Best Resource Management Software (2026): Top 10 Compared

Updated September 2026By StatWharf Editorial10 vendorsMethodology

Resource management software decides who works on what and when. It shows every person's availability, books people onto projects, flags over- and under-allocation, forecasts capacity against upcoming demand and, in most products, compares planned hours with time actually logged. This page covers products built around the resource schedule rather than around task lists; general project management tools are compared on the project management pages. The ten products below fall into three groups. Float, Resource Guru, Runn, Teamdeck and Milient Resource Flow (formerly Hub Planner) are schedulers with published per-person prices. eResource Scheduler, Mosaic and Epicflow add request workflows, forecasting or multi-project flow analysis for larger delivery teams. Kantata and Saviom are enterprise platforms that link resourcing to professional services finance or workforce planning. Seven of the ten publish a figure.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Resource management software gives a delivery team one view of who is available, who is booked and who is overloaded, across every project at once. It turns that view into a schedule, forecasts capacity against work that is confirmed or still in the pipeline, and in most products compares planned hours with the hours people log.

The ten products compared here take different routes to that job. Float, Resource Guru, Runn, Teamdeck and Milient Resource Flow (formerly Hub Planner) are schedulers with published per-person prices. eResource Scheduler adds request workflows and modular pricing, Mosaic combines project planning with an AI assistant, and Epicflow analyses workload across many concurrent projects. Kantata places resourcing inside a professional services automation platform, and SAVIOM sells enterprise resource and workforce planning.

Every entry was checked against the vendor’s own pages in September 2026. Float, Resource Guru, Runn, Milient, eResource Scheduler, Teamdeck and Epicflow publish a figure; Kantata, Mosaic and SAVIOM quote.

Float is a resource scheduling and capacity planning product that its pricing page says is used by more than 4,500 professional services teams. Departments, skills, tags, custom working hours and global holiday calendars shape the capacity each person offers.

The Starter plan covers resource scheduling, capacity and time-off management, project scoping and role suggestions, with API and integration access. Pro adds time tracking with prefilled timesheets, AI-generated people experience profiles, client rate cards in multiple currencies, project cost estimates, budget burn and margin tracking, and a project finance dashboard. Enterprise adds onboarding, integration consulting, service level agreements and account management.

Float positions itself as the delivery layer alongside a firm's CRM, project and finance tools. It integrates with Google and Outlook calendars, Slack and Zapier, and has published an MCP server for AI assistants.

Feature to evaluateApproval workflow on the Master plan lets resource managers confirm bookings before they stand

Resource Guru is a resource scheduling tool whose pricing page states that more than 60,000 people in over 100 countries are scheduled in it. It is organised around a shared calendar of people and other resources, and the product menu lists resource scheduling, capacity planning, leave management, equipment management and meeting room booking.

Bookings can be tentative, repeating, spread across several resources or entered as total hours, and the system detects clashes and allows elastic overtime. The Grasshopper plan covers unlimited projects and clients, dashboards, filters and calendar sync. Blackbelt adds timesheets, customisable reports, project milestones, rates and budgets. Master adds an approval workflow, single sign-on, unlimited activity history and phone support, and Enterprise adds a dedicated customer success manager, rollout support and service level agreements.

Runn describes itself as resource management and capacity planning software for teams planning people across technical projects. Its homepage states that more than 53,000 projects, 5.9 million scheduled days and 38,000 people have been planned in it.

Every plan includes scheduling, tentative projects, placeholders, capacity and utilisation charts, skills and tags, project phases and milestones, rate cards, project budgets and planned-versus-actual reporting. Feature to evaluateContractors and partners are managed in the same pool, with their own skills, calendars and cost rates

Kantata sells a professional services automation platform, and resource management is one of its core applications. Its resource management page describes centralised staffing and scheduling that takes the future sales pipeline into account, configurable resource recommendations, and the ability to compare several resource plans side by side while seeing how each one affects performance and profit.

A skills inventory aligns people's skills with project demand, highlights skill gaps before they affect projects, and identifies development opportunities for employees. Kantata also manages what it calls the talent network: external partners and contractors can be added with their own roles, skills, calendars, cost rates and availability, so staffing decisions can draw on both internal and external people.

Because resourcing sits in the same system as projects, time, expenses and revenue forecasting, the platform suits firms that measure utilisation and margin together. Kantata cites customer results from Finastra, Accedo and Cornerstone, and advertises more than 1,200 prebuilt connectors.

Potential strengths

  • Staffing decisions show their effect on project performance and profit
  • More than 1,200 prebuilt connectors plus APIs and MCP support

Feature to evaluateHiring and headcount forecasting reports on the Enterprise tier

Mosaic markets itself as project and resource planning, management and forecasting with AI. Its homepage argues that planning around the real capacity of people is the leverage point for stable schedules, higher utilisation and profitability.

The product covers three areas. Project planning and budget management handles timelines, team assignments and budget tracking. Resource and capacity planning shows workload and availability, balances teams and flags overload before it happens. The third is Chello, an AI assistant that monitors projects, workload and deadlines across systems, meetings and spreadsheets, chases missing information and issues daily, weekly and monthly digests on what changed and where risk is building.

