Best Accounts Receivable Software for Small Business (2026): Top 8 Compared

Updated October 2026By StatWharf Editorial8 vendorsMethodology

Small businesses rarely need the invoice-to-cash suites sold to enterprise credit teams. The eight products below split into two groups. Paidnice, InvoiceSherpa, BILL and Melio sit beside an existing accounting system and automate reminders, payment collection or both. QuickBooks Online, Xero, FreshBooks and Zoho Invoice are invoicing or accounting products with receivables tracking and reminders built in. All eight publish prices, and four offer a free plan or a free tier for receivables.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Accounts receivable software helps a business get paid for the invoices it sends. For a small business, the work is narrower than in an enterprise finance team: send the invoice, make it easy to pay, remind customers before and after the due date, apply late fees or discounts, and keep the accounting records in step with what has been collected. Most small businesses have no dedicated collections staff, so the value of the software is in doing the follow-up automatically.

This page is written for owners, office managers and bookkeepers at small businesses. Vendors were selected from outside the general accounts receivable software comparison, which covers invoice-to-cash suites for mid-market and enterprise AR teams, nearly all of them quote-only. The eight vendors here were chosen on documented evidence of small-business fit: plans named or priced for sole proprietors and small businesses (InvoiceSherpa, Melio), product pages addressed to small businesses (QuickBooks Online, Xero, FreshBooks, Zoho Invoice), or integration-first products built for QuickBooks Online and Xero users (Paidnice, BILL). Every vendor publishes its pricing.

How a small business should shortlist

Three documented differences separate the eight vendors. The first is whether receivables should live in the ledger or in an add-on. QuickBooks Online, Xero, FreshBooks and Zoho Invoice include invoicing and reminders. Paidnice and InvoiceSherpa add collections automation on top of an existing ledger, and BILL and Melio combine receivables with bill pay.

The second is the billing unit. Paidnice charges by invoices monitored, InvoiceSherpa by open invoices plus a 1% fee on payments, BILL per user, FreshBooks by billable clients and Xero caps invoices on its entry plan.

The third is collections depth. Late fees, payment plans, statement runs and SMS reminders are documented for Paidnice and InvoiceSherpa. Melio’s receivables offer focuses on payment acceptance and does not describe dunning. All entries carry October 2026 source checks; the order is not a ranking.

Vendor details and trade-offs

Paidnice

smbpaidnice.com ↗
Consider forSmall businesses on Xero, QuickBooks Online or Stripe that want reminders, statements, late fees and early-payment discounts applied automatically
Pricing notesEssentials $69/month for up to 150 invoices and 2 team members; Pro from $99/month for 300 invoices with unlimited users, rising to $799/month for 4,000 invoices; Custom from $999/month; billed monthly, first 20 actions free (checked Oct 2026)
Feature to evaluatePricing is set by invoices monitored rather than invoice value or revenue band, with late fees and discounts applied to the ledger

Paidnice is accounts receivable automation built for Xero and QuickBooks Online, with a Stripe integration. It connects to the ledger, reads open invoices, and then applies the business's payment terms automatically: reminders before and after the due date, statements, late fees added to the invoice, early-payment discounts and escalation tasks. The homepage states the product was named Xero App of the Year in 2025 (global) and 2026 (New Zealand), which signals its Xero focus.

The pricing model suits small businesses because it does not depend on invoice value or annual revenue. Essentials costs $69 per month for up to 150 invoices monitored, 600 emails and 2 team members. Pro starts at $99 per month for 300 invoices and steps up by volume to $799 per month for 4,000 invoices, all with unlimited users. Pro adds a custom email domain, sender profiles, payment plans, multi-currency support, webhooks and multiple entities, with extra entities at $29 per month each. SMS reminders are charged separately at $0.10 each in USD.

The Custom plan, from $999 per month, is aimed at businesses above 4,000 invoices a month and adds custom ERP integrations and Creditsafe credit checks. For most small businesses the relevant decision is whether Essentials limits on seats and invoices are enough, or whether payment plans and unlimited users justify Pro.

