These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Volunteer management software helps nonprofits, hospitals, schools, cities and event organisers run the volunteer cycle in one system: publishing opportunities, taking applications, screening and onboarding, scheduling shifts, sending reminders, recording hours and reporting on the contribution volunteers make. The same tools usually provide a portal or mobile app where volunteers sign up and log their own time, and a kiosk or mobile check-in for on-site attendance.

The market divides by programme model and budget. Better Impact, Galaxy Digital, VolunteerHub, VolunteerMatters and Rosterfy sell dedicated platforms to staffed programmes and, at their higher tiers, to multi-site and enterprise buyers. Golden, Track it Forward and Volgistics offer free plans, low per-user prices or usage-based monthly fees that suit smaller teams. Bloomerang Volunteer is sold by a fundraising CRM vendor and links volunteer and donor records. Two consolidations matter for buyers: Galaxy Digital is now part of Better Impact, and VolunteerMatters has joined Momentive Software.

The comparison covers nine products. Details come from each vendor’s public product, pricing and feature pages, checked on 13 October 2026.

Consider forVolunteer programmes in healthcare, hospice, municipalities, parks, museums and universities that need onboarding, online training and oversight across departments or locations, as Better Impact's features and plans page describes
Pricing notesQuote only. Foundation (3 administrators), Growth (10) and Impact (unlimited) are priced by the number of volunteers and the features required. Pricing counts accepted and inactive profiles, not applicants, in-process or archived profiles. Official quotes are booked through a sales call (checked Oct 2026)

mid-marketvolunteerhub.com ↗
Consider forNonprofits, cities and other organisations that run many volunteer events and want volunteers to self-register through branded landing pages, as VolunteerHub's pricing and features pages describe
Pricing notesPlus starts at $143 a month and Pro at $288 a month, both billed annually with a setup fee. Enterprise is priced on request. Users with no sign-up for twelve months become inactive and stop counting toward the plan's user limit (checked Oct 2026)
Feature to evaluateBranded landing pages per opportunity, with automatic waitlist promotion when a filled spot opens

VolunteerHub is a volunteer management platform that states it has helped thousands of organisations manage volunteer hours over more than 20 years. Its design centres on events: administrators create landing pages for opportunities, share them with individuals and groups, and volunteers self-register from any device.

All three plans include initial data import, unlimited events per landing page, self-scheduling, registration and rosters, duplicate detection, trigger-and-action workflows, automated emails and text reminders, waitlists, a mobile app for check-in and check-out, standard and custom reporting, hour tracking, Google Analytics integration and Zapier.

The plan comparison marks several features as optional on Plus and included on higher tiers: the OnSite and Virtual Kiosk, advanced liability waivers, advanced security permissions, a group manager role, data import and export, configurable forms, a multi-event editor, volunteer recognition leaderboards and volunteer fundraising, which carries a processing fee. Pricing notesBloomerang Volunteer starts at $119 a month, billed annually. The Giving Platform, which includes Bloomerang Fundraising, CRM and Volunteer with unlimited users, starts at $242 a month, billed annually. Personalised pricing is available through sales (checked Oct 2026)
Feature to evaluateVolunteer and donor data stay in sync, so a volunteer's giving history and hours sit on one supporter record

Bloomerang is a provider of fundraising software for nonprofits, and Bloomerang Volunteer is its volunteer product. Its main distinction is the link to Bloomerang CRM: the pricing page lists bi-directional sync between volunteer and CRM data, so staff can see volunteer activity next to giving history.

The feature list covers recruitment and onboarding with reusable form templates, file uploads, digital waivers and e-signatures, group sign-ups and built-in background checks. Scheduling supports one-time and recurring shifts, unlimited shifts, waitlists, conflict detection, self sign-up through a portal or app and Google Calendar sync. Bloomerang describes AI-powered scheduling filters that match volunteers to shifts by skills, roles, availability and interests.

