of customers, products, invoices and payments

Trade-offs

  • Recurring invoicing, customer portal and eSign are add-ons below the Pro plan
  • The HVAC page does not describe maintenance agreement management in detail

P3 HVAC Software

specialisthvacbusinesssolutions.com ↗
Consider forHVAC contractors that want software built only for HVAC, with flat-rate pricing, equipment proposals and service agreement management, plus an account manager
Pricing notesBusiness Plus $150 per technician per month; Enterprise $225 per technician per month. Both on an annual contract, paid monthly. Licences are per technician; office staff do not require a licence. Telephone integration add-on starts at $100 (checked Oct 2026)
Feature to evaluateHVAC-only software whose plans include flat-rate pricing, equipment tracking, repair-or-replace analysis and service agreement management

P3 HVAC Software is sold by HVAC Business Solutions, based in Sugar Land, Texas. Unlike the multi-trade products on this page, P3 is marketed only to HVAC contractors. Its homepage describes scheduling, dispatching, invoicing, proposals, flat-rate pricing, service agreements and QuickBooks in one platform, and positions the company as a business partner that pairs software with process guidance.

P3 publishes two plans. Business Plus costs $150 per technician per month and Enterprise costs $225 per technician per month, both on an annual contract paid monthly. The pricing page states that licences are per technician and that office staff do not require one. Both plans list customer management, invoicing, flat-rate pricing, scheduling and dispatch, card processing, online bill pay, a mobile app, equipment tracking, an equipment sales module, equipment financing, diagnostics, service agreement management, repair-or-replace analysis, two-way texting, online scheduling and QuickBooks integration. Enterprise adds opportunity management and business automation, a success team and quarterly assessments instead of an annual one.

Onboarding is part of the offer. With annual payment, P3 states it loads QuickBooks customer data and equipment pricing from a distributor price book, and provides training. Customer data from spreadsheets, including equipment, history and service agreements, can also be loaded. A telephone integration that displays caller information and records calls starts at $100.

The homepage offers three planning calculators for service agreement revenue, equipment proposal close rates and deferred repairs. They show the business areas P3 focuses on. A contractor that also runs plumbing or electrical divisions should confirm that the product fits non-HVAC work.

Potential strengths

  • Per-technician prices are published for both plans
  • Office staff do not need a paid licence
  • Both plans include flat-rate pricing, equipment tracking, service agreement management and repair/replace analysis

Trade-offs

  • Both plans require an annual contract
  • The pricing page asks for contact details before showing the full breakdown

Successware

mid-marketsuccessware.com ↗
Consider forHome service HVAC companies that want call taking, dispatch, maintenance agreements and general accounting in one system rather than a separate accounting package
Pricing notesNot published. Successware directs buyers to request a live demo (checked Oct 2026)
Feature to evaluateAgreement accounting that can defer membership revenue or hold a service reserve, inside an integrated general ledger

Successware is home service management software whose HVAC page describes call taking, dispatching, integrated accounting, sales and marketing tools, customer relationship management and reporting in one product. Dispatching uses each technician's skill set and current location to build routes. The mobile app gives technicians a job summary form and one-click digital invoicing, and the inventory module tracks parts on hand and parts needed.

Maintenance agreements are where Successware's documentation goes furthest. Its help centre states that agreements can cover scheduled maintenance, unexpected service calls or both, and can run on a fixed term or perpetually. Because accounting is built in, the business chooses how agreement revenue is treated. Maintenance revenue can be deferred to the period in which the visit happens, and service agreements can fund a reserve account that is charged as covered work is done. Agreements can be billed periodically, at the time of service or in advance.

The Agreement Manager lets the office view agreements, run periodic billings in bulk, schedule visits and process renewals. A Successware blog post describes filtering by visits due, equipment age or unscheduled visits, building marketing lists for renewals and generating renewal documents. Technicians can add agreements from the mobile app as well as the office.

Successware does not publish prices; the HVAC page directs buyers to request a live demo. The integrated ledger is the main reason to choose it and also the main decision. A shop already settled on QuickBooks or another accounting package should ask how the two would coexist before a demo goes far.