Potential strengths

  • Every tier price is published in seven currencies, with no contracts or lock-ins stated
  • Late fees, discounts, statements and reminders by email and SMS run from the customer's payment terms
  • Pro tiers include unlimited users, payment plans and multi-currency support

Trade-offs

  • Essentials allows only 2 team members and 150 invoices a month, so a growing firm moves to Pro quickly
  • Integrations listed are Xero, QuickBooks Online and Stripe; other ledgers need the Custom plan from $999/month

InvoiceSherpa

smbinvoicesherpa.com ↗
Consider forSole proprietors and small service firms, such as agencies, law firms, IT consultancies and bookkeepers, that want reminders, a payment portal and autopay synced to accounting software
Pricing notesSole Proprietor $49/month up to 100 open invoices; Small Business $99/month for 101-500; Enterprise $199/month unlimited; 1% transaction fee on all invoices paid; lower rates shown under the page's alternate billing option; 14-day free trial (checked Oct 2026)
Feature to evaluateTiers are named for sole proprietors and small businesses and priced by open invoice count, with every feature on every plan

InvoiceSherpa is accounts receivable automation with integrated payments for small businesses. It syncs invoices and customer records from the accounting platform, sends the invoice and late-payment reminders on a schedule the business defines, collects card or ACH payments through a customer portal, and reconciles the payment back to the books. The homepage names marketing agencies, law firms, IT services firms, software companies and accounting practices as typical customers, and states that it works for any business that sends invoices.

The plan names make the target segment explicit. Sole Proprietor costs $49 per month for up to 100 open invoices, Small Business $99 per month for 101 to 500, and Enterprise $199 per month with no invoice cap. Open invoices are unpaid invoices synced from the accounting platform in open or draft status. Every plan includes the same feature list: custom scripting and scheduling, unlimited reminders, SMS reminders, a branded portal, autopay, installment plans, transaction surcharging, batch payments and recurring charges. Plans run month to month with no annual commitment.

The cost model has a second part. A 1% transaction fee applies to all invoices paid, waived only for payments processed through Propelr when that account is opened through InvoiceSherpa's integrations page. A business collecting $50,000 a month would pay about $500 in fees on top of the subscription, so the waiver condition matters more than the plan tier.

Potential strengths

  • All plans include unlimited reminders, SMS reminders, a branded customer portal, autopay and installment plans
  • Month-to-month pricing with no annual contract and a 14-day trial without a credit card
  • Automated reconciliation writes payments back to the accounting software

Trade-offs

  • A 1% transaction fee applies to all invoices paid, which can exceed the subscription at higher volumes
  • The fee waiver depends on opening an account with a named payment partner through the integrations page

BILL

smbbill.com ↗
Consider forSmall businesses that want to send invoices, automate reminders and collect ACH or card payments in the same account they use to pay bills
Pricing notesEssentials $49/user/month (CSV sync only); Team $65/user/month; Corporate $89/user/month; Enterprise custom; receiver fees $0.59 per ACH payment and 2.9% per card payment (checked Oct 2026)
Feature to evaluateOne subscription covers both paying suppliers and collecting from customers, with two-way QuickBooks and Xero sync from the Team tier

BILL is a financial operations platform best known for accounts payable, with an accounts receivable module sold in the same plans. The receivables product covers invoice templates, single and recurring invoices, sending by email or by post, status tracking, automated reminders, payment by ACH or card, and auto-charge or auto-pay for repeat customers. The pricing page addresses startups, established brands and accountants, and the tiers are built around QuickBooks and Xero users.

Pricing is per user per month. Essentials costs $49, Team $65 and Corporate $89, with Enterprise on custom pricing. All three published tiers carry the same receivables feature list. The difference that matters for receivables is the accounting sync: Essentials exchanges data only by manual CSV, while Team and Corporate sync two ways with QuickBooks Online, Pro, Premier and Xero. Enterprise adds NetSuite, Sage Intacct, Microsoft Dynamics and Acumatica.

Receiving businesses also pay transaction fees: $0.59 per ACH payment and 2.9% per card payment, according to the published fee schedule. A small business that already pays suppliers through BILL gains the most, because payables and receivables then share one login, one approval model and one sync. A business that only needs collections reminders may find a collections-only add-on cheaper per seat.

