Best Bid Management Software (2026): Top 8 Compared

Updated October 2026By StatWharf Editorial8 vendorsMethodology

Construction bid management software, in the preconstruction sense used on this page, lets a general contractor or owner build bid packages, send invitations to bid (ITBs) to subcontractors, track who is bidding, compare the bids that come back and check whether each bidder is qualified. Most products also give subcontractors a free way to receive and answer those invitations. The eight products below fall into three groups. BuildingConnected, Procore and SmartBid are established platforms tied to larger construction software suites or data networks and are quoted by sales. PlanHub pairs a free general contractor tier with paid subscriptions for subcontractors who want leads. Downtobid, KNTRCTR and PromaBuild publish self-serve prices, and Pantera Tools bundles bid management with prequalification, job costing and project management.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Construction bid management software helps general contractors and owners run the bidding stage of a project: building trade bid packages, sending invitations to bid, sharing plans and addenda, tracking subcontractor responses, leveling the bids that come back and checking that each bidder is qualified. This page covers the construction meaning of the term. Pay-per-click and advertising bid management tools are a different category and are not included.

The comparison below covers eight products. Pricing comes from each vendor’s own website, checked on 11 October 2026. Four publish figures (PlanHub for subcontractors, Downtobid, KNTRCTR and PromaBuild), PlanHub also offers a free general contractor tier, and BuildingConnected, Procore, SmartBid and Pantera Tools are quoted by sales. Every product lets invited subcontractors respond without paying.

Vendor details and trade-offs

BuildingConnected (Autodesk)

enterprisebuildingconnected.com ↗
Consider forGeneral contractors and owners that solicit bids from a wide subcontractor pool and want qualification and risk data alongside bid leveling, as BuildingConnected's product and pricing pages describe
Pricing notesNo figures are published. BuildingConnected Pro (for general contractors and owners), Bid Board Pro (for subcontractors) and TradeTapp (subcontractor qualification) are quoted through Autodesk sales, individually or within the Forma for Preconstruction bundle with Forma Takeoff, ProEst and Forma Data Management. Autodesk describes user, project and account-based pricing and a 30-day money-back guarantee. Subcontractors can receive and submit bids on a no-cost version of Bid Board (checked Oct 2026)
Feature to evaluateOne network covers both sides of the bid: general contractors invite and level bids in BuildingConnected Pro, subcontractors track invitations in Bid Board, and TradeTapp feeds qualification data to estimators

BuildingConnected is Autodesk's preconstruction network, now presented under the Autodesk Forma brand after Autodesk Construction Cloud was renamed. The company states that its Builders Network holds more than 1.5 million construction professionals and that the platform has been used on more than 2 million projects.

The product family has three parts. BuildingConnected Pro is the general contractor and owner tool. Teams create bid packages with project details, design files and custom bid forms that carry scope-specific line items, then send invitations to subcontractors found through filtered search, preferred-company lists and a recommendation engine that suggests bidders by location, trade and past performance. Returned bids can be compared side by side, and company-wide analytics track historical costs and bidder performance.

Bid Board Pro is the subcontractor side. It gathers invitations from BuildingConnected and from forwarded emails onto one board, groups duplicate jobs from different general contractors, assigns bids to estimators, syncs a shared calendar and reports win rates. A Plan Room lists projects that general contractors post publicly. Autodesk's support documentation confirms that subcontractors who do not pay keep a no-cost Bid Board on which they can still receive and submit bids.

TradeTapp handles subcontractor qualification with custom questionnaires, automated risk assessment, financial ratio calculations and AI extraction of figures from PDF financial statements. Integrations connect BuildingConnected Pro to Forma Data Management for documents and to cost management in Forma Build, which lets awarded bids become contracts.

Potential strengths

  • Unlimited bid invites, projects and network access on BuildingConnected Pro
  • Qualification and risk analysis through TradeTapp integrate directly with the bidding workflow

Trade-offs

  • No published prices for any paid product
  • Full value depends on buying several Autodesk products rather than one

Procore Bid Management

enterpriseprocore.com ↗
Consider forGeneral contractors, specialty contractors and owners that run projects in Procore and want invitations, bid leveling and trade partner qualification in the same system, as Procore's bid management and pricing pages describe
Pricing notesNo figures are published. Procore charges an upfront annual fee by product, based on annual construction volume (the aggregate dollar value of construction work across the customer's projects). Contracts include unlimited users, unlimited data storage and 24/7 support. Multi-year volume pools, volume opt-in pricing and renewal rate protection are offered as deal structures (checked Oct 2026)
Feature to evaluateBid data stays in the platform that later runs the project, so packages, bidder communication and awarded numbers carry into contracts and cost management

Procore is a construction management platform used by owners, general contractors and specialty contractors, and Bid Management is one of the products it sells within that platform. Procore states that it has more than 3 million individual users across all products.