Potential strengths

  • Accounting is built into the platform, which removes double entry between dispatch and the ledger
  • Agreements can cover maintenance, service or both, on fixed or perpetual terms
  • Agreements can be sold by technicians from the mobile app

Trade-offs

  • No published pricing
  • A business that wants to keep its ledger in separate accounting software should confirm how that would work

Workiz

smbworkiz.com ↗
Consider forResidential HVAC companies, including multi-location operators and franchises, that want service plans, flat-rate pricebooks and equipment tracking with automated call answering
Pricing notesStandard, Pro and Ultimate plans, each listed as "Request pricing". Service plans, flat-rate pricing, sales proposals and inventory management are listed in Ultimate. Annual subscriptions are discounted against monthly billing; free trial without a credit card (checked Oct 2026)
Feature to evaluateAn HVAC page covering service plans, flat-rate pricing, equipment tracking, extended warranties and consumer financing

Workiz is a field service platform for home service trades, and its HVAC industry page is built around residential HVAC revenue. It describes service plans that add predictable maintenance work in slow months, flat-rate pricebooks that technicians can quote from in the field, and good-better-best sales proposals for repair and replacement jobs. Equipment tracking records every unit installed or serviced, with model and serial numbers, installation dates and service history.

The page also covers multi-day projects with milestone billing for installs, extended warranties sold at installation, consumer financing for high-efficiency system sales, and an AI answering service that responds to calls, emails and texts. The integrations listed on the pricing page include QuickBooks, Reserve with Google, Angi Leads, Thumbtack, CompanyCam, Sunbit and Wisetack.

Workiz sells three plans: Standard for growing teams, Pro for mid-size teams and Ultimate for multi-location teams and franchises. None shows a price; each is marked "Request pricing". The plan comparison lists a price book on every plan, but flat-rate pricing, service plans, sales proposals and inventory management are in Ultimate. An HVAC shop that needs memberships and a flat-rate book should therefore expect to price the top tier. The pricing FAQ says annual subscriptions cost less than monthly billing, and the free trial does not require a credit card.

Workiz fits a residential HVAC company that wants maintenance plans, equipment records and call handling in one product and is willing to request a quote. The plan structure is the main budgeting question to settle with sales.

Potential strengths

  • Equipment tracking stores model numbers, serial numbers, installation dates and service history
  • Good-better-best sales proposals for repair and replacement quotes
  • Free trial with no credit card required

Trade-offs

  • No plan prices are published
  • Service plans and flat-rate pricing are listed only in the Ultimate plan

FieldPulse

smbfieldpulse.com ↗
Consider forGrowing HVAC-R businesses, residential or commercial, that want maintenance agreements, a booking portal and job costing with optional pricebook and phone add-ons
Pricing notesSeat-based pricing, quoted on request. Premium products, including Pricebook, Engage, Operator AI, FieldPulse Payments, Financing, Fleet Tracking and Custom Forms, are optional; Engage uses line and licence-based pricing (checked Oct 2026)
Feature to evaluateA maintenance agreement module that automates recurring visits, tracks service history and sends renewal reminders

FieldPulse is a field service platform based in Dallas, Texas. Its HVAC-R solution page is aimed at growing teams and has separate residential and commercial views. It covers a booking portal that can be embedded on a contractor's website, drag-and-drop scheduling with team views, live GPS tracking, job and project management with cost tracking, estimates built from pre-defined pricing with optional add-ons, invoicing, dashboards and reports.

For HVAC recurring revenue, the maintenance agreements module is the relevant feature. FieldPulse describes it as automating recurring maintenance services and schedules, storing all agreements in one place with service history and upcoming tasks, and sending automatic reminders when contracts are due for renewal. The same page presents the module as membership management for recurring service agreements. Asset and equipment management and customer site management also appear in the product menu.

