Best Asset Tracking Software (2026): Top 9 Compared

Updated October 2026By StatWharf Editorial9 vendorsMethodology

Asset tracking software records which physical tools and equipment an organisation owns, where each item is and who has it. Staff scan a barcode or QR label, or a Bluetooth or RFID tag is read automatically, at check-out, check-in, transfer and audit. The nine products below split into three groups. EZOfficeInventory, Asset Panda, AssetTiger and itemit are general equipment trackers used across industries. Cheqroom centres on reservations and check-out of shared gear. GoCodes, ShareMyToolbox, Hilti ON!Track and ToolWatch are built mainly for contractors moving tools between warehouses, vans and jobsites.

These comparisons draw on public product information, not hands-on testing of every tool. Source records identify available references and checks; missing evidence is marked. Buyer fit is an editorial assessment, not a measured performance score. How to use this research.

Asset tracking software tells an organisation which tools and equipment it owns, where each item is and who last had it. Each item gets a barcode, QR, RFID or Bluetooth tag. Staff scan it, or a reader picks it up, when it is checked out, returned, moved to another site or counted in an audit. The system keeps that history and adds maintenance schedules, reservations and reports. Contractors, schools, media teams, manufacturers and public bodies use it to cut losses, stop buying duplicate tools and know which equipment is available.

The comparison below covers nine products for physical tools and equipment. It leaves out vehicle telematics and IT asset management, which are separate categories. Features and pricing come from each vendor’s product, pricing and help pages, checked in October 2026. Six vendors publish prices, on different units: per asset tier, per administrator, per signed-in user or flat annual plans. Asset Panda, Hilti ON!Track and ToolWatch quote, and their profiles record what each page states.

Related pages cover fleet tracking software and inventory management software.

Vendor details and trade-offs

EZOfficeInventory

mid-marketezo.io ↗
Consider forOrganisations that check equipment in and out across several locations and want item-based published pricing with unlimited users, as EZOfficeInventory's pricing page lists
Pricing notesPriced by number of items tracked, shown here for 500 items on the yearly view: Essential $81.41 per month, Advanced $117.11 per month and Premium $142.10 per month. Enterprise is quoted. Plans include unlimited users and locations, subject to the vendor's footnoted terms, and a 15-day free trial requires no card (checked Oct 2026)
Feature to evaluateReservations, custody transfers, custody audits and RFID scanning sit alongside stock and purchase orders, with a CMMS add-on for maintenance work orders

EZOfficeInventory, from EZO, tracks fixed assets, stock and inventory items with barcode and QR labels and a mobile app for Android and iOS. Every plan includes check-in and check-out, reservations, history tracking, location management, depreciation and an availability calendar.

The Advanced tier adds RFID scanning, packages and bundles, purchase orders, custody audits and transfer of custody between staff. Premium adds a self-service request portal, multi-tier approval, location audits, an automations engine and GPS integration. Enterprise adds offline mobile use, telematics integration, a dispatch centre and rent-in tracking for borrowed items.

Maintenance is split by tier. Advanced records basic service history, while preventive maintenance, work orders and technician management come through a CMMS add-on on Premium and are included on Enterprise. Prices change with the item count selected on the page, so a buyer tracking far more than 500 items should rerun the calculator.

Potential strengths

  • Published prices scale by item count rather than by user
  • RFID scanning, purchase orders and custody audits are included from the Advanced tier

Trade-offs

  • Offline mobile use, telematics and dispatch are reserved for the quoted Enterprise tier
  • Preventive maintenance and work orders need the CMMS add-on below Enterprise

Asset Panda

mid-marketassetpanda.com ↗
Consider forOrganisations that want to configure their own asset fields, inspection forms and workflows across departments, locations or clients, as Asset Panda's feature pages describe
Pricing notesQuote-based. The pricing page asks for details and returns a custom quote for Asset Panda Pro, followed by a free 7-day trial. No figure is published (checked Oct 2026)
Feature to evaluateMulti-account structure and configurable fields let separate departments, sites or clients run their own setups under one account

Asset Panda is a cloud asset tracking platform with web and mobile apps. Its feature page lists asset assignment to team members, barcode and QR scanning on a phone, full lifecycle history, maintenance notifications, custom inspection checklists, repair tickets, signature capture, asset kitting, tool tracking, record-level attachments and contract expiry alerts.