The bid management tool covers creating, sending, leveling and tracking invitations to bid. Standardised templates reduce repeated setup work, centralised tracking shows which trades have coverage, and side-by-side comparison highlights gaps and outliers between bids. Procore also describes trade partner qualification using what it calls subcontractor risk analysis, with visibility into partner performance across past projects.

The main argument Procore makes for its bid tool is continuity. Estimates, bids, contracts and financials sit in one system, so bid files and communications remain available after award and the winning numbers feed cost management without re-entry. A marketplace of more than 500 integrations includes Unanet, Docusign and Compass, and Procore AI agents are available across the platform.

Pricing follows Procore's general model. Customers pay an annual fee for each product they buy, calculated on annual construction volume, and every contract includes unlimited users and storage. That model suits firms that want all estimators, project managers and outside bidders in the system without counting licences. Buyers who only want to send invitations should note that Bid Management is positioned as part of a connected platform, and the quote will reflect the products chosen.

Potential strengths

  • Unlimited users, so subcontractors and internal estimators do not need paid seats
  • Bidding connects to Procore's project execution, cost and financial tools

Trade-offs

  • Pricing depends on construction volume and is only available by quote
  • Most useful to firms that adopt the wider Procore platform rather than bidding alone

SmartBid (ConstructConnect)

mid-marketsmartbid.co ↗
Consider forGeneral contractors that manage a large subcontractor database and want prequalification, plan room and bid comparison in one dedicated preconstruction tool, as SmartBid's pricing page describes
Pricing notesSold as an annual standard license that scales with the number of users; no figures are published and quotes come from sales. Subcontractors invited to bid or prequalify use the system at no cost. The standard license includes setup, online training, live call support and API access. On-site training costs extra and faxing is charged at 8 cents per page (checked Oct 2026)
Feature to evaluateThe standard license bundles subcontractor database management, ConsensusDocs 721 prequalification, unlimited plan room projects, download tracking and side-by-side BidTabs

SmartBid is a bid management application for general contractors, connected to ConstructConnect's subcontractor network. Its pricing page describes a single annual standard license whose cost scales with the number of users at the contractor.

The license covers the core preconstruction tasks. Contractors keep a subcontractor database, prequalify firms with the ConsensusDocs 721 standard questionnaire, and run an online plan room with unlimited projects, invitations to bid, files, email communications and custom reports. Subcontractor and supplier search draws on the ConstructConnect sub network, the SmartInsight contractor network and a public agency database. Bid solicitation tracking shows which subcontractors are viewing and downloading plans, and BidTabs set returned bids side by side.

SmartBid can be integrated with a contractor's own website so subcontractors can register and see public project lists. Full API access is included for connecting SmartBid data to other systems, and packaged integrations move projects, subcontractors and documents into Procore after award, synchronise plan rooms with Autodesk BIM 360 and sync files from Dropbox.

The product runs in a browser and on Android, iOS and Windows mobile apps. Setup and initial online training are included, with a help centre, training media and live call support for both users and their subcontractors. ConstructConnect also sells a separate ConstructConnect Bid Management product and Project Intelligence lead subscriptions, so buyers comparing the two should ask which product the quote covers.

Potential strengths

  • Prequalification, plan room, bid tracking and API access are all in the standard license
  • Integrations with Procore, Autodesk BIM 360 and Dropbox

Trade-offs

  • No published license price
  • Fax charges and on-site training are billed on top

PlanHub

smbplanhub.com ↗
Consider forGeneral contractors that want to post projects and receive bids at no base cost, and subcontractors that pay for access to project leads within a set radius, as PlanHub's pricing pages describe
Pricing notesGeneral contractors: Essentials is free with project posting, bid management and basic bid leveling. Pro, Premier and Enterprise add a national directory, private planroom, prequalification, advanced leveling and Lead Finder, with prices given in a consultation. Subcontractors: a free profile receives direct invitations; Premier is $1,999 a year for a 50-mile radius, $2,349 for 100 miles and $3,299 for 200 miles; Enterprise for 3+ users is quoted (checked Oct 2026)
Feature to evaluateGeneral contractors can post projects and level bids free, while subcontractor subscriptions are priced by geographic radius rather than per lead

PlanHub is a preconstruction network that connects general contractors, subcontractors and suppliers. Its pricing reflects a two-sided model: general contractors get a free base tier, and subcontractors pay for lead access across a chosen territory.

