Best Desk Booking Software (2026): Top 11 Compared
Desk booking software lets employees in a hybrid office reserve a desk before they arrive, check in when they sit down and release desks they no longer need, while workplace teams see how much of the floor is actually used. The eleven products below fall into three groups. Robin, OfficeSpace, Eptura Engage (formerly Condeco) and Kadence are workplace platforms that pair desk booking with space planning, move management and analytics, and none publishes a price. Envoy, Joan and Tactic are modular suites that started with visitors, room displays or booking and let a buyer add desks as one product. Skedda, deskbird, YAROOMS and Archie publish full plan prices, which makes them easier to budget for small and mid-sized offices.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.
Desk booking software helps hybrid offices run shared desks. Employees see a floor plan, reserve a desk for a day or a recurring slot, check in on arrival and release the desk if plans change. Workplace and facilities teams set rules by team or neighbourhood, release desks nobody claimed and use booking data to decide how much space the office needs. Most products also book meeting rooms and parking, and many add visitor sign-in.
The comparison below covers eleven products. Features and pricing come from each vendor’s product and pricing pages, checked in October 2026. Six vendors publish prices, but on different units: per desk, per bookable resource, per active user, per user band or per device. The enterprise platforms quote individually, and their profiles record what each pricing page states about how quotes are built.
Related pages cover employee experience platforms and HR software.
Vendor details and trade-offs
Robin sells a unified workplace platform. Its pricing page groups the product into resource booking for desks, rooms, parking and lockers; space management with a map editor, neighbourhoods, move management and booking policies; meeting management with Google and Microsoft calendar sync; workplace analytics; visitor management; and employee experience tools such as hybrid work policies, announcements and surveys.
The page is unusually direct about fit. It states the platform is designed for companies with 500 or more employees, with at least a third using the office regularly, and that buyers with more than 150 hybrid employees using an office may be a fit. It also says buyers looking only for a point solution have better options.
Robin suits multi-site organisations that want to replace several workplace tools with one vendor and accept a quote-based process.
Potential strengths
- The pricing page lists every module included in the platform, from desk and parking booking to visitor management and surveys
- Scenario planning and move management are included alongside booking
Trade-offs
- No prices are published
- The vendor itself states it is not the right choice for buyers who want a single point tool such as room displays only

Envoy describes itself as one workplace platform and sells modules for Visitors, Response, Reservations, Screens and Deliveries on top of a core platform layer for administration, identity and analytics. Every plan starts with that platform, and the pricing page notes on each module that its price excludes the platform fee.
Envoy Reservations is the desk booking module. Its Standard tier costs $5 per bookable resource per month, billed annually, and covers desks, rooms and parking. Desk reservations support hot desking, hoteling and permanent assignment. The module includes multi-day scheduling, mobile booking, real-time availability on maps, room scheduling on displays with walk-up booking, auto-release of desks and rooms after missed check-ins, reminders, admin alerts, privacy controls and a desk reservation log.
Envoy fits organisations that want visitor sign-in and desk booking from one vendor, with a published starting price for each.
Potential strengths
- A per-resource price is published for desk reservations
- Modules for visitors, emergency response, screens and deliveries can be added on the same platform
Trade-offs
- The published price excludes a platform fee whose amount is not shown on the plan card
- Pricing per bookable resource rises with every desk, room and parking space added

Tactic sells modular workplace software. Its pricing page groups products into Engage (desk booking, room booking, visitor management, maps and mobile), Operate (workplace requests, managed rooms, move and space management, utilisation analytics) and Connect (SSO, SCIM, integrations, APIs and the Tessa AI assistant), and states these are groupings rather than mandatory plans. Products can be bought individually.
Pricing depends on the products chosen, the resources managed and the rollout support needed. An estimator on the page gives rough annual ranges, and the page stresses that final pricing depends on integrations, floor plans and onboarding.
The desk booking page documents hot desking, hoteling and assigned seating, recurring and multi-day bookings, priority rules, neighbourhoods, interactive maps, check-in with auto-release and delegated booking for executive assistants. Tactic fits teams that want to start small.
Potential strengths
- A public estimator gives a rough annual range before a sales call
- No hardware is required; check-in works through the app, Slack, Teams, Wi-Fi or QR codes
Trade-offs
- The estimator is a rough range, so the final price needs a written quote
- Capabilities included in a deployment depend on the scope quoted

Frequently asked questions
What is desk booking software?
Desk booking software lets employees reserve a desk in a shared office before they arrive, usually from a floor plan in a web or mobile app, Microsoft Teams or Slack. It supports hot desking, where desks are taken on the day, and hoteling, where desks are reserved in advance. Most products add check-in, automatic release of unclaimed desks and reports on office use.
How much does desk booking software cost?
Six of the eleven products publish prices as of October 2026. Archie charges $2.8 to $3.5 per desk per month with monthly minimums, Envoy $5 per bookable resource per month plus a platform fee, deskbird $3.75 per active user per month billed annually, Skedda from $249 a month for 35 spaces in the US, YAROOMS from $99 a month for 10 users, and Joan from €49 a month. Robin, OfficeSpace, Eptura Engage, Kadence and Tactic quote.
What is the difference between hot desking and desk hoteling?
Hot desking means employees take any free desk on the day, first come, first served. Desk hoteling means employees reserve a specific desk ahead of time, often on a recurring basis. Most products on this page support both, along with permanently assigned desks, and OfficeSpace also documents reverse hoteling, where an assigned desk is released for others to book when its owner is away.
Is desk booking priced per user or per desk?
It depends on the vendor. Archie, Envoy and Skedda price per desk, space or bookable resource, so headcount does not change the bill. deskbird charges per active user, Kadence bills only users who booked in a month, YAROOMS sells user bands, and Joan charges a base fee plus users and devices. Offices with many employees and few desks usually compare better on per-desk pricing.
Do these tools need sensors or hardware?
No. Tactic states no hardware is required, and most products offer QR code, mobile or geolocation check-in. Hardware is optional for automation: deskbird sells the deskbird Dock for automated check-in, Kadence documents Kadence Sense, OfficeSpace Pro Plus uses badge and Wi-Fi presence, and Joan sells room displays licensed per device.
Which products integrate with Microsoft Teams and Outlook?
deskbird includes a Microsoft Teams app in its Business plan. YAROOMS adds a Teams app in Business, Archie offers Teams and Outlook booking in Pro, and Eptura Engage documents booking from Outlook and Teams and through Copilot. OfficeSpace, Kadence and Tactic list Microsoft Teams integrations, and Robin documents Google and Microsoft calendar sync.
What happened to Condeco?
Condeco was rebranded to Eptura Engage. The condecosoftware.com website now redirects to eptura.com with a notice that the product formerly known as Condeco is sold as Eptura Engage. Existing customers use Eptura's knowledge centre and support portal, and new buyers book a demo through Eptura.
How was this comparison compiled?
Each vendor's product and pricing pages were read on 7 October 2026, and pricing notes record what those pages showed on that date. The comparison is based on published information only. The products were not used or tested, and no vendor confirmed its entry. All eleven entries have dated source checks, and their order does not rank product quality.