Potential strengths

  • Receivables features, including automated reminders, auto-charge and auto-pay, appear on every tier
  • Team and Corporate tiers sync two ways with QuickBooks Online, Pro, Premier and Xero
  • Invoices can be sent by email or mailed by BILL

Trade-offs

  • Pricing is per user, so a firm with several finance staff pays for each seat
  • Essentials connects to accounting software only through manual CSV import and export

Consider forVery small businesses that want to send branded invoices and payment links and accept card or ACH payments without paying for a separate receivables tool
Pricing notesGo $0 (1 user); Core $25/month plus $10 per extra user; Boost $55/month plus $10 per extra user; Unlimited $80/month with unlimited users; annual billing $20, $44 and $64/month; AR and invoicing free on every plan (checked Oct 2026)
Feature to evaluateInvoicing, payment links and card or bank acceptance cost nothing extra on any plan, and the payer can be asked to cover card fees

Melio is a payments platform for small businesses that combines bill pay with free receivables. Its accounts receivable page describes branded invoices with a built-in payment link, a personal payment page link for a website or email signature, card or ACH acceptance, payment tracking from request to deposit, and automatic sync of incoming payments to QuickBooks. Customers can pay without creating an account.

The pricing page lists receivables and invoicing as free on every plan. The Go plan is free for one user and includes invoicing, card or bank payments and payment links. Core costs $25 per month plus $10 per additional user and adds QuickBooks Online and Xero sync and branded invoices. Boost costs $55 per month and adds QuickBooks Desktop sync. Unlimited costs $80 per month with unlimited users and NetSuite sync. Annual billing lowers these to $20, $44 and $64 per month.

The trade-off is depth. Melio's receivables offer is about getting paid easily rather than running a collections process; the pages checked do not describe dunning sequences, late fees or collector worklists. A small business whose main problem is that customers find it hard to pay will find the free tier useful. A business whose problem is that customers pay late will likely pair Melio or its ledger with a collections tool.

Potential strengths

  • Receivables features are free on every plan, including the free Go tier
  • The business chooses whether it or the customer pays card processing fees
  • Incoming payments sync to QuickBooks and match to invoices

Trade-offs

  • The receivables page does not list automated dunning sequences, late fees or collector workflows
  • Accounting sync starts on Core, and QuickBooks Desktop sync starts on Boost

QuickBooks Online

smbquickbooks.intuit.com ↗
Consider forSmall businesses that want invoicing, payment collection, reminders and receivables reporting inside their accounting system rather than in a separate tool
Pricing notesFree plan with 1 user and 2 invoices/month (unlimited with QuickBooks Payments); Simple Start $38/month; Essentials $85/month; Plus $140/month; Advanced $340/month; 50% off for 3 months on some plans; no annual contract (checked Oct 2026)
Feature to evaluateMost collections add-ons in this comparison integrate with it, so a business can start with built-in reminders and add depth later

QuickBooks Online is Intuit's cloud accounting product for small businesses, and its receivables features are part of the ledger: invoices, card and bank payments through QuickBooks Payments, invoice status updates and reminders, and receivables reports. The pricing page states that Intuit has 28 years of experience helping small businesses, and most of the specialist collections tools in this comparison list QuickBooks Online as a primary integration.

List prices are monthly. A free plan for one user sends 2 invoices per month, or unlimited invoices when QuickBooks Payments is enabled. Simple Start costs $38, Essentials $85, Plus $140 and Advanced $340 per month, with promotional discounts of 50% for 3 months on some plans at the time of the check. Simple Start includes invoicing and payment collection with reminders. Essentials adds bulk invoice creation and Payments AI. Advanced adds automated workflows with reminders, batch invoicing and up to 25 users.

For a small business, the question is whether built-in reminders and receivables reports are enough. A firm sending a few dozen invoices a month to reliable customers may never need more. A firm with chronic late payers often keeps QuickBooks Online as the ledger and adds a collections tool that syncs to it.

Potential strengths

  • Invoicing with QuickBooks Payments, status updates and reminders starts on Simple Start
  • Advanced adds automated workflows, batch invoicing and reminders for cash flow
  • Paid plans can be switched or cancelled at any time

Trade-offs

  • The free plan sends only 2 invoices a month unless QuickBooks Payments is enabled
  • Receivables tools are general-purpose; dedicated late fees, payment plans and statement runs are stronger in add-ons such as Paidnice or InvoiceSherpa

Xero

smbxero.com ↗
Consider forSmall businesses that keep their books in Xero and want invoicing, automated reminders and an outstanding-invoice view without another subscription
Pricing notesEarly $27/month with 20 invoices; Growing $59/month; Established $97/month with multi-currency and 180-day cash flow forecast; first 3 months discounted to $5.40, $11.80 and $19.40 (checked Oct 2026)
Feature to evaluateInvoice open tracking and automated reminders sit in the ledger, and Xero-focused collections apps such as Paidnice add depth

Xero is cloud accounting software for small businesses, and its invoicing page is titled for SMBs. Receivables features include customizable templates, sending by email, SMS or PDF, a Pay now button for online payment, notifications when a customer opens an invoice, automated reminders for unpaid invoices, recurring invoices and an outstanding-invoice view. JAX, Xero's AI tool, can create and send invoices from plain-language commands in Xero, WhatsApp or SMS.