For general contractors, Essentials includes unlimited project posting, bid management, basic bid leveling, directory search, direct messaging and a planroom for sharing documents and receiving bids. Pro adds a national subcontractor and supplier directory, a private planroom, subcontractor prequalification, advanced bid leveling and collaboration tools. Premier adds Lead Finder, takeoff, advanced bid coverage tools, unlimited one-on-one training and a dedicated customer success manager. Enterprise adds project and directory APIs, nationwide Lead Finder, a custom CRM, concierge service and custom prequalification assessments. Add-ons include estimation, extra Lead Finder regions and Virtual Bid Coordinator projects, which outsource coordination of bid invitations. PlanHub states that paid general contractor prices are set in a consultation.

For subcontractors, a free profile receives invitations and allows bidding within a local radius. Premier subscriptions unlock a project finder with filters by trade, location, keywords and value, unlimited bids that can be sent to every general contractor on a project at once, plans and specifications, a bid board that moves into takeoff and estimation, and a directory of more than 55,000 general contractors. Subcontractors can also earn a prequalification badge by uploading business documents. Mobile apps for Android and iOS are available.

Potential strengths

  • Free general contractor tier covers posting, bid management and basic leveling
  • Published subcontractor prices with flat annual radius pricing

Trade-offs

  • General contractor Pro, Premier and Enterprise prices are not published
  • Lead Finder regions cannot be bought on the free Essentials tier

Downtobid

smbdowntobid.com ↗
Consider forCommercial general contractors that want to turn plan sets into trade bid packages quickly and send personalised invitations from their own domain, as Downtobid's website describes
Pricing notesDowntobid publishes starting prices in its homepage FAQ rather than on a pricing page. The general contractor product starts at $149 per month for an organization. For subcontractors, the basic leads bid board starts at $119 per month and full bid management starts at $299 per month. Subcontractors can access planrooms and submit bids for free (checked Oct 2026)
Feature to evaluateInvitations go out from the contractor's own email with each subcontractor's scope, which Downtobid presents as its answer to portal emails landing in spam

Downtobid is bid management software for commercial construction with a general contractor product for sending invitations and a subcontractor product for tracking them. Its website positions it as an alternative to BuildingConnected, iSqFt, PlanHub and SmartBid.

On the general contractor side, a user uploads a PDF plan set and the software reads each sheet, identifies trade packages and drafts initial scope notes. Downtobid states that nothing is sent without review. The contractor then publishes a planroom organised by trade, chooses subcontractors from Downtobid's network or its own list, and sends invitations that come from the contractor's own email and include each subcontractor's scope summary, relevant sheets and company branding. A coverage view shows who has opened an invitation, who is bidding and who needs a follow-up.

On the subcontractor side, the Bid Board places invitations, deadlines and RFIs on one board with a calendar view, and lets teams assign estimators to bids so two people do not price the same job. Subcontractors can also look for commercial general contractors that need their trade.

Switching is designed to be quick. Existing subcontractor lists can be uploaded by CSV or imported from another platform, after which Downtobid matches records to its database, fills missing details and flags duplicates. The company says most teams complete migration in under an hour. Subcontractors who only respond to invitations do not pay.

Potential strengths

  • Published monthly starting prices for both general contractor and subcontractor products
  • CSV import and contact clean-up for moving an existing subcontractor list

Trade-offs

  • Only starting prices are published, with no full plan breakdown
  • AI scope detection still needs review before invitations are sent

Pantera Tools

mid-marketpanteratools.com ↗
Consider forGeneral contractors and project owners that want branded bid invitations, a private subcontractor address book and prequalification in the same platform as project management and job costing, as Pantera's product pages describe
Pricing notesPantera Tools does not publish prices on its website. The site describes the platform as budget-friendly and directs buyers to request a demo. Subcontractors can register to be invited to bid (checked Oct 2026)
Feature to evaluateWhite-labeled plan rooms carry the contractor's brand and login, while private subcontractor lists stay out of the public directory

Pantera Tools is a construction management platform for general contractors, subcontractors and project owners that has operated since 2009 and is based in Chicago. Bid management is one module alongside prequalification, project management, job costing, integrations and a mobile app.

The bid management module sends custom-branded invitations to bid and runs an integrated plan room that Pantera white-labels with a login matching the contractor's brand and website. Document management handles RFIs, document viewing and project-wide notifications from invitation through construction. The Address Book Manager finds contacts by trade, CSI code, state, city, county, radius or custom fields, and lets users rate contacts, add notes and track union status. Contact optimisers send requests for updated details and can route changes through internal review.