FieldPulse does not publish a price. Its pricing page describes seat-based pricing built around what the team needs, with a custom quote in one conversation. The core platform is separate from premium products: Engage, its VoIP phone system; Operator AI for booking calls; Chat AI; Pricebook; FieldPulse Payments; Financing; Fleet Tracking and Custom Forms. These are optional. Engage uses line and licence-based pricing.

For an HVAC shop that relies on flat-rate pricing, the Pricebook add-on will be part of the real cost, so it should be included in the quote request. FieldPulse fits a growing HVAC-R company that wants agreements, project tracking and customer booking in one system and is comfortable with a sales conversation to set the price.

Potential strengths

  • Maintenance agreements include automated recurring scheduling and renewal reminders
  • HVAC-R page covers both residential and commercial work
  • Optional add-ons let a shop leave out tools it does not need

Trade-offs

  • No published seat price
  • Pricebook is sold as an optional premium product, not part of the core plan

ServiceTrade

specialistservicetrade.com ↗
Consider forCommercial mechanical HVAC contractors whose revenue depends on contracted preventive maintenance and pull-through repair work found during PM visits
Pricing notesSelect, Premium and Enterprise suites. Pricing is based mainly on the number of technicians plus the suite chosen; no figures are published. Unlimited office users on Select (checked Oct 2026)
Feature to evaluateBuilds service agreement proposals by applying pricing models to each customer's equipment inventory

ServiceTrade sells field service software to commercial service contractors and has a dedicated page for mechanical HVAC. The page centres on contracted preventive maintenance: scheduling planned maintenance with reminders when visits are due, dispatching technicians for new service calls, and running several offices on one standard platform. Technicians follow task lists during maintenance and report equipment issues, which ServiceTrade frames as pull-through revenue from PM work.

The sales side is specific to commercial HVAC. ServiceTrade states that contractors can apply pre-built or custom pricing models to a customer's equipment inventory to build service agreement proposals, track sales progress and collect electronic signatures. Parts management lets technicians raise purchase orders from the mobile app and helps ensure parts bought for a customer are billed at the correct markup. Project management tracks budgets and progress. The company reports more than 1,300 customers and 13 years of history.

Pricing is quoted. The pricing page says cost is driven mainly by the number of technicians, plus the suite. Select includes unlimited office users, the technician app, a dispatch board and map scheduler, equipment history, deficiency capture, online quotes and QuickBooks integration. Premium adds AI features, technician timecards, subcontract management, project budgets, advanced quoting and invoicing and a customer portal. Enterprise adds a technician capacity planner, multi-brand and multi-region operations, recurring contract pricing and proposal management, and parts and inventory management.

ServiceTrade fits a commercial mechanical contractor with a large PM book. A residential shop selling homeowner memberships and flat-rate repairs is not the buyer its HVAC page describes.

Potential strengths

  • Unlimited office users on every suite
  • Equipment history and deficiency capture are in the entry Select suite
  • Built around preventive maintenance and pull-through revenue for commercial work

Trade-offs

  • No published prices
  • Recurring contract pricing, proposal management and parts inventory are listed in the Enterprise suite

BuildOps

mid-marketbuildops.com ↗
Consider forCommercial HVAC and mechanical contractors servicing RTUs, VRF systems, chillers and boilers that run service, preventive maintenance and projects together and need ERP integration
Pricing notesNot published. BuildOps prepares a custom proposal based on the number of users, the trades run and the modules and integrations needed. Fleet+, Payments+ and CRM+ are add-on modules (checked Oct 2026)
Feature to evaluateTwo-way sync of time, purchase orders and invoices with ERP job costing and payroll, plus an integration with Bluon's HVAC technical data

BuildOps describes itself as a platform for commercial contractors, and its HVAC/mechanical page names the equipment it is built around: rooftop units, VRF systems, chillers and boilers. The page says BuildOps connects service, maintenance and projects in one AI-native platform. Its service management modules include work order closeout, asset management, preventive maintenance, scheduling and dispatch, and purchasing and inventory. Project management tracks jobs against estimates in real time, and sales tools cover quote-to-contract and the handoff from sales to operations.