Communication tools include email and SMS, group and one-to-one messaging, re-engagement and recognition emails, and social sharing. Feature to evaluateFully published prices for each tier and add-on, with adjustable admin and volunteer counts

VolunteerMatters is a volunteer management platform that has announced it joined Momentive Software, a provider of software for nonprofits and associations. The product covers recruitment, onboarding, engagement and reporting, with feature pages for email and text recruitment, electronic agreements, training, criminal background checks, certifications, scheduling and sign-up landing pages.

The pricing page is one of the most detailed in the category. Growing, for programmes with dozens of volunteers, includes a mobile-responsive volunteer portal, attendance and time tracking, volunteer project management, automated reminders and Zapier automation triggers. Professional, for programmes with hundreds of volunteers run by professional staff, adds scheduled reporting, text reminders and alerts, kiosk check-in and check-out, live chat support and multi-tier administration. Both plans let buyers adjust admin and volunteer counts, which changes the price.

Enterprise is aimed at large organisations with distributed management. It adds APIs, webhooks, SSO/SAML, concierge support, a multi-site distributed architecture, bulk licence discounts and custom development and policy consulting.

Potential strengths

Consider forNonprofits, schools, food banks and human services organisations that want to start free and pay by features rather than volunteer count, as Golden's pricing page describes
Pricing notesBasic is free with unlimited volunteers and up to 5 admin users. Professional is $100 a month billed annually, or $110 billed monthly, with unlimited admins, select CRM integrations and full reporting. Enterprise is custom-priced. Golden states there is no setup fee on any plan; AI fundraising, credentials, Day of Service and Signature Events are paid add-ons (checked Oct 2026)
Feature to evaluateA free tier that is not time-limited, with unlimited volunteers on every plan

Golden is a volunteer management platform with a recruitment, scheduling, communication and reporting core and a mobile app for volunteers on iOS and Android. Its pricing page states that a new account can be set up in 15 minutes without payment details.

Pricing scales by features rather than volunteer numbers. All three plans include unlimited volunteers, the volunteer portal and app, recruitment and scheduling, automated notifications, and hour tracking with kiosks. Professional adds unlimited admins, select CRM integrations and full reporting with online support. Enterprise adds SSO and API access, complex hierarchies, aggregation of affiliated entities, corporate reservations, complex workflows, advanced CRM integrations and dedicated support.

Golden markets AI fundraising tools that analyse volunteer engagement to identify likely donors, and paid modules for credentials management, Day of Service and large Signature Events. Listed integrations include Salesforce, Microsoft Dynamics, Virtuous, NationBuilder and Blackbaud. • Free plan with unlimited volunteers and no credit card required
  • No setup fees on any plan

Trade-offs

  • Several capabilities, including credentials and AI fundraising, are add-ons or Enterprise-only
  • The pricing page lists background checks inconsistently between plan cards and the comparison table, so buyers should confirm

Volgistics

Consider forHealth care facilities, hospices, animal shelters, museums, parks and libraries that need a highly configurable volunteer database across one or many sites, as Volgistics' homepage and pricing calculator describe
Pricing notesMonthly service fee set by the vendor's price calculator: $9 for 50 volunteer records, $18 for 100, $40 for 1,000 and $79 for 2,000, with two operators included and $10 a month for each extra operator. VicNet (portal with unlimited texting) and VicTouch (time clock) each add a third of the base fee; VicDocs adds a sixth. No start-up, licence or support fees (checked Oct 2026)
Feature to evaluateA public price calculator that shows the exact monthly fee for any combination of records, operators and modules

Volgistics is a browser-based volunteer management system that states it has served volunteer leaders for more than 25 years. Its homepage lists health care facilities, animal shelters, aquariums, zoos and museums, community outreach, parks and recreation, education, libraries, hospices and food banks among the organisations it serves.

The core system covers online applications, opportunity directories, scheduling, stock and custom reports, text and email reminders, and award calculations. Administrators can turn features on or off, hide fields and tabs, and apply their own colours and images. It supports multi-site use: operators at each site see only their volunteers, while headquarters sets standards for all sites.