The product's main distinction is configuration. Buyers create separate accounts for each client, department or location, then set their own fields and workflows. The mobile app records status, location and condition and is described as working offline. Automations with conditional fields are listed, and the vendor markets AI features, branded Ursa AI, that read inspection photos and assemble audit histories.

Asset Panda lists government and manufacturing among the sectors it serves rather than focusing on one trade. Onboarding and training are described as included. Pricing is quoted after a review of the buyer's use case.

Potential strengths

  • Unlimited users are listed as a feature
  • Inspection checklists, repair tickets, kitting and signature capture are documented

Trade-offs

  • No price is published
  • Configuration flexibility means more setup decisions before rollout

Cheqroom

mid-marketcheqroom.com ↗
Consider forMedia, education, construction and corporate teams that lend shared equipment and need reservations, custody records and booking rules, as Cheqroom's product and pricing pages describe
Pricing notesBusiness pricing per administrator per month, billed annually, with minimum administrator counts: Core $184, Business $275 and Enterprise $367. The vendor states these are starting prices per admin, per workspace. An E.L.A. plan is quoted. All plans include unlimited users and unlimited items. RFID, room, consumable, operations and maintenance management are add-ons on Core and Business. Separate school pricing exists (checked Oct 2026)
Feature to evaluateBuilt around reservations and check-out of shared gear, with custody, booking rules and document generation for sign-out agreements

Cheqroom describes itself as an asset operations platform for teams whose work depends on shared equipment, including media production, higher education, construction, manufacturing and government. Users reserve gear, check it out with a QR scan and signature, and return it, and the system keeps an audit trail of who had each item.

Core covers reservations, check-outs, custody and long-term loans, a mobile app, SSO and integrations for one location. Business adds up to three locations, a document generator for sign-out agreements and ATA carnets, custom roles, equipment access control, audits and reporting. Enterprise adds up to ten locations, three workspaces, a booking portal and RFID support.

Maintenance flags on return, repair scheduling and blocking of broken items from booking are described on the product site. Users who only book or borrow equipment are not charged, so cost depends on how many administrators manage the inventory.

Potential strengths

  • Unlimited users and items on every plan, priced only by administrators
  • SSO and Slack, API, webhook and Zapier integrations are included from Core

Trade-offs

  • The per-admin price and annual billing make it costly for very small teams
  • Core is limited to one location and Business to three

Pricing notesAnnual plans: Standard $500 per year for 200 assets and 3 users with print-your-own labels; Premium $1,000 per year for 500 assets, 5 users and 500 custom QR tags; Premium Elite $1,750 per year for 1,000 assets, 10 users and 1,000 tags; Professional $2,500 per year for 2,000 assets, 20 users and 2,000 tags. Enterprise is custom. Additional users are $400 per year per batch of five. Free trial, no card required (checked Oct 2026)
Feature to evaluateCustom QR tags are bundled with Premium and higher plans, and every scan records GPS location and time

GoCodes sells cloud asset tracking aimed at construction, trades and industrial teams. Staff scan a QR tag with a phone, and the vendor states check-out works in a browser without installing an app. Each scan stamps time and GPS location, and Bluetooth beacons or GPS trackers can be added for items that need location without a scan.

All plans include check-in and check-out, transfers between users, a complete history log, custom fields, photo capture, task management, maintenance scheduling, calibration tracking, an inventory module and reports. Premium Elite adds file attachments and document storage. Professional adds kitting, offline mode and advanced permissions. Enterprise adds unlimited assets and users, a report designer, API access and SSO.

The pricing page lists Microsoft Azure hosting, a 99.99% uptime SLA and an MCP server in beta. Custom tags with the buyer's logo come with every Premium plan.