Beyond a contractor's private list, Pantera offers a public directory and a partnership with The Blue Book Network that together give access to more than 1.2 million subcontractors, suppliers and manufacturers in over 560 trade categories. Pantera states that private address books are never added to the public directory.

Subcontractors use the ProQual tool to get prequalified, submit bids and communicate between field and office. Project owners can use the same platform for prequalification, invitation to bid and job costing. Pantera also runs a print ordering service from the same site. Because pricing is not published, buyers should ask which modules are included in a quote.

Potential strengths

  • Bid management, ProQual prequalification, job costing and project management on one platform
  • Access to a public directory and Blue Book Network subcontractors across 560 trade categories

Trade-offs

  • No published pricing
  • Fewer published details on bid leveling than the larger platforms

KNTRCTR

specialistkntrctr.com ↗
Consider forPrime contractors that want to post jobs, invite and level subcontractor bids and keep performance records with AI review included, as KNTRCTR's pricing page describes
Pricing notesThe first seat is $250 USD or $330 CAD per month and each additional seat is $50 USD or $65 CAD per month. Billing is month to month with no annual contract, and the first 30 days are free. Canadian companies are billed in CAD and all others in USD. Rex AI, bid comparison, award, kickoff and reviews are included with no add-ons. Invited subcontractors bid free (checked Oct 2026)
Feature to evaluateAI review is part of the seat price: Rex Build drafts packages from drawings and budgets, emailed quotes are read onto bid lines, and field checks flag missing answers and outliers

KNTRCTR is subcontractor bid management software for prime contractors in the United States and Canada. Its pricing page describes the full workflow as post, invite, compare, award and keep the record, sold on one seat type.

Contractors post private or public jobs, invite the companies they already work with and set bid expectations so every quote answers the same lines. Bids are compared, leveled, discussed and awarded from a single Bids tab. Invited subcontractors use a free bidder account to open the job, ask questions and submit a bid, and can subscribe on their own side if they want AI drafting, public jobs or network visibility.

The product's distinguishing feature is Rex AI, which KNTRCTR includes in the seat price. Rex Build drafts bid packages from drawings, a budget and notes, and nothing is sent until the contractor reviews it. A quote that arrives by email, including at the deadline, is read onto the same bid lines for the contractor to confirm. A first-stage scan reviews the whole field for outliers, missing answers and past reviews, and a second stage reads one company's attachments before award. KNTRCTR describes these as analysis only, with the award decision left to the contractor.

After award, kickoff details, performance notes and reviews stay on the job, and those reviews appear on the next bid from the same company. Extra seats share the company subscription and give the same access, with no shared logins.

Potential strengths

  • Published per-seat price with no annual contract
  • AI drafting and bid review included without add-on charges

Trade-offs

  • $250 first-seat price is high for occasional bidders
  • Pricing page states currencies for the US and Canada only
Sources and status

PromaBuild

budgetpromabuild.com ↗
Consider forSmall general contractors that bid irregularly and want bid packages, subcontractor invitations, responses and awards without a long contract, as PromaBuild's pricing and product pages describe
Pricing notesThe trial covers one project with up to 10 bid packages and 30 invitations, with no credit card. Project is a one-time $19 per activated project for 1 user, up to 20 bid packages and 100 invitations. Unlimited Projects is $49 per month for 1 user with up to 500 invitations a month and 2 GB storage. Estimating Team is $129 per month for up to 5 users, 2,500 invitations a month and 20 GB storage (checked Oct 2026)
Feature to evaluateThe $19 activation is charged only when real invitations are ready to send, so an occasional bidder pays per job instead of per month

PromaBuild is a focused bid management tool for small general contractors. It covers bid packages, subcontractor invitations, participation tracking, pricing, attachments and award decisions, without the project management, takeoff or lead data found in larger platforms.

A contractor creates a project and its bid packages once, sets scopes, due dates, notes and documents, and chooses bidders from its own subcontractor list. Each invitation opens a private response page for that bid package. The subcontractor can mark bidding or declined, enter pricing, add notes and attach documents without creating a PromaBuild account. Responses are collected against each package and the award is recorded in the project, which stays in the contractor's history. Self-perform estimates can be entered alongside subcontractor numbers, and the Unlimited Projects plan adds final cost and rating history.

Pricing is built around how often a contractor bids. The first complete project is free, and it can be reset and restarted before any invitations go out. After that, an occasional bidder pays $19 to activate each further project, and only when it is ready to send real invitations. PromaBuild notes that three activations in one month cost $57, more than the $49 monthly plan, which removes the per-project step and raises the invitation limit to 500 a month. The Estimating Team plan shares one company workflow across up to five estimators or project managers.