Integration is a large part of the case. BuildOps states that it integrates with Sage, Viewpoint and QuickBooks and syncs field data such as time, purchase orders and invoices with the ERP's job costing and payroll modules in both directions. It also integrates with Bluon, which it describes as a technical data repository for commercial HVAC businesses. Its built-in AI, OpsAI, recaps the day and flags risks for each role. BuildOps publishes a separate refrigeration industry page as well.

Pricing is custom. The pricing page says there is no one-size number; plans are built around the number of people who need the software, the trades run and the tools the back office depends on. A buyer sees a focused demo in the first one or two conversations and then receives a proposal. Fleet+, Payments+ and CRM+ are add-on modules.

BuildOps fits a commercial mechanical contractor that mixes service calls, maintenance contracts and installation projects and already runs an ERP. A residential shop selling homeowner memberships and flat-rate repairs is outside the market its HVAC page addresses.

Potential strengths

  • Service, preventive maintenance and project management in one commercial platform
  • Two-way integration with Sage, Viewpoint and QuickBooks
  • Separate industry pages for HVAC/mechanical and refrigeration

Trade-offs

  • No published pricing; a proposal follows discovery and a demo
  • Built for commercial contractors, not residential membership sales

Commusoft

mid-marketcommusoft.com ↗
Consider forCommercial HVAC contractors with multi-site clients that need service contracts with SLA clocks, scheduled planned maintenance and refrigerant usage records per asset
Pricing notesNot published. Commusoft Jobs is sold in tiered plans with Plus modules, quoted by the sales team. Contracted licences run on a 12-month contract; monthly rolling licences can be added for seasonal staff; daily licences are billed by days used. All office staff, managers and technicians need a licence (checked Oct 2026)
Feature to evaluateAsset maintenance records refrigerant type and quantity used on every service, alongside SLA clocks on service contracts

Commusoft is a field service management company headquartered in the United Kingdom that sells in the United States through a US site. Its HVAC page is aimed at commercial HVAC contractors. It names three operational problems: technician productivity, compliance with the AIM Act's refrigerant rules, and managing commercial clients with many sites.

For compliance, Commusoft says its asset maintenance feature tracks the refrigerant type and quantity used on every service for every asset, creating an audit trail. Its CRM tracks assets, contracts and service history across all of a client's locations. Service contract management lets the contractor create HVAC service contracts and have planned preventive maintenance visits and recurring invoices scheduled automatically, and contracts include SLA clocks and prioritization tools. When a technician logs a defect on a unit during a visit, it creates a sales opportunity in the Sales+ module, and the office can send a multi-option proposal. Inventory management tracks parts across the warehouse and each truck with minimum stock levels.

Commusoft does not publish prices. Its plans page describes Commusoft Jobs as a core product with tiered plans and Plus modules, including Fleet+, Sales+ and Analytics+. Three licence types are offered. Contracted licences lock the price for a 12-month term that renews annually. Monthly rolling licences can be added and removed for seasonal staff. Daily licences are billed by the number of days used and suit subcontractors. All office staff, managers and technicians need a licence, and onboarding with a dedicated trainer is part of the package.

Commusoft fits a commercial HVAC contractor with contract maintenance, SLAs and refrigerant compliance to manage. Residential membership selling is not the focus of its HVAC page.

Potential strengths

  • Refrigerant tracking per asset supports AIM Act record keeping
  • Service contracts schedule planned maintenance and recurring invoices automatically, with SLA clocks
  • Daily licences suit subcontractors, and monthly rolling licences suit seasonal hires

Trade-offs

  • No published prices
  • Every office user, manager and technician needs a licence, on a 12-month contract for the base plan

How to choose a vendor

Separate residential from commercial HVAC

Residential shops sell memberships to homeowners, quote repairs from a flat-rate book and present good-better-best replacement options. Commercial mechanical contractors run preventive maintenance contracts across many customer sites, track rooftop units, chillers and refrigerant use, and often need project and ERP integration. ServiceTrade, BuildOps and Commusoft state a commercial focus. The other five lead with residential service workflows.