The Starter tier includes task management, portfolios, time tracking and timesheets, and project and resource planning with mobile apps. Professional adds basic integrations, time budget tracking, workload, utilisation, budget and variance reports, and shareable dashboards. Enterprise adds hiring and forecasting reports, custom integrations, custom project fields and premium support.

SAVIOM

Consider forMedium-to-large organisations in professional services, IT services, engineering, construction and audit that need configurable resource forecasting, capacity planning, scheduling and financial planning, as SAVIOM documents
Pricing notesNo published figure. SAVIOM quotes a custom bundle of Power licences (full edit access) and Lite licences (view-only access). People scheduled as non-users need no licence, and the page states that the quote does not change as the number of people managed grows (checked Sep 2026)

Its resource management page cites more than 25 years of resource management work and customers in more than 50 countries.

The product is organised around the resource lifecycle. Forecasting covers confirmed and probability-weighted demand, capacity and availability, role and skills demand, bench and utilisation, and cost, revenue and margin. Capacity planning compares demand with capacity, identifies gaps and surpluses and runs what-if scenarios for hiring. Scheduling matches people on skills, availability, workload and cost, with resource requests, allocation workflows, conflict detection and drag-and-drop timelines. Utilisation tools identify idle capacity and overloaded staff, and financial planning shows the margin effect of allocation decisions.

SAVIOM also offers solutions for training, asset and equipment scheduling, and industry pages for audit and accounting, construction, engineering, IT services and professional services.

Potential strengths

  • No licence cost for people who are only scheduled
  • Covers forecasting, capacity, scheduling, utilisation and financial planning

How to choose a vendor

Count the people who will be scheduled, not the people who log in

Most products in this category charge for each person placed on the schedule rather than for each login. Float charges per scheduled person and lets unscheduled viewers join free as guests, Runn charges per resource seat, and Resource Guru and Teamdeck charge less for resources that never sign in. Saviom inverts the model: it licenses the managers who edit or view the schedule and does not charge for the people being scheduled. Buyers should count schedulers, viewers and scheduled people separately before comparing quotes.

Decide how far beyond the schedule the tool must reach

A scheduling tool answers who is free next week. Some teams also need timesheets, rate cards and project budgets so that planned hours can be compared with actual hours and margin. Resource Guru, Runn, Float and eResource Scheduler add timesheets and financials in higher plans or modules. Kantata goes further into professional services automation, with billing and revenue forecasting, and Saviom adds workforce and portfolio planning. Buying a PSA suite for a scheduling problem, or a scheduler for a margin problem, is the most common mismatch.

Check how the tool handles demand that is not yet confirmed

Resource planning depends on work that has not been signed. Runn and Resource Guru support tentative projects or bookings, Float and Resource Guru offer placeholder people, eResource Scheduler and Milient support resource requests, and Saviom forecasts probability-weighted demand. Teams that staff from a sales pipeline should confirm that tentative work can be shown separately from confirmed work in capacity reports.

Frequently asked questions

What is resource management software?

Resource management software schedules people, and sometimes equipment and rooms, onto projects and shows who is available, who is overloaded and where capacity will fall short. Most products add time off, skills, capacity forecasting and a comparison of planned hours with logged time. It replaces spreadsheets and shared calendars used to allocate staff.

How much does resource management software cost?

Seven of the ten products compared publish a figure. Per-person monthly prices start at $2 for a Teamdeck Light Member, $5 for Resource Guru and $6.25 for the eResource Scheduler core module, and run to $54 for Milient's Business Leader tier. Float, Runn and Epicflow sit between $7 and €25. Kantata, Mosaic and SAVIOM quote.

What is the difference between resource management and project management software?

Project management software organises tasks, deadlines and collaboration within projects. Resource management software organises people across projects: availability, allocation, utilisation and future capacity. Several products on this page include light project planning, and some project management tools include workload views, but the products here are built around the resource schedule.

What is the difference between resource management software and PSA software?

Professional services automation covers the whole services business, including resourcing, project delivery, time and expenses, billing and revenue forecasting. Kantata is a PSA platform with a resource management application, and SAVIOM sells PSA modules alongside resource management. Float, Resource Guru, Runn and Teamdeck focus on scheduling and capacity, with some budgeting.

How is resource management software usually priced?

Most vendors charge per person placed on the schedule each month rather than per login. Float charges per scheduled person and lets guests view free, Runn charges per resource seat, and Teamdeck charges less for Light Members who never log in. SAVIOM licenses the managers who edit or view the schedule and does not charge for scheduled non-users.

Which tools handle tentative or pipeline work?

Runn supports tentative projects on every plan, Resource Guru supports tentative bookings, and Float and Resource Guru offer placeholder people for unnamed roles. SAVIOM forecasts probability-weighted demand, and eResource Scheduler and Milient support resource requests. Kantata describes staffing that factors in the future sales pipeline.

Can resource management software schedule equipment and rooms?

Resource Guru schedules equipment and meeting rooms alongside people and charges half the person rate for them. SAVIOM offers asset and equipment scheduling solutions, and Runn states that its resources can include materials as well as people. The other products on this page are documented mainly for scheduling people.

How was this list put together?

Each vendor was checked against its own product and pricing pages in September 2026, and prices are quoted as published with the check date. The page covers products built around resource scheduling and capacity planning; general project management tools are covered on separate pages. Position on the page is not a ranking, and no vendor has confirmed its entry.