Buyers should note that PromaBuild relies on the contractor's own subcontractor contacts. It does not describe a public bidder network, prequalification questionnaires or integrations.

Potential strengths

  • Lowest published entry price on this page, with a free first project
  • Subcontractors respond through a private link without creating an account

Trade-offs

  • No subcontractor network or directory is described
  • Invitation caps apply on every plan

How to choose a vendor

Decide which side of the bid the software serves

General contractors and owners send invitations and level bids; subcontractors receive invitations and track their own pipeline. BuildingConnected sells these as separate products (BuildingConnected Pro and Bid Board Pro), Downtobid prices the GC tool at $149 a month and subcontractor bid boards from $119, and PlanHub makes the GC tier free while charging subcontractors for lead access. Confirm the plan matches the role before comparing prices.

Check how the price scales

Pricing units differ sharply in this category. Procore charges an annual fee by product based on annual construction volume, SmartBid licenses annually by user count, KNTRCTR charges $250 for the first seat and $50 for each additional seat per month, and PromaBuild offers a $19 one-off charge per project for occasional bidders. A firm that bids a few jobs a year and one that runs dozens of packages a month will reach very different totals on the same product.

Ask how invitations reach subcontractors

Bid coverage depends on invitations being opened. Downtobid sends invitations from the contractor's own email, BuildingConnected, PlanHub and Pantera Tools draw on large subcontractor directories, and SmartBid tracks which subcontractors view and download plans. Every vendor on this page lets invited subcontractors respond without paying, so the useful question is whether the invited firm will notice and trust the message.

Frequently asked questions

What is bid management software in construction?

Construction bid management software helps a general contractor or owner run the bidding stage of a project. It builds bid packages by trade, sends invitations to bid to subcontractors, shares plans and addenda, tracks who has viewed and who intends to bid, and compares the bids that come back. Many products also prequalify subcontractors and give subcontractors a board for tracking the invitations they receive.

Is this the same as PPC or ad bid management software?

No. Pay-per-click bid management tools adjust keyword bids in Google Ads, Microsoft Ads or Amazon Ads. The products on this page manage construction bids: invitations to bid, subcontractor responses, bid leveling and prequalification. Buyers looking for advertising bid automation should look at PPC management software, which is a separate category.

How much does construction bid management software cost?

Published prices on this page start with PromaBuild at $19 per project or $49 a month, Downtobid at $149 a month for a general contractor organization, and KNTRCTR at $250 a month for the first seat plus $50 per extra seat. PlanHub's general contractor Essentials tier is free. BuildingConnected, Procore, SmartBid and Pantera Tools are quoted by sales, and Procore's fee scales with annual construction volume.

Do subcontractors have to pay to submit bids?

Not on any product listed here. BuildingConnected keeps a no-cost Bid Board for receiving and submitting bids, SmartBid gives invited subcontractors access at no cost, and Downtobid, KNTRCTR and PromaBuild let invited firms respond free. PlanHub offers a free subcontractor profile. Subcontractors pay only for extras such as lead access, team bid boards, analytics or AI drafting.

What is bid leveling?

Bid leveling is the process of putting subcontractor bids on a common basis so they can be compared fairly. Bids often differ in scope, exclusions, alternates and allowances, so an estimator adjusts each one to the same scope before comparing totals. Tools such as BuildingConnected Pro, Procore, SmartBid BidTabs, PlanHub and KNTRCTR offer side-by-side comparison, and custom bid forms help by making every bidder answer the same line items.

How does subcontractor prequalification fit into bid management?

Prequalification checks a subcontractor's financial strength, safety record, insurance and experience before or during bidding. SmartBid includes the ConsensusDocs 721 questionnaire, BuildingConnected connects to TradeTapp for financial and risk analysis, Pantera offers ProQual, and PlanHub includes prequalification on its paid general contractor tiers. Linking qualification to the bid list keeps estimators from inviting firms the risk team has not approved.

Should a general contractor use a bid network or its own subcontractor list?

Both have uses. Networks such as BuildingConnected, PlanHub and the directories behind SmartBid and Pantera help find new bidders and improve coverage in unfamiliar markets. A contractor's own list holds the relationships most likely to produce reliable bids. Most products here support both, and Pantera states that private address books stay out of its public directory. PromaBuild relies on the contractor's own contacts only.

How were these products selected and compared?

Products were included if they offer construction invitation-to-bid and bid comparison features for general contractors or owners and have a live product page. Pricing and features come from each vendor's own website and documentation, checked on 11 October 2026. No product was tested hands-on, and the order of entries is not a ranking. Vendors were not asked to confirm the details.