Three optional modules extend the core. VicNet is the volunteer portal, where volunteers submit applications, view schedules, fill openings and post hours, with unlimited text messaging included. VicTouch is an on-site touchscreen time clock. VicDocs stores documents inside Volgistics. The pricing page states that the average fee is under $1 per volunteer per year, with no start-up costs, licensing fees or charges for support or upgrades. Support is available 13 hours a day on weekdays.

Potential strengths

  • Transparent, usage-based pricing that starts at a few dollars a month
  • Unlimited online support at no extra cost and a 30-day trial

Trade-offs

  • Volunteer portal, kiosk and document storage are separately priced modules
  • Each operator beyond the two included adds $10 a month

Rosterfy

enterpriserosterfy.com ↗
Consider forCharities, cities, hospitals, universities, sporting federations and major events with 100 or more volunteers that need automated onboarding and compliance, as Rosterfy's pricing and solutions pages describe
Pricing notesQuote only. Rosterfy customises packages by organisation size, number of administrators, onboarding and customer success support, with add-ons as required. The quote form asks for active volunteer and volunteer manager counts. No figures are published (checked Oct 2026)
Feature to evaluateRole-specific automated onboarding with online training and an AI agent, Pip, for administrators

Rosterfy is a volunteer management platform with regional sales for Asia-Pacific, Europe and North America. Its pricing page states that it is built for organisations managing 100 or more volunteers and that every package is customised. Rosterfy reports more than 150 million volunteer and paid staff hours managed and operations in more than 77 countries; these are vendor figures.

The platform covers role-specific automated onboarding, online training and induction, advanced scheduling, two-way volunteer messaging, recognition and retention tools, and insight dashboards. A volunteer app supports volunteers on the go, and Pip, an AI agent, is marketed for reducing administrative work. Rosterfy lists more than 50 API integrations across CRM, fundraising, background checks, payroll, recruitment and training systems.

Solutions are listed for nonprofits, cities and government, major events, sporting federations, hospitals and healthcare charities, universities, emergency services and corporate volunteering. Delivery packages range from Quick Start to professional services and configuration engineering. The vendor cites a British Heart Foundation case study in which onboarding time was halved; that is a vendor-published result.

Potential strengths

  • Built-in online training and compliance tracking, without a separate LMS
  • ISO and SOC 2 certified security, according to the vendor

Trade-offs

  • No published prices
  • Positioned for programmes of 100 or more volunteers, so very small teams may be outside its target

Track it Forward

smbtrackitforward.com ↗
Consider forSchools, school districts, colleges, service clubs, emergency services and small nonprofits whose main need is recording and approving volunteer or service hours, as Track it Forward's pricing and audience pages describe
Pricing notesFree plan with basic tracking for organisations with fewer than 25 volunteers. At 100 users billed annually, Basic is $13.25 a month, Premium $25 and Advanced $37; prices scale with user count. Annual billing saves 20%. Only active volunteers count. School SIS, LMS and SSO integrations may carry an integration fee (checked Oct 2026)
Feature to evaluateLow per-user pricing focused on hour logging, milestones and approvals rather than full volunteer CRM

Track it Forward is a volunteer hour tracking platform. Its audience pages name emergency services, nonprofits, adult service clubs, schools, school districts, colleges, law schools and high school service clubs, which reflects its focus on recording and verifying hours rather than recruiting the public.

Basic includes time tracking, an event calendar, reports, a mobile app, milestones and email messages. Premium adds hour approval, multiple administrators, conditional milestones, custom profile fields and a digital sign-in sheet for events. Advanced adds text messages, advanced verifications, file upload fields, conditional hour log fields, a check-in kiosk and offline mode. The pricing calculator scales by the number of user accounts, and larger or multi-site organisations can request custom group plans.

For schools, Track it Forward offers integrations with student information systems, learning management systems and single sign-on for rostering, which may carry a fee. Trials last 30 days without a payment method; an account not upgraded after the trial reverts to the free plan with data retained. Subscriptions can be paid by card monthly or annually, with invoicing available on request.