Potential strengths

  • Published annual prices with asset and user limits stated per tier
  • Maintenance scheduling and calibration tracking are listed on all plans

Trade-offs

  • User counts are capped on each tier, and extra users are sold in batches of five
  • API access, offline mode and kitting are add-ons on lower tiers

ShareMyToolbox

smbsharemytoolbox.com ↗
Consider forConstruction, electrical, plumbing, HVAC and other field contractors that want to track small tools and who holds them, with unlimited items, as ShareMyToolbox's product and pricing pages describe
Pricing notesBusiness plan: $100 per month for the first administrator, plus $10 per employee or additional administrator, sold in blocks of five, up to 100. Unlimited tools, locations, view-only users and virtual users. Enterprise for 100 or more employee or admin users is quoted. 14-day free trial, no card required (checked Oct 2026)
Feature to evaluateVirtual users let a company assign tools to a repair shop or subcontractor without paying for a login

ShareMyToolbox is a tool tracking app for contractors and field teams, with a web portal and native iOS and Android apps. It covers tools, equipment, consumables and quantity items, and assigns each to a person, a virtual assignee or a location such as a warehouse, van or jobsite.

Staff search for and borrow tools, loan them to colleagues, and transfer them between warehouses and jobs, singly or in bulk. Each barcode or QR scan records GPS coordinates and shows the last known location on a map. Smart audits generate recurring audit tasks by rule, and item history, costing history and notes are kept per item.

Three user types control cost. Employee and admin users pay, view-only users can see their assigned items and complete audits at no charge, and virtual users cover subcontractors or repair shops that never sign in. An API and multi-account structure are listed on the Business plan.

Potential strengths

  • Unlimited tools and locations at a published monthly price
  • Rental items and rates, kits, consumables and smart recurring audits are included

Trade-offs

  • Cost rises with every signed-in employee
  • No RFID or Bluetooth tag support is listed on the pricing page

Hilti ON!Track

enterprisehilti.com ↗
Consider forConstruction contractors that want to track tools, equipment and consumables from any manufacturer across warehouses, vans and jobsites, including scan-free tracking with Bluetooth tags, as Hilti's ON!Track pages describe
Pricing notesSold as a subscription in Ready, Lite, Pro and Enterprise bundles, set up after a consultation with Hilti. Tags and gateways are hardware purchases. No price is published on the pages checked (checked Oct 2026)
Feature to evaluateBluetooth smart tags read by vehicle, warehouse and heavy-equipment gateways update locations and idle time without a manual scan

ON!Track is Hilti's asset management system for construction. Hilti states it is manufacturer-independent, so it manages tools, plant, consumables and PPE from any brand. It also records which workers hold safety certifications for which equipment, and schedules maintenance and repairs.

Hardware sets it apart. Passive Data Matrix labels are scanned with the app. AI T320 Bluetooth smart tags broadcast every few seconds and record whether a tool was used each day. Vehicle, warehouse and heavy-equipment gateways detect nearby tags and report them, and the AI T400 geo tag sends GPS location twice a day for trailers and mixers. Hilti's help centre notes that smart tags show presence near a receiver, not a precise GPS position.

The Lite bundle covers equipment management, while Pro adds quantity items, asset cost reporting, open-API integrations through ON!Track Unite and gateway-based tracking. Hilti's Fleet tool service can be combined with it.

Potential strengths

  • Works with tools from any manufacturer, not only Hilti
  • Proactive tracking with smart tags and gateways supports automated transfers and remote inventory checks

Trade-offs

  • No published price, and setup runs through a Hilti consultation
  • Gateway-based tracking needs hardware and the Pro or Enterprise bundle

ToolWatch

enterprisetoolwatch.com ↗
Consider forContractors that run a central warehouse or tool crib and move tools, equipment and consumables to jobsites through requests and pick tickets, as AlignOps's ToolWatch pages describe
Pricing notesQuote-based. ToolWatch is sold in Essentials, Pro and Enterprise plans within the AlignOps suite; the pricing page lists features per plan but no figures (checked Oct 2026)
Feature to evaluateWarehouse logistics features such as pick tickets, field requests, job billing and fuel transactions sit with tool tracking in one product

ToolWatch is the tool and equipment tracking product in AlignOps, a construction operations suite that also includes BusyBusy time cards, SafetyReports and FleetWatcher. It tracks tools, equipment and consumables across warehouses and jobsites, with barcode, GPS and Bluetooth inputs feeding one dashboard.