Check where agreements and flat rate sit in the plan

Several vendors put HVAC features in higher tiers or add-ons. Workiz lists service plans and flat-rate pricing in its Ultimate plan. Service Fusion lists recurring invoicing as an add-on below its Pro plan. FieldPulse sells its pricebook as an optional premium product. ServiceTrade lists recurring contract pricing and proposals in its Enterprise suite. Ask each vendor which plan covers maintenance agreements, renewals and a flat-rate book.

Count who needs a licence

Billing units differ. Service Fusion charges a flat monthly rate with unlimited users. P3 charges per technician, and office staff do not need a licence. ServiceTrade prices mainly by the number of technicians and includes unlimited office users. Commusoft requires a licence for every office user, manager and technician, with daily licences for subcontractors. Model the cost at the headcount expected after the next peak season.

Frequently asked questions

What is field service management software for HVAC?

It is field service software with features HVAC contractors use daily: maintenance agreements or memberships that schedule seasonal tune-ups and renewals, flat-rate pricebooks for consistent repair quotes, equipment records with model and serial numbers, and good-better-best replacement proposals. Commercial HVAC versions add preventive maintenance contracts across many sites, SLA tracking and refrigerant records.

How were the vendors on this page selected?

Each vendor publishes an HVAC industry page or HVAC-specific product documentation, such as maintenance agreements, flat-rate pricing, equipment tracking or refrigerant tracking. The list is separate from the general field service management comparison, so ServiceTitan, FieldEdge and Housecall Pro appear there instead. Information comes from vendor websites and help centres checked on 11 October 2026. Entries were compared on published documentation, not hands-on testing, and the order is not a ranking.

Which HVAC field service tools publish their prices?

Service Fusion and P3 HVAC Software publish prices. Service Fusion's Starter plan costs $245 per month, or $208 per month billed annually, with unlimited users. P3 costs $150 per technician per month for Business Plus and $225 for Enterprise, on an annual contract. Successware, Workiz, FieldPulse, ServiceTrade, BuildOps and Commusoft quote on request.

What should HVAC contractors look for in maintenance agreement features?

Check whether agreements can cover maintenance visits, service calls or both; whether visits are scheduled automatically; how renewals are flagged; and how agreement revenue is billed. Successware documents deferred revenue and service reserves for agreements. FieldPulse and P3 list renewal and agreement management. Workiz lists service plans in its Ultimate plan, so the plan level matters as much as the feature.

Is a flat-rate pricebook included or sold separately?

It varies. P3 lists flat-rate pricing on both of its plans. Workiz includes a basic price book on all plans but flat-rate pricing only in Ultimate. FieldPulse sells Pricebook as an optional premium product. Service Fusion lists a flat-rate integration in its product menu. Buyers should ask which plan includes the flat-rate book and whether HVAC content comes preloaded.

What is the difference between residential and commercial HVAC software?

Residential tools focus on homeowner memberships, call booking, flat-rate repair quotes and replacement proposals with financing. Commercial tools focus on preventive maintenance contracts across many sites, equipment inventories such as rooftop units and chillers, deficiency reporting, SLAs, project budgets and ERP integration. ServiceTrade, BuildOps and Commusoft state a commercial focus on their HVAC pages.

Do HVAC field service platforms help with refrigerant compliance?

Commusoft states that its asset maintenance feature records refrigerant type and quantity for every service on every asset to support AIM Act compliance. The other vendors on this page do not describe refrigerant tracking on the HVAC pages reviewed. Contractors with refrigerant reporting duties should ask each vendor to demonstrate how usage is recorded and reported.

How do HVAC field service tools charge for users?

Service Fusion charges a flat company rate with unlimited users. P3 charges per technician and does not license office staff. ServiceTrade prices mainly by technician count and includes unlimited office users. FieldPulse is seat-based. Commusoft licenses every office user and technician, with monthly rolling and daily licences for seasonal staff and subcontractors. BuildOps prices by the number of people who need access.