Potential strengths

  • Free plan for very small groups and a 30-day trial without a card
  • Archived volunteers do not count toward the subscription

Trade-offs

  • Text messages, check-in kiosk and offline mode require the Advanced plan
  • Support is mainly by email; onboarding for larger organisations costs extra

How to choose a vendor

Know what the vendor counts

Pricing units differ more than plan names. Better Impact prices on accepted and inactive volunteer profiles, not applicants or archived records. VolunteerHub stops counting a user after twelve months without a sign-up. Track it Forward counts only active volunteers. Volgistics charges by volunteer records and operators. Golden's plans do not charge by volunteer count at all. Ask each vendor which records count before comparing quotes.

Add setup fees and add-ons to the first-year cost

VolunteerHub lists a setup fee on top of its monthly plans. VolunteerMatters publishes a $499 or $699 setup fee and sells kiosk check-in, a training LMS and SMS recruiting as paid add-ons. Golden states it charges no setup fee on any plan. Better Impact and Galaxy Digital quote individually, so implementation, training and integration costs should be requested in writing.

Match the product to the programme model

Event-heavy programmes such as food banks and festivals need public sign-up pages, waitlists and kiosk check-in. Hospitals, hospices and museums with ongoing shifts need onboarding steps, credential expiry tracking and training. Schools and service clubs mainly need students or members to log hours for approval. Corporate and volunteer-centre programmes need multi-organisation portals. The vendor pages below describe which of these models each product targets.

Frequently asked questions

What is volunteer management software?

Volunteer management software is a system for recruiting, screening, scheduling, communicating with, tracking and recognising volunteers. Typical features include online applications, a volunteer portal or app, shift sign-up, waivers, background check integrations, hour logging, kiosk check-in and reports on hours and impact. It replaces spreadsheets, paper sign-in sheets and email chains.

How much does volunteer management software cost?

Published prices in this comparison range from free plans at Golden and Track it Forward to $9 a month at Volgistics for 50 records, $100 to $143 a month for Golden Professional, Bloomerang Volunteer and VolunteerHub Plus, and $239 to $419 a month at VolunteerMatters plus setup fees. Better Impact, Galaxy Digital and Rosterfy quote. Figures were checked in October 2026.

Is there free volunteer management software?

Yes. Golden's Basic plan is free with unlimited volunteers and up to five admins, and is not time-limited. Track it Forward offers a free plan with basic tracking for groups under 25 volunteers. Volgistics and Track it Forward offer 30-day trials. Free tiers usually limit admins, integrations, reporting or support, so programmes should check the limits before migrating.

How is volunteer management software usually priced?

Vendors use different units. VolunteerMatters and Volgistics price by volunteer records and admin or operator counts. Track it Forward prices by active users. Better Impact prices by accepted and inactive profiles and features. Golden and Bloomerang publish flat starting prices by plan. VolunteerHub and VolunteerMatters add setup fees. Comparing quotes requires the same volunteer count and module list for each vendor.

What is the difference between volunteer management software and a nonprofit CRM?

A nonprofit CRM tracks donors, gifts and campaigns. Volunteer management software handles shifts, onboarding, waivers, hours and check-in. Some vendors connect the two: Bloomerang syncs Volunteer with its CRM, and VolunteerHub, Golden, Galaxy Digital and Rosterfy list integrations with Salesforce, Blackbaud or other CRMs. Organisations already on a CRM should check which fields sync and in which direction.

Which tools support kiosk check-in for volunteers?

VolunteerHub offers an OnSite and Virtual Kiosk, optional on Plus. VolunteerMatters includes kiosk check-in on Professional and sells it as an add-on on Growing. Volgistics sells VicTouch as a time clock module. Track it Forward includes a check-in kiosk on Advanced. Golden lists hour tracking and kiosks on all plans, and Bloomerang Volunteer offers mobile check-in.

Can these tools manage volunteers across several sites or departments?

Several products document multi-site use. Volgistics lets each site's operators see only their volunteers while headquarters sets standards. Better Impact's Impact plan adds oversight and permissions by location or department. VolunteerMatters Enterprise offers a multi-site distributed architecture. Golden Enterprise supports complex hierarchies and affiliated entities, and Track it Forward offers custom group plans for multiple sites.

How was this comparison compiled?