Essentials covers the catalogue, tool tracking, equipment management, inventory counts, pick tickets and transfers, standard reports, custom roles and SMS and email notifications. Pro adds service schedules, work orders, purchase orders, requests from the field, billing and invoicing to jobs, fuel transactions, an equipment usage log and a location map. Enterprise adds custom reports, SSO, a sandbox, API access and connections to accounting, ERP, construction management and telematics systems.

The product suits contractors with a dedicated warehouse team. Smaller crews without a tool crib may find simpler products on this page closer to their needs.

Potential strengths

  • Covers tool crib logistics, including pick tickets, transfers and requests from the field
  • Enterprise tier connects to accounting and ERP, construction management and telematics

Trade-offs

  • No published price
  • Work orders, field requests and billing need the Pro plan or above

Consider forOrganisations that want published asset tracking plans with QR tagging and the option to add GPS trackers and RFID readers later, as itemit's pricing page lists
Pricing notesShown in GBP for up to 1,000 assets, billed yearly and excluding VAT: Starter £399 per year (£33.25 per month equivalent), paid per user up to 3 users; Pro £1,599 per year with unlimited users; Industrial from £2,999 per year for up to 2,000 assets. A USD view and monthly billing are offered on the page (checked Oct 2026)
Feature to evaluateOne platform scales from QR labels to GPS trackers, handheld RFID and, on Industrial, fixed RFID readers

itemit is an asset tracking platform from a UK company, used for equipment, IT hardware and other physical assets. Staff scan QR or barcode tags with the mobile app to check items out with a signature, report issues and record each scan. Reminders cover warranty, insurance and inspection dates, and bookings let teams reserve items in advance.

Starter suits a small team, with QR and barcode tagging for up to 1,000 items and up to three paid users. Pro removes the user limit and adds GPS trackers, handheld RFID readers, custom tags, priority support and a dedicated account manager. Industrial adds fixed RFID readers, Active Directory access, the API and payment by invoice.

Location audits let a team walk a site and see what is present or missing. Asset tags are not included in plan prices, and the page lists vinyl and anodised aluminium options.

Potential strengths

  • Published plan prices, add-on prices and tag prices
  • Bookings, issue reporting, reminders and location audits are listed

Trade-offs

  • Prices are listed in GBP excluding VAT, so non-UK buyers must convert or switch the page view
  • Starter is limited to three paid users

AssetTiger

Consider forSmall organisations that want low-cost check-in/out, maintenance and audit tracking with unlimited users, as AssetTiger's pricing page lists
Pricing notesPriced by asset count with unlimited users: Basic $20 per month for 500 assets, Core $40 for 2,500, Advanced $75 for 10,000, Pro $140 for 50,000 and Enterprise $275 for 250,000. Feature to evaluateNo feature gating between paid tiers, so a small account gets the same API, reports and permissions as a large one

AssetTiger is a web and mobile asset tracking service that prices only by the number of assets tracked. Every paid plan includes unlimited users, barcode and QR scanning from iOS or Android, check-in and check-out with due dates and overdue alerts, maintenance scheduling, reservations, lease and disposal workflows and physical audit reconciliation.

Reporting is broad for the price, with more than 80 report types covering depreciation, audits, maintenance costs and check-out history. Contracts, warranties, insurance and fund tracking are linked to assets. Security includes more than 120 permission settings, two-factor authentication, Google SSO and an activity log, and a REST API with a sandbox is included.

Labels print from any office printer, so no dedicated hardware is required. Stock and consumables run on separate inventory plans, which are free for up to two items.