The published plans are Early at $27 per month, Growing at $59 and Established at $97, discounted to $5.40, $11.80 and $19.40 per month for the first 3 months at the time of the check. Early limits sending to 20 invoices and 5 bills, which is the main constraint for a business that invoices regularly. Growing lists invoicing without the 20-invoice limit and adds bill automation and performance dashboards. Established adds multi-currency, a 180-day cash flow forecast and project tracking.

Xero's role for receivables is similar to QuickBooks Online: the ledger handles invoicing and basic follow-up, and specialist apps extend it. Paidnice, listed separately here, states it was Xero App of the Year in 2025. A business that has outgrown the built-in reminders can add a collections tool without changing its accounting system.

Potential strengths

  • Invoice tracking shows when a customer opens an invoice
  • Automated reminders chase unpaid invoices from inside the ledger
  • Invoices can be sent by email, SMS or PDF, including from the mobile app

Trade-offs

  • Early caps sending at 20 invoices, so most invoicing businesses need Growing at $59 a month
  • Multi-currency is reserved for Established, which matters for firms invoicing abroad

FreshBooks

smbfreshbooks.com ↗
Consider forFreelancers, solopreneurs and small service firms that bill for time and projects and want reminders, late fees and client payments automated
Pricing notesLite $23/month (5 billable clients); Plus $43/month (50 clients); Premium $70/month (unlimited clients); Select custom; introductory offers such as $1/month for a year on Lite at the time of the check (checked Oct 2026)
Feature to evaluateInvoicing, time tracking, deposits and retainers sit in one product with automated reminders and late fees

FreshBooks is invoicing and accounting software for small businesses, with its invoicing page titled for that segment. Receivables features include invoice templates, recurring invoices, card-on-file payments, automated reminders, scheduled late fees, deposits on estimates, client retainers and a client account portal. Clients can pay by card, ACH bank transfer, Apple Pay, Google Pay or Buy Now Pay Later.

Published list prices are $23 per month for Lite, $43 for Plus and $70 for Premium, with Select on custom pricing. The tiers are set mainly by the number of billable clients: 5 on Lite, 50 on Plus and unlimited on Premium and Select. Introductory offers were running at the time of the check, including $1 per month for the first year on Lite for solopreneurs, so buyers should compare the list price that applies after the offer ends.

FreshBooks fits businesses that sell time: consultants, agencies and professional services. Time tracking and expense tracking flow into invoices, and deposits and retainers reduce the amount outstanding before a project starts. The client cap is the main constraint. A business with many small customers can hit the 50-client limit on Plus and need Premium even if its invoice volume is modest.

Potential strengths

  • Automated reminders, scheduled late fees and card-on-file payments are part of the invoicing workflow
  • Clients can pay by card, ACH, Apple Pay, Google Pay or Buy Now Pay Later
  • Deposits on estimates and retainers help service firms collect before work starts

Trade-offs

  • Plans cap billable clients at 5 on Lite and 50 on Plus
  • The plan table lists reminders and late fees but the tier-level allocation should be confirmed during a trial

Zoho Invoice

smbzoho.com ↗
Consider forFreelancers and small businesses that want free invoicing with automated payment reminders, customer statements and a self-service portal
Pricing notesFree; the pricing page lists no paid tier and states up to two organizations per account (checked Oct 2026)
Feature to evaluateNo subscription cost, with reminders, statements, a portal and stored cards for recurring charges

Zoho Invoice is free invoicing software from Zoho, and its features page describes it as designed for small businesses. Receivables features include scheduled and recurring invoices, automated payment reminders, customer statements with a list of unpaid invoices attached, a collaborative customer portal, stored customer cards for recurring charges, and online payment through a choice of gateways. Quotes can be converted to invoices, and projects and time can be billed.