Potential strengths

  • Lowest published entry price on this page, with unlimited users
  • REST API, 2FA and Google SSO are included on every paid plan

Trade-offs

  • No RFID or Bluetooth tag support is listed
  • Stock quantities need a separate inventory plan

How to choose a vendor

Match the price unit to how the inventory grows

The products on this page price on four different units. AssetTiger, EZOfficeInventory and GoCodes scale by the number of assets tracked. Cheqroom charges per administrator and includes unlimited users and items. ShareMyToolbox charges per signed-in employee or administrator, with unlimited tools. itemit combines an asset allowance with a user limit on its Starter plan. A buyer should count both items and the people who will scan them before comparing quotes.

Decide between scanning and automatic tags

Barcode and QR labels cost little and work with any phone, but each update depends on someone scanning. Bluetooth smart tags and gateways, as Hilti ON!Track documents, report presence near a van, warehouse or machine without a scan. RFID support appears on EZOfficeInventory Advanced, Cheqroom Enterprise or as an add-on, and itemit Pro and Industrial. Automatic tags add hardware cost and a receiver requirement, so they suit high-value or frequently lost items more than every asset.

Separate tool tracking from fleet and stock control

Tool and equipment tracking follows individual serialised items through custody changes. It is not GPS fleet tracking of vehicles, and it is not stock control of goods for sale. Several products here add consumables, purchase orders or GPS gateways, but a buyer whose main need is vehicle telematics or sales-order inventory should compare products built for those jobs.

Frequently asked questions

What is asset tracking software?

Asset tracking software keeps a record of each physical item an organisation owns, such as tools, equipment, instruments or shared devices, and logs where it is and who holds it. Staff scan a barcode or QR label at check-out, return, transfer and audit, or a Bluetooth or RFID tag is read automatically. The history supports loss reduction, maintenance planning and audits.

How much does asset tracking software cost?

Published prices on this page vary by pricing unit. AssetTiger starts at $20 per month for 500 assets, GoCodes at $500 per year for 200 assets, and itemit at £399 per year. EZOfficeInventory lists $81.41 per month for 500 items billed annually, ShareMyToolbox $100 per month plus $10 per user, and Cheqroom from $184 per administrator per month. Asset Panda, Hilti ON!Track and ToolWatch quote.

What is the difference between asset tracking and inventory management software?

Asset tracking follows individual items the organisation keeps and reuses, recording custody, location, condition and maintenance. Inventory management counts stock that is sold or consumed, handling reorder points, purchase orders and sales orders. Several asset trackers here, including EZOfficeInventory, ShareMyToolbox and AssetTiger, also handle consumables, but their core is item-level custody.

Is asset tracking software the same as GPS fleet tracking?

No. Fleet tracking uses a telematics device in each vehicle to report location, driving and engine data continuously. Asset tracking usually records location at each scan or when a tag is near a receiver. Some products here, such as Hilti ON!Track and GoCodes, can add GPS trackers for machinery or trailers, but tool-level tracking relies mostly on labels and Bluetooth tags.

Should a business use barcodes, RFID or Bluetooth tags?

Barcode and QR labels are the cheapest and work with any phone, but each update depends on a scan. RFID allows many tags to be read at once by a handheld or fixed reader. Bluetooth smart tags broadcast continuously and report through gateways or phones. Many buyers label every item with QR codes and add active tags only to high-value or often-missing equipment.

Which asset tracking tools suit construction contractors?

GoCodes, ShareMyToolbox, Hilti ON!Track and ToolWatch document construction and trade use cases, including tracking tools across warehouses, vans and jobsites. ShareMyToolbox and GoCodes publish prices. ON!Track adds Bluetooth tags and gateways, and ToolWatch adds tool crib logistics such as pick tickets and field requests. EZOfficeInventory and Cheqroom also list construction among their industries.

Do these products work offline on jobsites?

Some do, by tier. Asset Panda describes its mobile app as working offline. GoCodes includes offline mode on Professional and sells it as an add-on on lower plans. EZOfficeInventory includes its offline mobile app on Enterprise only. Buyers whose crews work without signal should confirm offline check-out and later sync during a trial.