The pricing page states that Zoho Invoice is free for small business owners, freelancers and entrepreneurs, and lists no paid tier. One Zoho account can hold up to two organizations.

Two limits matter. First, Zoho Invoice is an invoicing product, not accounting software; a business that needs a general ledger, receivables aging in the context of the balance sheet, or bank reconciliation would use Zoho Books or another ledger alongside it. Second, the stated data retention policy deletes data from accounts inactive for over 180 days after a further 20 days, so a seasonal business should export or keep the account active. For a very small business that needs reminders and a portal at no cost, it covers the core receivables tasks.

Potential strengths

  • Free with no paid tier listed, which removes subscription cost from the comparison
  • Automated payment reminders, statements with unpaid-invoice lists and a customer portal are documented features
  • Integrates with Zoho Books, CRM and Analytics if the business grows into the Zoho suite

Trade-offs

  • Accounts inactive for over 180 days are deleted after a further 20 days under the stated retention policy
  • It is an invoicing tool, not a ledger, so it does not replace accounting software for receivables reporting at month end

How to choose a vendor

Start from the accounting system

Most small businesses already keep their books in QuickBooks Online or Xero. A collections add-on such as Paidnice or InvoiceSherpa syncs invoices from that ledger, so confirm the integration before comparing features.

Price the billing unit, not the headline

Paidnice prices by invoices monitored, InvoiceSherpa by open invoices plus a 1% transaction fee, BILL per user, and Melio per account with paid seats. A two-person office with 400 invoices a month will see very different totals across these models.

Check what automation the entry tier includes

Automated reminders, late fees, customer portals and payment plans are not in every tier. Paidnice keeps payment plans in Pro, BILL Essentials syncs by CSV only, and Xero Early caps invoices at 20.

Frequently asked questions

What is accounts receivable software for a small business?

It is software that tracks money owed by customers and helps collect it. For a small business that usually means sending invoices, letting customers pay online, sending reminders before and after the due date, adding late fees or discounts, and syncing payments back to the accounting system. Enterprise tools add cash application, credit management and deductions, which most small businesses do not need.

Does a small business need a separate AR tool if it uses QuickBooks Online or Xero?

Not always. Both include invoicing, online payment and reminders. A separate tool such as Paidnice or InvoiceSherpa is worth it when late payment is a recurring problem and the business wants late fees, payment plans, statement runs, SMS reminders or more control over reminder sequences than the ledger provides.

Which of these tools are free?

Zoho Invoice is free with no paid tier listed. Melio includes receivables free on every plan, including its free Go tier for one user. QuickBooks Online has a free plan limited to 2 invoices a month unless QuickBooks Payments is enabled. Paidnice lets a business use its first 20 actions free before choosing a plan.

How do the pricing models differ?

Paidnice prices by invoices monitored per month. InvoiceSherpa prices by open invoices and adds a 1% fee on invoices paid. BILL charges per user. Melio charges per account with extra seats on lower tiers. QuickBooks Online, Xero and FreshBooks charge per plan, with FreshBooks capping billable clients by tier. Model the total at the expected invoice count and team size, not the entry price.

What transaction fees should a small business expect?

Card payments carry processing fees on every platform. BILL publishes $0.59 per ACH payment received and 2.9% per card payment. InvoiceSherpa adds a 1% fee on all invoices paid unless the stated payment partner waiver applies. Melio lets the business choose whether it or the customer pays the card fee. Check who bears the fee before comparing subscription prices.

How were these vendors selected?

Vendors were selected for documented small-business fit: plans named or priced for sole proprietors and small businesses, product pages addressed to small businesses, published self-serve pricing, and integration with QuickBooks Online or Xero. Enterprise invoice-to-cash suites from the general comparison were excluded because they quote only and target dedicated AR teams.

When should a small business move to a larger AR platform?

Common triggers are a dedicated collections staff, thousands of invoices a month, many remittances to match to invoices, credit limits to manage, or an ERP such as NetSuite or Sage Intacct. At that point the vendors in the general accounts receivable software comparison, which add cash application, credit and deductions, become relevant.

How should this comparison be used?

Use the documented buyer fit, pricing notes and trade-offs to build a shortlist, then confirm each finalist against the business's accounting system, invoice volume and payment methods through a trial or demo. Entry order reflects source status and content sequence, not a ranking.
